District 7640Club Runner News

ClubRunner, Rotary International Integration

District Version Integration

Integration is available both on the club and district versions of ClubRunner.

The District cannot opt in on behalf of all clubs, it is still something that has to be done individually by each club. This is a rule mandated by Rotary International.Just like the club version, the opt-in process has to happen on two ends; Rotary International and ClubRunnerIf both the club and district are online with ClubRunner, opt-in only has to happen in one place. You will see thatyou are already opted in if you try to follow the same steps on the other site. The District can see which clubs have opted in by going to the Clubs and Membership Detail link on the Adminpage.

If you have any further questions, contact our District Support Team at [email protected].

Opting In at Rotary International Website

To begin synchronizing member data, you need to complete two steps: Opt in on your ClubRunner site andAuthorize at the Rotary International Site. Here are the steps required to opt in at Rotary International's MemberAccess Portal.

Click on the following link:

http://www.rotary.org/en/secureselfservice/Pages/AddVendorOrganization.aspx

This will bring you to the Rotary International Member Access Portal login screen. Enter in your Rotary login andpassword. Note that you will have to be a Club President, Club Secretary, or Club Executive Secretary/Director tobe able to authorize data integration.

Select ClubRunner from the drop down list of Partners.

Read the terms and conditions on the screen, and if you agree, click the button "I Agree".

If the above link does not work, you can also access the Authorization screen by logging into Member Access asusual, then navigate on the left to "Update Club Data". Scroll down to the bottom of the screen and look for thePartner Organization section. Click on Add Partner Organization, and you will then be able to complete steps 2and 3 above.

If you have any questions or require support using the Rotary International website, please contact RI [email protected] or call 866-976-8279.

Opting Out of Integration

• Your club has the option at any time to discontinue integration and opt out. To do this, followthese steps on ClubRunner:

• Login to your ClubRunner site• Click on the Membership tab • Select RI Integration• Uncheck the box to switch off Integration. You will see a confirmation message in red indicating

the date and time that you have rejected integration. At that point in time, all future changesmade to your club database will no longer be sent to RI. If you had any pending changes in thequeue, those will also be cancelled, however note that if an email was already sent to RI, thiscannot be recalled and that change will still be processed.

• Although at this stage you will no longer be sending updates, you may also wish to remove theauthorization at the RI level for integration. To do so, login to RI Member Access Portal and locatethe Partner Organization section and click Terminate beside ClubRunner.

If your club wishes to opt-in once again to the API Integration, you can simply follow the steps outlined in theIntroduction and Overview help article.

Supported Types of Changes

This integration initiative is part of an ongoing project which will continually be enhanced with further options. At this time, the API Integration supports changes made to existing members, with the following fields availableto be opted in:

• Name (mandatory - cannot opt out) • Address (either work or home must be Home phone (optional) • Work phone (optional) • Cell phone (optional) • Home Fax (optional) • Work Fax (optional) • Email (optional)mandatory)

It is important to understand that there are strict business logic rules that take effect whenan update is attempted to be made to the RI database. If for any reason an update fails this business logicphase, an automatic email will be generated and sent to Rotary's data services division to be manually updated. These email updates will require longer to be processed, and you should not expect the changes to take effecton RI until at least one week later.

Annual Giving Easy to Understand

Let`s say you invest $100 a year into The Rotary Foundation(TaxDeductible).Where does it go?

It goes to Rotary`s Annual Fund and is used for 3 Years, combined withother peoples money to do As Governor CarolAnn would say GOODSTUFF. Good Stuff are programs such as; Group Study Exchange, YouthExchange, Revolving Loans and Micro Grants, Health and HungerProjects and Many more projects.

I mentioned 3 years, and that is when 50% of what Our District raisescomes back to us. That is how we Pay for our projects. OurOrphanage, GSE, Scholarships, Literacy Projects, and many others. Oh,the one I did Not mention is our District Simplified Grants. Just toName a few are Clean Water, Feeding the Hungry Locally and alsoHealth Projects.

Remember it does not hurt to give, it only makes You proud of doingGOOD STUFF.

If your Club would like anyone to speak on The Rotary Foundation, please contact me and one of us On the Foundation Committee will behappy to come.
