To secure space, 50% of total amount due must accompany the signed contract. No refunds to Exhibitors will be made after February 19, 2016. Exhibit space may not be subleased without specific permission of the Chamber. All Exhibitors will be notified of space assignments via a message from the Chamber. Acceptance of this application is subject to approval by the Chamber. In signing this application, the Exhibitor agrees to all conditions and show regulations appearing on both sides of this application. Payment in full is required by March 14, 2016.

Electrical Requirements

Full description of all electrical appliances to be used in your exhibit must accompany contract in order to assure adequate power for your exhibit. This is subject to availability on a first come, first serve basis. All applications, electrical requirements, and locations are subject to approval.

SHOW MANAGEMENT CONDITIONS AND REGULATIONS

It is imperative that Exhibitors cooperate with the Chamber in the following show conditions and regulations so that a successful event can be accomplished. Such rules are a part of the Exhibitor Agreement to use exhibit space.

1. To provide an attendant at the exhibit to greet the public at all hours the event is in operation: March 18, 2016 - 9 a.m. to 7 p.m. and March 19, 2016 - 10 a.m. to 5 p.m.

2. Install exhibit at an hour assigned by the Chamber on Thursday, March 17. All aspects of installing the exhibit and storage materials must be removed from the building no later than 8 p.m. on March 19 unless special arrangements are made with the Chamber.

3. Removal of the exhibit from the exhibition hall between 5 and 8 p.m. on March 19, 2016. Exhibitor agrees that the Chamber may remove exhibit to a separate storage location after that hour, and to reimburse the Chamber for all handling and storage costs involved in such removal, and release the Chamber from any liability in connection with such action. Cost for any portion of each additional day is $100.

4. No paper or other unsightly materials may be used in decorating the exhibit space. Cloth shall be used for draping. Any non-attractive or unfinished portions of an exhibit which can be seen by the public must be draped with attractive cloth at the Exhibitor’s cost. Signs shall be on rigid materials and professional in appearance.

a. In backdrop area: no part of the exhibit other than product may exceed 4 feet in height more than 4 feet from the back wall of the exhibit. No portion of the exhibit or signage may exceed 8 feet in height.

b. In non-backdrop area: No part of the exhibit other than product may exceed 4 feet in height closer to the boundaries of the exhibit space than 5 feet. Products (such as boats) must not be displayed on end so that they exceed a height of 8 feet. No products may be stacked to exceed 8 feet in height. Exceptions may be made to this rule with specific permission from the Chamber.

5. No flashing lights shall be used which cause discomfort to other exhibitors or show spectators and no sound may be heard beyond an Exhibitor’s purchased space, nor promotional items used that create discomfort to others.

6. The Chamber is not responsible for loss or damage of the exhibit or its materials. The Exhibitor is responsible to carry his own property and liability insurance.

7. The Chamber reserves the right to exclude or close any exhibit, which in its operation is believed to be detrimental to the show by the Chamber.

8. In event the show is cancelled by the Chamber or the Exhibitor is excluded from the show for any reason by the Chamber for other than failure to pay balance of monies due on exhibit space or failure to install their exhibit on time, the only reimbursement to the Exhibitor shall be paid as of the date of the show’s cancellation or exclusion from the event. In the event the Exhibitor does not meet deadlines for space payments to the Chamber or cancels their participation, the Exhibitor agrees that all space payments made to such time are forfeited to the Chamber and that exhibit space rights are not transferable.

9. Retail food booths will be available at the discretion of the Everything Expo Committee. Food may be sold or sampled if special permission is received from the Chamber. The Exhibitor will not use an open flame in his exhibit or conduct any practice which will cause odors unacceptable to other exhibitors or the Chamber. Mechanical devices and materials must be displayed in such manner as to avoid injury to show spectators and other exhibitors. Exhibits may be subject to inspection by Fire Official.

10. All sales promotion and activity and any product or display will be confined to the parameters of the Exhibitor’s assigned space, both in the buildings and on its land. Products promoted in the exhibit space will be only those sold normally by the Exhibitor in his business and approved by the Chamber.

11. No part of the Exhibitor’s display will be dismantled before 5 p.m., March 19, 2016. Failure to comply with this regulation will result in non-eligibility for space in future shows.

12. The Chamber reserves the right to revise the floor plan, move an exhibit location, and make such additional rules and regulations as it deems necessary to conduct the event in the interests of the majority of those participating in the show.

13. It is the responsibility of the Exhibitors to keep their booths clean and presentable at all times. The Chamber will keep only the aisles clean.

14. No booth may be sub-leased by the exhibitor.

15. A booth may be shared with one or more companies, provided the exhibitor owns the companies exhibiting in the exhibit space.

16. If an Exhibitor is sharing a booth, the displays must conform to all display rules.

17. Any Exhibitor who fails to adhere to any of the above rules agrees that he/she will immediately close his/her exhibit when requested to do so by the Chamber.

18. Booth space must be paid in full prior to installation.

19. Exhibitor will be billed for excessive damage to pipe and drape (repair/cleaning).
