EXTRAS TERMS & CONDITIONS
Our philosophy is to provide event facilities and services of the highest quality. In order to fulfil this expectation, the following terms and conditions have been designed to ensure your function runs smoothly.
Tentative Bookings / ConfirmationsTentative bookings will be held for a maximum of 7 days and will be confirmed once a deposit of 30% of the estimated value of your function is received, along with the signed registration form. This deposit will be credited to yourfinal account. The deposit is required to be prepaid irrespective of whether you have a company account with the Hotel. Should the Hotel not receive the confirmation and deposit within 7 days the Hotel reserves the right to release the booking without notice.
All bookings made within 7 days of the function will require full pre-payment of the estimated total value to confirm the booking. ALL bookings are to be confirmed in writing.
PaymentPayments by Credit Card (Visa, MasterCard, Diners, AMEX and JCB Card) will incur a 1.5% transaction fee. All event accounts are to be paid in full within 7 working days upon conclusion of the event. Any additional charges requested on the day must be approved by the client/contact of the event. A credit card is required to secure all bookings, regardless of payment type. This credit card is used as a guarantee only and will not be charged unless payment is not received by the due date.
CancellationIn the case of an event being cancelled, or the date changed, the following terms are applicable:– Over 60 days written notice - the deposit will be refunded in full.– 30-60 days written notice - the cancellation fee will be equivalent to 25% of the estimated value of the function.– 15-29 days written notice - the cancellation fee will be equivalent to 50% of the estimated value of the function.– Within 14 working days written notice - 100% of the estimated value of the function will be charged.
Final NumbersAn estimated total number of guests is required 7 days prior to the event date with the guaranteed minimum number of guests attending the function required by 12pm, 3 full working days prior to the function. Charges will be based on these minimum numbers or the actual attendance, whichever is greater. Should the final attendance reduce by more than 25% from the original estimated attendance, additional charges may apply.
PricesThe prices are current at the time of quotation but may be subject tochange at the discretion of Hotel management. Upon receipt of yourwritten confirmation and deposit, prices will be confirmed in writing.
Function ScheduleTo ensure your requirements are met, it is necessary to have your function schedule, menu selection and any dietary requirements at least 14 working days prior to your event. If your menu is not selected within 7 working days prior, the Event Coordinator will select the menu on your behalf. Any other last minute changes are required 3 working days prior to your event. This also includes any specific floor plans for your event. Should any last minute changes be required, an additional fee may be charged.
Commencement and Conclusion of the FunctionThe organiser agrees to begin the function and vacate the room at
the scheduled times. In the event that the function continues beyond the agreed finishing time and the following client is inconvenienced, the Hotel reserves the right to charge whatever costs are incurred to ensure the smooth running of the following function.
Room Allocation/Set-Up RequirementsIn the event of unforeseen circumstances, or any change in numbers, the Hotel reserves the right to change the venue to another suitable room. Every effort will be made to discuss the changes with the organiser in advance. All function room set-up requirements are due 3 working days prior to the event. Should the function room configuration change within 24 hours prior to the event a $250.00 room reset fee will apply.
Extended Hours/TimingAn additional labour charge will apply if your event continues after the agreed completion time.
Food and BeverageNo food or beverage is permitted to be brought onto the premises without the approval of the Hotel. The Hotel does not offer a cash bar for functions over 40 guests. Only an arranged beverage package or beverages on consumption may be organised.
InsuranceThe Hotel will take all reasonable care to protect the property of guests, but will accept no responsibility or liability for the loss or damage of items left in the hotel prior to, during or after the function. We suggest that organisers arrange their own insurance and/or security for valuable items.
Loss or DamageLoss or damage to any part of the hotel or its equipment will be the financial responsibility of the organiser. Nothing is to be nailed, screwed, stapled or adhered to any wall, door, window or other part of the building. The hanging of banners must be approved by the Hotel prior to the function.
DeliveriesThe Banquets & Events Department must be notified in advance of anydeliveries to the Hotel. All items should be marked for the attention ofthe Banquets & Event Department with the function name, date andnumber of items being delivered. The Hotel will not accept responsibility for items left in the Hotel more than 48 hours prior to, or at the conclusion of, the function without prior arrangement.
Other FunctionsThe hotel reserves the right to book other functions in the same function room up to one hour before the scheduled function commencement time and one hour after the scheduled function finishing time. Additionally, the hotel reserves the right to book another function in the adjoining rooms at any time.
AdvertisingPrior permission is required to use the Hotel name and/or logo in print and/or audio visual display. All proposed artwork must be approved by the Hotel management prior to publication.
Photography/Recording of the EventPrior permission is required for photography, sound or video recording of events or guests within Hotel facilities.

Poolside AreaNo client has the sole right to this area as it remains available to inhouse guests at all times. Access to the poolside is to cease at 2200hours for the reason of keeping within residential law restrictions. Noglassware is permitted in the pool area at any time, this is to complywith Occupational Health & Safety Laws.
AccommodationSpecial accommodation rates will be offered in conjunction with yourevent (subject to availability).
Client ResponsibilityIt is your responsibility to ensure all guests behave in an orderlymanner during the event.
ResponsibilityShould we be unable to provide the facilities reserved due tocircumstances beyond our control, no further claim may be made onthe Hotel other than an entitlement to full refund of any deposits paid. We will endeavour to provide you with reasonable notice.
Content of an EventIf the Hotel has reason to believe that an event will affect the smoothrunning of the Hotel’s business, security or reputation, the Hotelmanagement reserves the right to cancel the event, at its discretion,without notice or liability.
Responsible Service of AlcoholYou accept full responsibility for the consumption of alcohol consumed by all guests associated with the event.
CleaningGeneral and normal cleaning is included in the cost of the room hire.You may incur additional charges in instances where an event hascreated cleaning requirements that are considered to be over andabove normal cleaning.
Additional ServiceWe will be pleased to arrange a variety of additional services uponrequest, such as entertainment, technical equipment, etc. A chargemay be incurred for some services. If the event is cancelled, suchservice charges will be your responsibility.
Accommodation Terms and ConditionsRooming list and 50% of room payment is required 31 days prior to arrival. Any cancellations within 30 days prior to arrival will incur 50%cancellation fee that will be full room rate.
