FALL MEETING BREAKOUT SESSIONS

1. CREATING A PIPELINE OF VOLUNTEERS

• How do we turn alumni who attend Duke events into active volunteers? • Considering what motivates Duke alumni volunteer (reference Cornell research), how can we give our

alumni opportunities: o To give back to Duke? o To participate in meaningful roles? o To stay connected? o To help students?

Creating a “Ladder of Engagement”

• Define a ladder of increasing engagement as a volunteer (pipeline) • Anticipate life cycle challenges of our alums

Transition/Succession Planning

• How do we plan for transition/succession of volunteers? • How do we keep active volunteers involved after a transition? • How can we connect alums to opportunities outside of the DAA

Recognizing and Celebrating Volunteers

• Provide feedback, recognition and acknowledgement (beyond awards)

Measuring Effectiveness/Creating a Sustainable Model

• How do we measure the effectiveness of the process we've created?

2. TRAINING WHERE IT IS NEEDED MOST

While on-campus training (the bi-annual VLC ) will offer a robust experience that will be difficult to mimic in the regions, the majority of our volunteers will be trained where they live and will not make it to campus. The mini-VLC model that's developing - Executive Committee meetings in a major city each winter - serves as an important vehicle for bringing DAA expertise to alums, but the range is limited. How do we insure that volunteers have the tools they need to be effective ambassadors for Duke and that they are representing Duke at the level that would make us all proud?

Create a regional orientation model that addresses the following:

• What information and orientation do regional volunteers need to be good ambassadors for Duke? What types of information do they want?

• What would motivate volunteers to participate in an orientation session in their region? • How do we create a Duke Blue Standard that connects alums to the sources they need to be effective

stewards of the Duke brand? • How do we support volunteers equally across our regions? • Who is qualified to lead regional orientation sessions? How does one become qualified to lead sessions?

Page 9: DAA BoD DRAFT Agenda for Fall Durham Board Meeting 11.08.16 … · 2016. 11. 8. · Pola Ayllon Changnon A.B.'85, P'18 Atlanta, GA Email: POLA.CHANGNON@TURNER.COM Jonathan Chou M.B.A.'99

• How much content can be delivered via webinars, conference calls and videos? Who sets and enforces the calendar for these? Where should we house content already available (pocket guides, handbooks, etc.)?

• Should we qualify volunteers as they complete orientation modules and earn their "wings"? • How do we measure the impact?

3. DUKE VLC 2017 - UNIVERSITY-WIDE TRAINING (ON STEROIDS)

The re-launch of the Volunteer Leadership Conference in Fall 2015 demonstrated that there is a hunger for training that addresses both specific and general volunteer needs. Using the agenda from that session as a starting point, create a framework for a University-wide VLC in Fall 2017 while considering the following:

• What do you want to see in the VLC? What would make you attend? • What types of training do VLC attendees need, want and expect? • Scope: breadth and depth of topics that should be offered • Should the VLC address leadership development beyond Duke's needs (community, career, boards, etc)? • Elevate VLC instruction to professionalize sessions • What would make the VLC truly university-wide? • Can we drive attendance with a keynote by the new President (if possible) or other plenary session? • How do we measure the effectiveness of the VLC? • Creation of a Steering Committee to develop VLC 2017 • Timeline of action items to VLC 2017

4. "I WANT TO VOLUNTEER FOR DUKE"

As an organization that engages volunteers across the university, what are the best ways to respond to those who express an interest in getting involved? Please outline a process that takes into consideration the following:

• What should happen when a volunteer raises her hand and says “I want to volunteer for Duke”? • How do we address the disconnect between alumni leaders who need volunteers and alumni who want

to get involved with Duke?

Matching Volunteers with Needs

• Match volunteers' areas of interest and skill sets to roles? • Communicate expectations, responsibilities and commitment for each role • Contextualize a role's importance in the overall scheme to demonstrate relevance • Convince a volunteer that there's something in it for them. What's in it for them? • Offer a catalogue of volunteer roles with descriptions

Measuring Effectiveness/Creating a Sustainable Model

• How do we measure the effectiveness of the process we've created?
