In this lesson, you will learn how to enter and certify time on behalf of your direct report. The

time entries are as follows:

therefore Longevity pay was not affected.

25. Note: When LWOP is entered and approved on a Timesheet, the next available

earnings will be docked.

If LWOP is removed from a Timesheet, the next available earnings will be

credited.

26. Note: If LWOP is at least one calendar month, then the employee's State Service

Effective Date is decreased by that amount of time.

In this lesson, there is no effect on the employee's State Service Effective Date.

Overriding/Assigning Employee Schedules

Section 1 - Lesson 4 Exercises - Overriding/Assigning an Employee Schedule

Procedure

In this lesson, you will learn how to override a schedule and assign a new schedule.

Overriding a schedule changes the schedule for a week at a time. Assigning a schedule changes

the schedule permanently.

Step Action

1. Click the Employee Self Service button.

2. Click the Manager Self Service menu.

3. Click the Time Management button.

4. You will change the effective date for the schedule change, when applicable. In

this example, you are going to use the current date.

5. Choose the employee whose schedule needs to be changed.

6. Click the Activity Guide Navigation Area button.

7. Click the Override Schedule link.

the next week is their regular schedule.

19. Next, you will Assign a new Schedule for a different employee.

23. The Time and Leave Setup page provides an explanation on how to handle new

hires.

Notice that you have a limited time period (seven (7) calendar days after the

Effective Date of Hire) in which to correct a new hire's Schedule.

24. The current row shows Steve's current schedule.

25. Click the Add a new Schedule (Alt+7) button.

26. The schedule should always be entered using an effective date equal to the first

day of the employee's FLSA workweek.

The system will correctly interpret an employee's FLSA workweek for

comptime/overtime calculations, even when it involves a Saturday or Sunday

workday.

Click the Calendar Effective Date (Alt+5) button.

27. Click the 7 button.

28. This chart shows you how to interpret a Schedule ID and Description.

The Schedule ID Breakdown shows the Alpha Characters used in place of 2-

digit numbers.

For scheduling, the workweek begins on Sunday.

29. This employee will still have a 40 hour week schedule but he will be working 10

hours a day on certain days.

Click the Look up Schedule ID (Alt+5) button.

TX_40 will bring up search results for the 40 hour schedules in CAPPS.

Enter the desired information into the Schedule ID field. Enter "TX_40".

32. You put the search results in an ascending/descending order by clicking on the

Description Header.

Click the Description column header.

33. In this example, Schedule ID = TX_40_00DDD0D, and Description = 40 HRS

XX-XX-D0-D0-D0-XX-D0.

This means 0.0 hours on Sunday, 0.0 on Monday, 10 hours on Tuesday, 10 hours

on Wednesday, 10 hours on Thursday, 0.0 on Friday, and 10 hours on Saturday.

34. Click the 40 HRS XX-XX-D0-D0-D0-XX-D0 link.

A manager can view time on the Manager Summary Approval page and approve hours on the

Manager Timesheet.

approval.

A manager can use the Manager Summary Approval page to see which

employees need hours approved. These hours will be in an NA (Needs

Approval) status.

In addition, Managers are not notified when an employee has submitted time. You

must check this page to see any time that has been submitted.

Ten (10) days after the create date, if the hours are still in an NA status, an email

is auto-generated and sent to the manager. After 17 days (if the hours are still in

an NA status), an email is auto-generated and sent to the next level manager.

8. You will approve the hours for this employee on the Manager Timesheet.

You can see the Annual Leave Taken hours awaiting approval. Note the status of

NA.

CAPPS has many reports that managers can run in order to gather information on their direct

reports.

In this lesson, you will learn how to run the Employee Monthly Time & Leave Report and the

Time Reporting Codes by Date Report.

1. Click the Employee Self Service button.

2. Click the Manager Self Service menu.

3. Click the HR Reports button.

Procedure

In this lesson, you will learn how to designate a workflow alternate to route report actions for

your employees to a different manager.

Step Action

1. Click the Employee Self Service button.

2. Click the Manager Self Service link.

3. Click the Personal and Job Information button.

4. Click the Designate Workflow Alternate link.

5. Click the Activity Guide Navigation Area button.

6. When the system opens the Designate Workflow Alternate page, the Reassign

Work To field will default with your manager's Empl ID (employee ID) and

Name.

7. The reassignment will be from June 1st through June 30th.

Click the Calendar From Date (Alt+5) button.
