  • THE CANONBURY BLOCK MANAGEMENT MODEL EXPLAINED

    You use our online estimate calculator to select the services you need for your block and it calculates a figure for which your block can be managed. This becomes your annual service charge for your block.

    Invoices for these payments are issued to lessees with the frequency prescribed in the lease and money paid by lessees is held in a secure statutory client account for your property, from which all payments to third-party contractors are made. This takes care of the service charge collection and administration of monies.

    We send monthly statements to you by email or post, which show any monies due and your balance. If nothing is due, you are not bothered by any correspondence.

    Unique to Canonbury, our online systems record and show, in a password-protected secure area, every single payment received by you and every payment made out of the client account for expenditures at the block. We also send you either an email or postal receipt for every payment you make, unlike our competitors.

    1 We are the only company to show scanned copies online of all invoices paid by us for your building.

    2 We show all property data, including insurance details, copy leases and specifications in your secure online client area and we show real-time building accounts showing arrears, payments made and money held on account.

    The Role of a Managing Agent

    The role of a managing agent is often misunderstood. We are engaged by the freeholder, Right to Manage company or by a collective of lessees, to enforce the lease contract which you have signed when you purchased your leasehold property. We must therefore collect payments from every lessee, as they are required to pay according to their lease.

    We must administer accounts or engage an accountant to do so, where necessary, but only where funds permit.

    We must enforce covenants where these have been breached and ensure compliance with applicable laws.

    We must engage contractors to perform maintenance to the properties as required by the lease or by legislation.

    We must, where there are funds, arrange insurance and deal with claims or engage a broker to do so.

    We must ensure compliance of your block with UK and EU law.

    It is important to understand that if service charges are not paid, we cannot be effective in management-we do require payment of service charges in order that we can fulfil our contractual obligations. Canonbury are experts at recovering unpaid service charges from problem lessees.

    Our approach to management is to set up all the maintenance contracts that you have requested and to administer contracts to ensure that emergency works are either dealt with by insurance or from available contingency funds. Planned works are arranged by us following your approval and are dealt with by our specialist architects and surveyors.

    We believe in fully transparent charges and do not seek or accept commissions from third-party contractors, which can be as high as 50% with other management companies. This allows our charges for works done to be competitive. We are completely impartial of any freeholder or third party.

    ANNUAL ENERGY PRICE TENDERING: We use an energy provider for our blocks who annually checks the optimal energy contracts and will move provider automatically if it is better value to do so.

    FREE SPECIFICATIONS: The first block manager to provide free specifications for all maintenance contracts including cleaning, gardening, window cleaning, porter job descriptions, exterior cleaning, bin-room cleaning, lift maintenance, lighting replacement, maintenance of intercoms, access control, gates and other electronic equipment.

    INSURANCE: Our brokers tender with multiple underwriters each year to ensure the best rate for your block. Our policies usually have a minimal excess, helping to keep individual claimants’ costs to a low level.

    CANONBURY UPGRADE: We look to improve your block over time by fitting more reliable equipment to reduce bills. Examples include motion-sensitive light switches, long life, low energy bulbs, led bulbs, power supply-regulated intercom systems, Trimec electronic locks.

    IN-HOUSE CONTRACTORS: We make use of our own in-house contractors for most electrical and maintenance work to ensure that standards are high and that, as we are repeat players, we can make your block run better and for less.

    PROACTIVE MAINTENANCE: Our full range of maintenance specifications from lift servicing through to drain clearance and grease removal ensure that your property is proactively maintained, as far as possible – thereby reducing costs.

    CANONBURY LESSEE CONTRACT: Our systems provide that a service contract is set up with lessees to allow easy recovery in the event that bills are not paid, rather than having to go to the First Tier Tribunal before recovering in the county courts.

All your funds are held in statutory client accounts for your protection. It is a legal requirement to be FCA Registered in order to arrange insurance on your behalf so if our rivals are not registered, don’t take the risk of using them.

    COMPANIES HOUSE PROOF SCHEME: All our clients’ companies are registered under the Proof Scheme of Companies House to help avoid any misuse by 3rd parties of the company.

    ILEC LIFT SPECIFICATIONS FOR MAINTENANCE: We use specifications for our lift maintenance contractors which are produced by an independent lift consultancy firm. We also ensure that lifts are managed under British Standard 7255 and brought into compliance with that standard over time where not compliant.
