o Atendoftherotation:thementorandstudentwillagreeonaccomplishmentsandtechniquesachievedbythestudentandtowhatlevelthegoalswerereached.

COMMITTEEMEETINGS§ Atthebeginningofthesecondyearofgraduatestudy,thestudentandmentorwillselectadissertation

committee.• Atthefirstcommitteemeeting,thecommitteewillelectachairperson(notthementor),whoisresponsiblefor

theconductofcommitteemeetingsandfinalizationofmeetingreports.• Committeemeetingswillbeheldatleastonceevery6months.

o Regularcommitteemeetingsareheldforthedurationofthestudent’smembershipoftheMIPgraduateprogram,includingafterthepreliminaryexam.

o Thestudentisresponsibleforsettingthetimeandlocationofeachmeeting,preferablyviaaDoodlepollordirectcontactwithcommitteemembers.

o MIPgraduatestudentspresentaresearchseminareachyear-ideally,oneofthe6-monthlycommitteemeetingsisscheduledfordirectlyaftertheseminar.

• Thestudentmustprovideareporttoallcommitteemembersatleast3daysbeforeeachcommitteemeeting,including:

o a‘specificaims-style’documentofonepageinlength,includingashortintroductionofthesubjectarea;thesignificanceofproject,andthespecificaimsofproject.ThisdocumentshouldbeinNIHstyle,butcanbelessformal,e.g.canbeinbulletedform.

o a1to2-pageprogressreportdescribingtheworkaccomplishedsincethepreviousmeeting.Thismustaddresseachofthe6-monthgoalsstatedinthepreviouscommitteereportandshouldNOTbereplacedbyacopyofanypowerpoint/seminarpresentation.

o goalsforthenext6-monthperiod.

• Assoonaspossibleaftereachcommitteemeeting,areportwillbeprepared,includinganassessmentof:o thelevelofunderstandingoftheprojectandmethodologiesasreflectedbytheabilityofthestudentto

presentanddiscussallaspectsofthework.o satisfactorycompletionof6-monthgoals(orappropriateeffortbeingmade).o goalsandexpectationsfornext6-monthperiod.o thepotentialoftheworkforpublication.

Thepreparationofthecommitteemeetingreportiscoordinatedbythecommitteechair.Thereportisfinalizedafteragreementofthecommitteeandisdiscussedwiththestudentandmentor.Copiesofthereportareemailedtothestudent,[email protected]

YEARS2–5• Committeemeetingsshouldoccuratleastevery6months.• Writtenrequirementsofthestudentpriortoeachmeeting,andmeetingreports,areasabove.

Ifthecommitteebelievesthatthestudentisnotmakingappropriateefforttowardsthedefined6-monthgoalsattwoconsecutivecommitteemeetings,thenthismayrepresentsufficientreasonfordismissalofthestudentfromtheprogram.Ifthissituationarises,itwillbediscussedfirstwiththeDepartmentHead.E.SEMINAR/JOURNALCLUBALLYEARSSeminar

• AttendanceatMIPdepartmentalseminarsanddissertationdefenseseminarsismandatoryforallMIPgraduatestudents.

• Eachstudentisrequiredtopresentworkinprogressatthedepartmentalseminarseriesonceduringeachcalendaryearofenrollment.

o Year1studentswillpresentworkfromarotation,typicallyneartheendoftheSpringsemester.• DissertationCommitteemeetingsshouldideallybescheduledforimmediatelyaftertheseminarandshould

includediscussionoftheseminarpresentationwiththestudent.GraduateJournalClub(MICRO229)

• AllstudentsarerequiredtoattendandparticipateintheAnalysisofResearchLiteraturecourse(MICRO229)ineverysemesterthatitisofferedthroughouttheirPhDstudies.Thiscoursecomprisesjournalclubpresentationsanddiscussion.

• Studentsarealsoencouragedtoparticipateina‘discipline-based’journalclubwithinthedepartmentifnotengagedinthisactivityduringregularmeetingsoftheirownlaboratory.

F.QUALIFYINGEXAMINATIONYEAR2

• Studentswilltakethequalifyingexambeforetheendofyear2.ThequalifyingexamandinstructionsaredescribedindetailinAppendix3.

• Atthecompletionoftheoralexamination,theQualifyingExaminationCommitteewilldiscussstudentperformanceanddetermineifthestudentpassedorfailed.

• Ifthestudentpasses,he/shereceivesapprovaltocontinuewithhis/herPh.D.researchproject.• Ifthestudentfails,thecommitteemayprovidetheoptiontoretaketheexam.Ifthecommitteedoesnot

providetheoptiontoretaketheexam,thestudentmaycontinueintheprogramtoobtainaMSdegree(MastersinBiomedicalScience).Theoptiontore-taketheexamafterthecompletionofaMSdegreemaybeprovidedafterfurtherdiscussionwiththementor,departmenthead,andcommittee.

G.PRELIMINARYEXAMINATIONYEAR3

• AccordingtoGraduateSchoolpolicy,thestudentmustpassthepreliminaryexamatleastoneacademicyear(3consecutivesemesters)beforethefinaldefenseexamination.

• Studentsarerequiredtotakethepreliminaryexambytheendoftheir3rdyear.• ThepreliminaryexamandinstructionsaredescribedinmoredetailinAppendix4.• Acompleted,typed‘REQUESTFORPRELIMINARYEXAMINATIONFORM’shouldbesenttotheGraduateSchool

atleast2weekspriortotheexaminationdate.• AreportoftheoutcomeofthepreliminaryexamiswrittenupbytheCommitteeChair,distributedtocommittee

membersforcomment,andthefinaldraftthensenttomipgrad@lsuhsc.eduandfiledinthestudentrecords.• Acompleted‘REPORTOFPRELIMINARYEXAMINATIONFORM’mustbesenttotheDeanoftheSchoolof

• Acompleted‘REQUESTFORDISSERTATIONDEFENSEFORM’andacopyoftheDissertationAbstractmustbereceivedbytheGraduateSchoolatleasttwoweekspriortothedefensedate.

• CopiesoftheDissertationmustalsobecirculatedtothedissertationcommitteeatleasttwoweekspriortothedefensedate.

• Aseminaronthecontentsofthedissertation(publicdefense)willbepresentedatthetimeofthedissertationdefense.

• Theseminarmustbepublicizedatleasttwoweekspriortotheexaminationdatewiththescheduledtimeandlocation.

• Thecommitteewillconducttheexaminationbasedonthecontentsofthedissertationandmatterspertainingtothedissertationandwillthendecidebyvoteifthestudenthaspassed.Twoormorenegativevoteswillconstituteabasisforfailureoftheexamination.

• Ifthecommitteedeterminesthatthestudenthaspassedtheexamination,butthatcorrectionstothedissertationarenecessary,thestudentisgivenalimitedamountoftimetomakethesecorrections.Committeemembersmayagreetoleavefinalapprovalofcorrectionstothemajorprofessor,ormayrequiretoseethecorrecteddissertation.

• ThemajorprofessorandstudentwillhavetheDISSERTATIONFINALEXAMINATIONREPORTFormreadyforcommitteememberstosignuponcompletionofthefinalexamination.Committeememberswillsignthisformtoindicatepassorfailureoftheexamatthemeeting.However,theDepartmentHeadwillsignthisformonlyafternotificationthatfinalcorrections,ifany,havebeenmadetothesatisfactionofthecommitteeand/ormajorprofessor.

LOGISTICS

• Thepreliminaryexaminationshouldbetakenbeforetheendofthethirdyearofgraduatestudies.Thefocusoftheexaminationisonaproposalpreparedbythestudentandbasedontheirdissertationproject(seedetailsofrequiredformatandgradinginformationbelow).

• Thestudentwillarrangeatimeanddatewiththecommittee.ADOODLEpollisrecommendedandareservationforatleastthreehoursissuggested.Oncetheexamisscheduled,thestudentshouldreserveaconferenceroom.

• Notealsothatthepreliminaryexammustbepassedatleastoneacademicyear(ie.3consecutivesemesters)beforegraduation.

• TheresearchproposalmustbecirculatedtotheDissertationCommitteeatleasttwoweekspriortotheexaminationdate.

o Descriptionofexperimentsandsub-aimsalreadycompletedshouldbeincluded,eitheraspreliminaryresultswithinthedescriptionofanAimintheResearchPlan,or(ifanAimisessentiallycompleted)asaprogressreport.

o Ifthestudentalreadyhasapublicationdirectlyrelatedtotheproposedthesiswork,thiscanbeincludedasanaddendum.

o Alternativegrantformats(eg.anF30orR21application)shouldnotbesubstitutedfortheabove.• TheSpecificAimspagemaybeviewedandeditedbythementor.Thementormayalsoviewandprovide
