Erasmus+ is the EU programme for education, training, youth and sport covering the 2014-2020 period. It offers a wide range of opportunities for students and staff to study and train abroad and obtain credits that are then recognised by the sending institution.

1.2 The present call includes two Erasmus+ International Credit Mobility projects between Ca’ Foscari University of Venice and its partner universities:

the first lasts 36 months, from August 1st 2019 to July 31st 2022;

the second lasts 36 months, from August 1st 2020 to July 31st 2023.

Art. 2 Mobility type and available places

Under this call for applications the following places are available for prospective candidates from Ca’ Foscari University of Venice.

The present call for applications provides mobility grants for the 2021-2022 and 2022-2023 academic years. Detailed information about ISCED code, type, duration and periods of mobilities is available in ANNEX I. ISCED codes refer to the course of study the student is enrolled in and not to the proposed Learning Agreement.

Depending on the epidemiological situation related to the COVID-19 emergency, mobilities may be postponed to the following semester and/or academic year, and in any case no later than the end date of the project to which the mobility is related (see art. 1.2, 2.1 and 2.2). Ca’ Foscari University of Venice will monitor the international situation and duly inform each beneficiary accordingly.

Art. 3 Admission requirements 3.1 In order to apply prospective candidates must be officially enrolled at Ca’ Foscari University of Venice at the date of October 11th 2021 and for the whole duration of the mobility. In addition, students wishing to apply for a place reserved to 2nd

cycle/Master level must be enrolled to a 2nd cycle/Master degree course at the moment of the application; applications to places reserved to 2nd cycle students coming from 1st cycle/Bachelor students not yet enrolled to a 2nd cycle/Master degree course will not be taken into account. Students wishing to apply for a place reserved to 3rd cycle/PhD level must be enrolled to a 3rd cycle/PhD degree course at the moment of the application; applications to places reserved to 3rd cycle students coming from 2nd cycle/Master students not yet enrolled to a 3rd cycle/PhD degree course will not be taken into account. Pre-enrollments will not be accepted either. Only in the event that a student has regularly made the enrollment tax payment before September 30th, but he/she does not result as fully enrolled within the date set by the present article due to reasons beyond his/her control, the selection committee has the right to reconsider for eligibility any applications submitted by pre-enrolled students which have met all remaining requirements set by the present Call. 3.2 Language proficiency

Applicants must demonstrate, at the application stage and before the closing date of the Call, to hold the following language requirements and certificates, as requested by the receiving institution and formalized within the Inter-Institutional Agreements signed with UNIVE (for further information please check Annex I). No integrations will be possible after the closing date of the call. In the event that a student does not hold required language certificates as set by art. 3.2, he/she will be considered eligible but authomatically positioned at the end of the ranking. In the event that all eligible applicants for a specific destination do not hold required language certificates, the Selection committee has the right to evaluate them according to criteria set by art. 7.2, and the selected candidate will have the possibility to integrate the document after the closing date of the call. In any case the language certificates will be necessary to proceed with the application to the partner University.

3.3 Incompatibility

The same applicant may participate in Erasmus+ mobility periods totaling up to 12 months maximum per each cycle of study (Bachelor or equivalent, Master or equivalent, Doctoral level), independently from the number and type of mobility activities. Previous Erasmus+ experiences (including European destinations) must be taken into account for calculation purposes.

Selected beneficiaries will not be allowed to benefit from any other grant provided by the European Commission for mobility for study / for teaching or training for the same period.

Beneficiaries must carry out their mobility activity in a Programme or Partner Country different from the country of the sending organisation and the country where the student has his/her accommodation during his/her studies.

Candidates with a double nationality must specify the nationality under which they submit their scholarship application.

3.4 Ineligibility

Students who have been found in violation of the Code of Student Conduct and thus sanctioned by a governing body of the University will not be eligible.

If, at any stage in the application procedure, it is established that the information provided by the applicant has been knowingly falsified, the candidate will be disqualified from the selection process.

Selected beneficiaries who receive an Erasmus+ grant will fully or partially reimburse the EU grant if they do not comply with the terms of the grant agreement and/or if they fail to complete and submit the final online report, unless they are prevented from completing their planned activities abroad due to a case of force majeure.

Students who withdraw from mobility after the acceptance by e-mail will lose the right to participate to every Erasmus + ICM call for study that will be launched until February 2022, except for documented causes of force majeure.

Art. 4 Activities

Erasmus+ grants for study are awarded for full time study activities (credits or thesis preparation or both).

Art. 5 Grant

5.1 Beneficiaries will receive a grant contribution to their costs for individual support during mobility, as follows:

5.2 Beneficiaries will receive a travel contribuition (1 round-trip flight ticket per beneficiary) according to the fixed amount assigned per destination, as follows:

5.3. Erasmus+ selected beneficiaries might be required to purchase their international medical insurance with their own funds. 5.4 Erasmus+ selected beneficiaries will continue to pay fees to their sending university but will benefit from tuition-fee waiver from their host university. 5.5 The mobility period must be carried out continuously and it must not be split into different periods. Therefore, during their mobility period beneficiaries must not carry out any learning activity at Ca’ Foscari University of Venice (such as taking exams, carrying out internships, graduating). 5.6 Selected candidates accepting the scholarship will sign a grant agreement for mobility listing their duties and responsibilities. They will be required to comply with the local admission requirements and registration procedures at the Host University. 5.7 Special needs support: Extra-financial support may be available for beneficiaries with special needs. A person with special needs is a potential participant whose individual, physical, mental or health-related situation is such that his/her participation in the project would not be possible without extra financial support. The contribution will be awarded to beneficiaries with special needs upon request to Ca’ Foscari University of Venice at the moment of acceptance of the grant and depending on the approval of the Erasmus+ Italian National Agency. 5.8 Administrative support: Support in visa application, housing, accommodation will be supplied by each host partner university. Ca’ Foscari University will assist beneficiaries in obtaining such support from the receiving institution.

Art. 6 Admission procedure

6.1 Application

September 2021, at 1.00 p.m (13.00 ora italiana). Any application received after the deadline will not be accepted.

At the time of application any diplomas, transcripts and other official documents submitted in original language (other than English or Italian) must be accompanied by an English translation. At this stage non-certified translations are accepted. Selected applicants may be asked to provide certified translations of all relevant documents upon request of the Host institution.

Candidates are entitled to submit 1 application per partner institution. In case of more than 1 partner institution, candidates must submit as many applications as desired destinations. Each application must contain all required documents.

All requested documents MUST BE MERGED IN ONE PDF file named after:

a. the Host Country for which the application is submitted; b. the acronym of the partner institution for which the application is submitted; c. candidate’s surname and name

following this sample: Country.ABC.surname.name.pdf (i.e.: Canada.DAL.rossi.mario.pdf).

6.2 Required Documents Bachelor Students must provide the following documents:

Copy of official language certifications (or self-certifications of language qualifications, if requested by the Receiving Institution - check art. 3.2 and Annex I);

Proposed Learning Agreement (Annex IIA to the Call) signed by the applicant and by Ca’ Foscari Erasmus+ academic Coordinator (check Annex I to find the person in charge of signing the Learning agreement) – in case of submission of a Learning Agreement for thesis (Annex IIB to the Call), the document must be signed by the Research activities Coordinator at Ca’ Foscari (Relatore di Tesi) and by Ca’ Foscari Erasmus+ academic Coordinator;

Motivation letter in English (max 1 page) explaining the background of the candidate and the reasons for applying to the programme;

Master Students must provide the following documents:

Copy of official language certifications (or self-certifications of language qualifications, if requested by the Receiving Institution (check art. 3.2 and Annex I);

Copy of official language certifications (or self-certifications of language qualifications, if requested by the Receiving Institution (check art. 3.2 and Annex I);

Proposed Mobility Programme (Annex IIC to the Call) signed by the applicant and by the applicant’s Supervisor;

Letter of interest or e-mail by the prospective academic supervisor/Head of Department at the host university stating the availability and willingness to supervise the applicant. For further information please contact the administrative Erasmus + local unit at the Host University (see Annex I) and provide: CV and Mobility Programme;

Motivation letter in English (max 1 page) explaining the background of the candidate and the reasons for applying to the programme;

Curriculum Vitae with list of publications and conferences/seminars held as a speaker;

Only for students who achieved their Master degree in a University other than Ca’ Foscari: Copy of a transcript of

records or any official certification indicating university grades/marks for accomplished second-cycle degree;

OPTIONAL (for Bachelor, Master, Ph.D. students): Proof of socio-economic disadvantaged background (ISEEU - Equivalent Financial Indicator Index) only if applicable and if available at the moment of application. In case of parity after the evaluation of applications, priority will be given to candidates with a lower ISEEU level.

6.3 The eligibility check of applications will be based on the following criteria: Applications will be rejected ONLY in the following cases: Bachelor and Master students:

Submission after the deadline set by art. 6.1

Missing Learning agreement

Missing signature by the Ca’ Foscari Erasmus+ academic Coordinator on the Learning Agreement for studies

Missing signature by the Research activities Coordinator at Ca’ Foscari or by the Ca’ Foscari Erasmus+ academic coordinator on the Learning Agreement for thesis (the lack of just one of the two signatures will not entail the rejection of the application)

PHD students:

Submission after the deadline set by art. 6.1

Missing Mobility Programme

Missing signature by the student’s Supervisor on the Mobility Programme Applications will be declared not eligible ONLY in the following cases:

ISCED code of the degree course of the student not matching with requirements set by art. 2

Study cycle of the student not matching with requirements set by art. 2 Additional cases:

In case of missing motivation letter the selection criteria “Motivation”, if applicable to the specific destination according to art. 7.2, will not be evaluated

In case of motivation letter provided in a language different than English, the grade assigned to the selection criteria “Motivation” will be reduced by 50%

Only for Master students who achieved their Bachelor degree in a University other than Ca’ Foscari: in case of missing transcript of records or certification related to grades for accomplished first cycle degree, this could entail the impossibility to evaluate the selection criteria “Academic Merit” (Check art. 7.2 and 7.3)

Only for PHD students who achieved their Master degree in a University different from Ca’ Foscari: in case of missing transcript of records or certification related to grades for accomplished second cycle degree, this could entail the impossibility to evaluate the selection criteria “Academic Merit” (Check art. 7.2 and 7.3)

Only for PHD students: in case of missing Letter of interest at the closing date of the present Call, the student will be considered eligible but authomatically positioned at the end of the ranking. In the event that all eligible applicants for a specific destination do not submit a Letter of interest, they will be evaluated according to criteria set by art. 7.2, and the selected candidate will have the possibility to integrate the document after the closing date of the call. In any case the Letter of interest will be necessary to proceed with the nomination to the partner University

Only for PHD students: in case of missing CV, the grade assigned to the selection criteria “Academic Merit” will be reduced by 50%

In the event that a student does not hold required language certificates as set by art. 3.2, he/she will be considered eligible but authomatically positioned at the end of the ranking. In the event that all eligible applicants for a specific destination do not hold required language certificates, the Selection committee has the right to evaluate them according to criteria set by art. 7.2, and the selected candidate will have the possibility to integrate the document after the closing date of the call. In any case the language certificates will be necessary to proceed with the application to the partner University.

In the event that a student has regularly made the enrollment tax payment before September 30th, but he/she does not result as fully enrolled within the date set by art. 3.1 due to reasons beyond his/her control, the selection committee has the right to reconsider for eligibility any applications submitted by pre-enrolled students which have met all remaining requirements set by the present Call.

In the event of parity, the correct file name will be a criterion for selection.

In the event of parity, preference should be assigned to students from less advantaged socio-economic backgrounds (based on the ISEEU - Equivalent Financial Indicator Index)

Art. 7 Selection process

7.1 The selection process includes the following steps:

Eligibility check and evaluation process by Ca’ Foscari University;

Nomination to the receiving institution;

Scholarships awarding upon confirmation of the selection by the host University.

Formal application to the host University. 7.2 Valid and eligible applications will be evaluated according to the following criteria, which have been jointly agreed by the

7.3 The above-mentioned criteria will be evaluated starting from the following indicative rules. Selection committes will have the possibility to adapt them if needed: - Academic Merit (based on information – ECTS and grades - registered in Esse3 by the closing date of the Call – grades

assigned to partial exams will be taken into account only in case of absence of any other final exam registered): Bachelor students:

If the student did not register any credit by the call’s deadline, she/he will receive by default 0 points; If the student registered up to 30 ECTS, the weighted average will be considered, but reduced by a 10% malus; If the student registered more than 30 ECTS, the full weighted average will be considered; Master students:

If the student did not register any credit by the call’s deadline, the Bachelor’s Degree’s final grade will be converted (for students who achieved the Bachelor degree in a different University from UNIVE, if a transcript of the Bachelor degree is not attached to the application, the student will receive 0 points); If the student registered up to 30 ECTS, both the weighted average (50%) and the Bachelor’s Diploma’s final grade (50%) will be considered for evaluation (for students who achieved the Bachelor degree in a different University from UNIVE, if a transcript of the Bachelor degree is not attached to the application, the student will receive up to the 50% of available points); If the student registered more than 30 ECTS, only the weighted average will be considered; PhD students:

The grade assigned will depend on the evaluation of academic results (50%) and research activities as per CV (50%). If the student registered ECTS credits by the call’s deadline, the 50% of the academic merit criteria will be calculated based on the converted weighted average. Research activities as per CV will be evaluated as follows, until the remaining 50% of the overall Academic merit score is reached:

- 5 points for every published monograph - 2 points for every published scientific article - 1,5 points for every international conference or seminar held as a speaker - 1 point for every national conference or seminar held as a speaker

If the student did not register any credit by the call’s deadline, the academic results component of the criteria will be based on the converted Master’s Degree’s final grade (for students who achieved the Master degree in a different University from UNIVE, if a transcript of the Master degree is not attached to the application, the student will receive only evaluation for the research activities component); If the student does not state in his/her CV any research activities, he/she will receive up to the 50% of available points; - Motivation: discretional evaluation based on both written form and content of the letter (relevance of the mobility for the

student’s career; use of research facilities at the Host University; impact of the mobility). In case of missing motivation letter the student will receive 0 points. In case of motivation letter provided in a language different than English, the grade assigned to the selection criteria “Motivation” will be reduced by 50%; - LA for study and/or research: discretional evaluation based on amount of credits to be achieved while on mobility; quality

of thesis project (if applicable); consistence between the student’s degree program and the exams stated in the LA; - Language Skills: 75% of the score envisaged by the project if the student meets the basic requirements as of art. 3.2 of

the call + an additional bonus for every official certification submitted and for every additional language level other than the minimum required; - Previous mobility experiences: 10% of the maximum score will be subtracted for each semester/term-long mobility for

study and for each traineeship experience (regardless of its duration), based on information declared by the student in the online application form (that could be checked by International Office based on available data sets). 7.4 In the event of parity, preference should be assigned to students from less advantaged socio-economic backgrounds.

7.5 The final selection decision will consider also cross-cutting evaluation criteria such as gender balance, equal opportunities and participation of disadvantaged groups (disabled students, economically disadvantaged students) providing a more equal and fair selection process. 7.6 At the end of the selection procedure, Ca’ Foscari University of Venice will draft a ranking list of qualified candidates. A reserve list will also be defined and will include the names of eligible candidates that may be awarded a grant in case of withdrawals/drop-out of selected students. 7.7 All applicants will be notified by e-mail to their institutional e-mail addresses ([email protected]) of the selection results as soon as the evaluation procedure has been concluded. The final list will be also published on the Ca’ Foscari University website (Sezione Graduatorie) for transparency reasons. 7.8 Selected candidates will receive a scholarship offer and are required to accept or reject it in written (within 2 days

from the notification e-mail). For every selected candidate who will renounce or not accept within the deadline, Ca’ Foscari University of Venice will nominate a candidate from the reserve list. 7.9 Appeal Procedure Rejected applicants who feel that a mistake has been made in the process or that their application has not been fairly

evaluated can file a complaint to [email protected] not later than 2 days after the notification e-mail, explaining their

reasons.

Complaints from applicants who have failed to satisfy all the eligibility criteria (e.g. who have not produced the required documentation, or have applied for a scholarship but do not meet the requirements, etc.), or have failed to satisfy them within the established timeframes, will not be taken into consideration.

The appeal procedure can only come into play if a candidate feels that the Selection Committees have not handled his/her own application in line with the principles and procedures described in the call. In other words, the appeal cannot concern the decision itself, but only an alleged error made in the process.
