Welcome, Attendance

Joe Kolosky welcomed all committee members and Kara Blackwood did roll call.

Update on Survey Administration

Joe said that he received many calls regarding technical issues on November 6, but things have gone smoothly since

then. Frequent issues were:

o Missing student data, which AdvancED took care of.

o Large LEAs versus small LEAs.

Districts inquired on how to distribute links and access codes. Larger LEAs have a very different

approach to administering codes than smaller LEAs.

Survey administration window closes December 8, 2017.

Not all administrators are getting the emails. Joe will talk to Sherry Sailer to make sure all administrators are on the

distribution list.

OtisED

OtisED will upload data.

Greg Carlson gave an update on some of the work that has been done:

o He said they will work with data on the back end to see what they need to do to put the display together,

which makes the December 8 deadline crucial. Student level data files are needed from AdvancED within a

couple weeks of the deadline to make sure there is enough time to work with it and see how the tables will

populate.

o Betsy Deal said we do not have student engagement model data yet, but she has requested it from Matt and

should have it soon. The target date to have it by is December 15.

Tracy Korsmo wants the committee to start thinking about the design of how we want to display the data.

Participation Rate

We want 95% participation, like the NDSA.

Joe talked to the Assessment unit to find out what their denominator is.

o We have the number of people who took the survey, which is on eProve, but schools will have to display

the information on their website. Do we use the highest amount of students in the administration window,

the lowest amount of students in administration window, the average amount of students in administration

window, etc. We need to define a denominator for schools.

Tracy Korsmo thinks that it makes sense to use the average, and several people agreed.

­ Kara will send out a SurveyMonkey to determine which option the committee wants to use.

• The committee approved using the average amount of students in the administration

window to generate the denominator for the 95% participation rate.

Betsy addressed questions that her office has been getting:

o For the state assessment, if students haven’t been in attendance at that school a full year, to what school

will their response be attributed?

o Schools are trying to get the codes out to students that are still attached to a district but aren’t within the

school at that time, but it might be difficult depending on the students’ ability.

o Concerns were brought up about missing students with special needs.

Gerry Teevens said it was clear that students who need special accommodations can get them. Since

it is not a state assessment, someone else can read the test to him/her. We need to make sure that

schools are aware of that.

o Joe said he is confident that we are doing everything we can to accomplish this. Several teachers have

contacted him to make sure that they are doing this properly. A memo was sent to every administrator

and teacher in the state in order to bring attention to it.

Back-Mapping Unique Grade Configurations Re-visit

How do kindergarten schools receive their score for their piece of the pie?

o We back-map. The kindergarten school will receive the information from the feeder school that those

students went to.

Questions or Comments

Tracy Korsmo thinks we should work with the vendor to see if we can have the student access data.

o Joe said they are doing that with the smaller subgroup in Fiscal Transparency. They are learning a lot of

information by breaking up these groups, and they will work with both larger school districts and smaller

school districts.

Mary Eldredge-Sandbo said that implementations went remarkably well. It was familiar since it is like previous

surveys that have been done with AdvancED. There was some apprehension on what results will look like. Can

we compare our student perception responses with ELEOT scores? It would help us to get more feedback.

o Betsy said she is in the middle of a four-part webinar series on that, and in the spring there will be a five-part

series of webinars and face-to-face meetings.

Do we know how many students have tested?

o In order to get a current number, Abigail Ellis from AdvancED would have to pull a full data set.

Joe thanked everyone for participating and said that the next meeting will be in either late December or early January.
