Enterprise Wide Address Management at Kennesaw State University

Introduction

• Issues with student addresses in higher education have accelerated in recent years– Move to web-based grade mailers– Move to mobile based devices

• Issues with student addresses need to be examined without regard to a particular vendor


Address Issues KSU is Experiencing

• Incorrect addresses for currently enrolled students– Banner– Edge databases (i.e., Microsoft

Access/Excel)

• Incomplete addresses in Banner for students. – Banner– Raiser’s Edge



• Students intentionally providing erroneous address information in self-service applications

• Incorrect addresses for employees



All issues are exacerbated by the fact that we propagate invalid addresses across agency lines for currently enrolled or recently graduated students.



Given the issues, two factors are key:• Accuracy

– Are all I’s dotted and T’s are crossed?

• Deliverability– Is it a valid, deliverable address?– Does the recipient still resident at that

address?


Incorrect Addresses For Currently Enrolled StudentsExamples:• NSSE (National Survey of Student

Engagement) survey sent in January 2006– Population selection of 4000 Freshman– Over 200 returned letters (a 5% error

rate)

• President and Dean’s Lists• Departmental mailings


Incomplete Addresses In Banner For Students

Examples:• Foreign nation codes assigned to U.S.

addresses• Missing apartment numbers• Mismatches between county and ZIP

code• Missing street direction

Students Intentionally Provide Erroneous Address

Information• Currently, students receive a prompt

every 30 days to validate their address in BWSS– Baseline web modification– Due to Financial Aid disbursements

going to HigherOne bank account


Students Intentionally Provide Erroneous Address

Information• Students are intentionally altering

their addresses with erroneous information, thereby invalidating the address– Act of retaliation?


Incorrect Addresses For Employees

Examples:• Employees do not keep addresses

current– Move to direct deposit

• PeopleSoft Financials for third party payments, such as travel, are not synchronized with HRMS


Systems Targeted at KSU

• SunGard HigherEducation Banner– Prompted by Admissions and Registrar

• Oracle/PeopleSoft HRMS• Blackbaud Raiser’s Edge

We wanted certified/partner solutions


Vendors Evaluated by KSU

The following vendors met our minimum requirements:

• QAS• Runner Technologies• Satori Software


The Procurement Process

Eventually we chose QAS as our sole source based on the following criteria:

• We require a vendor who is a partner/certified with:– SunGard Higher Education– Oracle/PeopleSoft– Blackbaud



We need a vendor whose solution is database agnostic– Remember those edge databases in

Microsoft Access/Excel?– What about Microsoft SQL Server

solutions?



• We desire a solution that requires no baseline modifications to:– Banner– Oracle/PeopleSoft HRMS– Raiser’s Edge

• Our vendor’s solution must be flexible enough to use against future software acquisitions containing addresses



• We need a solution that can be implemented in phases– Phase I, deliverability based on address– Phase II, deliverability based on NCOA



• Was cost a factor? Of course not!• Okay, that’s a lie• However, we got what we needed

most, flexibility across distributed systems without baseline modifications


The Solution Chosen by KSU

• QAS meets our requirements as well as our desires

• Other solutions are viable and should not be overlooked in your own search

• “If the shoe fits, wear it”


The Solution Chosen by KSU

• We purchased the following QAS products:– QAS Pro

• This is the Microsoft Windows client

– QAS Pro Web• For use with Banner Web Self-Service

(BWSS)

– QAS Batch• Which is used for batch validation and clean-

up against any database via ODBCEnterprise Wide Address Management at Kennesaw State University

KSU’s Current Progress

• We currently have eight (8) QAS Pro clients deployed against Banner

• We will roll out QAS Pro Web with BWSS starting on September 25, 2007
