Happy January and welcome to our very first edition of YCSA Update!

This newsletter is the result of overwhelming feedback asking for more communication from YCSA with regard to

college policy and training. Our hope is that better communication will lead to stronger relationships and greater

collaboration between staffers in the YC community. If you have tips, suggestions, questions or concerns, please

feel free to send them my way. YCSA is here for you and we are listening!

Wishing you the very best in 2014,

Andrea Annibale, YCSA President

Policy Schmolicy

I think most of us can agree

that we don’t lay awake at

night concerned about

workplace policy (well,

unless your name is Rose

Hurley).

However, it is important to

familiarize yourself with

thoughts on best practice so

you have a frame of refer-

ence. Often employees find

themselves saying, “I didn’t

know we had a policy on

that!” The goal here is to

expose you to YC policy in

small, manageable incre-

ments. Remember these

are just summaries. We en-

courage you to take a

minute to look at the full

policies online at

http://www.yc.edu/

v5content/policies/hr.htm.

2.2.1 Employee Classifica-

tion & Status

This policy covers the defini-

tions of faculty, staff, and

student workers as well as

the differences in employ-

ment status. Here you will

learn about full-time, part-

time, and regular part-time

statuses as well as the dif-

ference between limited

term, probationary, and con-

tinuing contract appoint-

ments for faculty.

2.2.5 Employee Training &

Development

YCSA used to be responsi-

ble for distributing Profes-

sional Development funds

for staff. However, during

the summer of 2012, this

policy changed. Visit this

policy to learn how.

Getting it done. Confused about the process? Allow the experts to set

some things straight.

Business Office Best Practice -Cassidy Grantham

Purchasing As the weather gets colder, please remember the following rule regarding purchases.

Any item that will take up floor space or need to be plugged in (e.g. refrigerators, clay mixers, etc.), furniture (including filing cabinets) and repairs to, maintenance of or construction of buildings or grounds projects, all require prior approval from Facilities 776-7690. Hazardous Materials must also have Facilities approval.

This includes fans and heaters!! Prior to purchasing any of the above types of items, please contact facilities for approval. If approved, the Business Office will need a copy of the approval attached with the purchase.

Travel As you start making travel plans in 2014, please remember the following rules regarding meal reimbursement:

To be eligible for meal expenses, the traveler must be on overnight travel (travel out-side a radius of 50 miles from the traveler’s personal residence and duty post).

This policy was implemented several years ago as the result of an IRS audit.

SERVICE EXCELLENCE: Honoring those

who shine

Every month we’ll be recog-

nizing the people around us

who make a difference and

positively impact our work

day. These are the people

who serve students, faculty,

and fellow staff with grace

and a smile. If you would like

to nominate someone for go-

ing above and beyond, please

visit the YCSA website.

Ruth Lillie

Ruth works in the Science

Lab on the Prescott campus

and is always professional

and courteous to those who

enter. No matter the student’s

need, Ruth is there to help.

Thanks, Ruth!

Patti Shelton

Patti works in our Verde Stu-

dent Services Answer Center.

She’s said to always have a

smile on her face and a

cheerful “How can I help

you?” for each student that

comes into the office. Thanks,

Patti!

Angela Fabela

Angela works in the Prescott

Learning Center and manag-

es our switchboard. She al-

ways has a smile on her face

and a welcoming tone in her

voice. Thank you for all you

do to make YC home to our

students!

Exempt? Non-Exempt? What does that mean? Allow Kelli Jones to shine some light.

In accordance with the Fair Labor Standards Act of 1938 and its regulations, employees are either exempt or non-exempt. Job titles do not define whether employees are classi-fied as exempt or non-exempt under the FLSA; rather it depends on how they are paid and what their job duties are.

Exempt (salaried) employees will willingly include, as part of their regular workweek, additional time outside of the standard scheduled work hours to handle short-term projects and to satisfy weekly work requirements as needed. In other words, work the hours need-ed to ‘get the job done’. Occupations typically qualify for the exemption using a specific set of criteria to determine whether an employee is actually exempt from overtime pay provisions.

On the other hand, non-exempt (hourly) employees perform work duties that may be more administrative or technical in nature such as recording or tabulating data or perform-ing other routine tasks. Non-exempt employees work duties are prescribed and deter-mined by their supervisors. So how do you know whether you’re exempt or non-exempt? Look at the last Notice of Appointment (NOA) you were sent. If there is a dollar amount listed under “hourly” (ex. $12.48) then you are non-exempt; if it is listed as annual (ex. $36,221), then you are ex-empt.

Successful people are always looking for opportunities to help others. Unsuccessful people are always asking, “What’s in it for me?” – Brian Tracy

A special thank you goes out to Ruth for her infectious enthusiasm and to Jennifer Taylor, Thatcher Bohrman and Scott Ziminsky for helping us to black out those windows. We’d like to make this an annual event, so plan to join us next time!
