Production Document Scanner Bid 2010-01

I. Scope: It is the intent of this bid to secure a production document scanner for use at City Hall, located at 20750 River Drive on a permanent basis.

II. Instructions to Bidders: The City of Dunnellon is receiving sealed bids for a document scanner as described herein. Bids must be submitted on this “Bid Form” and sealed in an envelope clearly marked “Bid 2010-01 Document Scanner”. Bids must be delivered to the City of Dunnellon, Attention: City Clerk, 20750 River Drive, Dunnellon, Florida 34431, no later than 2:00 P.M., Monday, January 18, 2010. Bids shall be opened and read aloud as soon thereafter as practical; however, no award of bid will be made at that time. This bid submittal deadline has been extended until January 27, 2010.

Bidders must indicate in the Bidder’s Reply column as to whether or not they can comply with the specifications.

The City reserves the right to waive any or all informalities and/or irregularities.

III. General Specifications: Fujitsu fi-6770 Scanner Fujitsu fi-6770A Scanner Under this contract the successful firm is required to comply with the attached specifications.

IV. Due Date and Submittal: Bids must be received by the City of Dunnellon, Office of the City Clerk, by 2:00 P.M., January 18, 2010. Bidders are to use this proposal specification paperwork in total, with contract amounts figured. Amounts must be inserted in the appropriate spaces and signed.

V. Basis of Award: The factors to be considered in making the selections, in order of importance, are as follows:

Scan easily and at high speed

With the fi -6670 and fi -6770 series of scanners, multi-tasking

and the capturing of high volumes of documents can be

easily achieved. These scanners deliver the automation and

dependability needed for mission critical production scanning

applications by combining multi-functional usage and specialised

assignments for effi cient archiving and document management

purposes. Effi cient connectivity is enabled through a dual SCSI/

USB 2.0 interface.

Capable of scanning at up to 180 images per minute in colour or

monochrome these scanners are among the fastest in their class.

The fi -6670 and fi -6670A scanners are ADF only whilst the fi -6770

and fi -6770A scanners additionally come with a fl atbed. All

four models can scan at 90 pages per minute or 180 images per

minute (A4, landscape at 200 dpi). At 300 dpi these scan speeds

are 80 ppm and 160 ipm. In portrait mode all models will scan at

70 ppm and 140 ipm at a resolution of 200 dpi whilst at 300 dpi

the speeds are 60 ppm and 120 ipm.

Users wishing to scan at a higher resolution can do so up to a

resolution of 600 dpi making the scanners perfectly suitable for

print-on-demand solutions.

The impressively compact fi -6670 and fi -6670A scanners weigh

just 17 kg with dimensions of 300 x 640 x 430 mm (H x W x D).

To save space and be inobtrusive when not in use, both the input

and output trays can be folded away which reduces greatly the

width of the unit. The fi -6770 and fi -6770A weigh in at 35 kg with

dimensions of 340 x 690 x 500 mm (H x W x D).

Mixed document scanning

Both the fi -6670 and fi -6770 series of scanners come equipped

with a 200 sheet automatic document feeder (ADF). This feeder

can cope with a variety of mixed documents ranging in quality

and size from A8 to A3 and in a variety of paper thickness from

extremely thin paper (31 g/m2) to thick card (209 g/m2) (there

is no limit to the paperweight when using the fl atbed). With an

exceptional feeding mechanism that allows for mixed batch

processing the need for timely uniform batch processing is

eliminated as well as scanning delays due to paper jams.

Additionally both the fi -6670

and fi -6770 models are able

to scan paper that is up to 3 m

long enabling them to digitise

items such as electrocardiograms,

instrumental data readings and

other equally long documents.

Space saving and user friendly

Both scanners are uniquely designed with both left and right

hand users in mind. The fi -6670 series is equipped with user

panels on both sides of the body, which makes positioning the

scanner for the user’s needs possible. Additionally its extremely

compact design means it takes up very little space and can be

positioned almost anywhere, even tight against a wall or tucked

away in a corner will not aff ect performance or reduce operational

comfort. The ADF of the fi -6770 series can be turned a full 180

degrees to allow for right or left handed feeding. In addition the

operator can choose a side or middle placement of the ADF so

enabling the adaptation of the scanner to suit both space and

user requirements.

Superior feeding

The fi -6670 series and fi -6770 series off er exceptional feeding

capabilities. All models off er straight paper paths. This means

that continuous scanning of a range of mixed size and weight

documents is achievable and as the scanning mechanism picks

the paper from the bottom of the paperstack, the operator can

continuously feed paper whilst the scanner is operating, thereby

optimising the scanners productivity.

ScandAll PRO enables all these scanner models to seamlessly

link with Microsoft Offi ce Share Point Server for easy digitised

document sharing and viewing administration resulting in even

easier document management. ScandAll Pro also allows for

automatic job separation to help improve digitising effi ciency,

the bundled barcode and patch code reading functionality

enables the ability to separate diff erent jobs. This is additionally

supported by ScandAll Pro triggering zonal OCR processes.

Enhanced image processing on the ‘A’ series’

The fi -6670A and fi -6770A come with a pre-installed VRS CGA

board that off ers hardware supported, accelerated image

processing, functionality and performance. These models are

the fi rst in their class to off er hardware assisted VRS CGA and this

sees the fi -6670A and fi -6770A performing at greater speed when

utilising combinations of advanced VRS imaging features. Sharper

images are created from documents that may be stained or darkly

coloured in less time, compared to the software version of VRS.

This guarantees for highly effi cient scanning.

Options

The fi -6670 and fi -6670A can be operated with an imprinter that

prints up to 40 user-defi ned alpha-numeric characters on the

documents reverse sides such as the date and other relevant

information, thus clearly marking them as scanned and making

them easier to retrieve, especially when combining this with a

virtual imprint on the digital image.

Ultrasonic double feed detection comes as standard with

the fi -6670 series and fi -6770 series scanners. This impressive

functionality ensures that should double feeds occur due to

stuck or stapled paper in the batch, the sensors identify and

interrupt the scanning process to prevent possible damage to the

document and also thereby ensuring that all documents in the

batch are scanned. Additionally, advanced intelligence allows for

drastically improved batch scanning by allowing the ultrasonic

double-feed detection sensor to ignore intentional overlapping

documents such as a receipt taped to an expense report, post-it

note on an invoice or documents with photos attached.

Image enhancement

Image enhancement functionalities come as standard with

all four of these scanners. One such functionality ensures that

even trapezoid shaped documents (4 sided shape with two

parallel sides) are scanned in their entirety as well as index tab

and sticky note attached documents. Additionally the models

support a function that removes circular and angular punch hole

representations that are created from scanning loose-leaf sheets,

courier service forms and other similar documents.

Software bundling

The fi -6670 and fi -6770 series scanners come bundled with an

assortment of valuable software tools and applications such as full

versions of Adobe Acrobat Standard, ScandAll PRO with Microsoft

Sharepoint connectivity as well as VRS Professional.
