PREPARING FOR GRADUATION WEEK

Attire

Awards Presentation and Celebration: This event is an opportunity to celebrate your achievements in a more casual setting. Academic regalia is not required. We encourage graduates and guests to wear clothing or other items that celebrate your heritage and identity.

Convocation and Commencement: All graduates who process in Convocation or Commencement ceremonies are required to wear full academic regalia: a cap, gown, and hood. You must wear regalia pertaining to the degree you will be receiving, not regalia from past degrees.

We recommend wearing weather appropriate clothing and comfortable shoes. It is a long day. Your regalia has no pockets and graduates are not allowed to carry bags during the Convocation or Commencement ceremonies. If you must carry something with you, you may wear a small cross body purse under your robes.

Please be aware that the dye used in the graduation robes may “bleed” onto your clothing underneath if the robe gets very wet. We recommend wearing dark colors underneath your robe.

The Harvard COOP manages regalia sales and rentals. You can visit them at https://oakhalli.com/colleges/harvard or contact them at [email protected] with any questions about your order.

WEATHER Rain

Locations and schedules of the Harvard Chan and Harvard Yard ceremonies will remain the same, rain or shine.

Extreme Weather

In the unlikely event of extreme weather, graduates should not go to the Harvard Yard ceremonies. Information will be available on the Harvard Chan homepage, through MessageMe, and by calling 617-432-NEWS. OSA will also send an email.

GETTING AROUND

Driving

Parking in Cambridge and Boston will be nearly non-existent during graduation week. The use of public transportation is highly recommended. Directions and additional travel information can be found on our website: www.hsph.me/convocation

Shuttle Buses

The M2 Shuttle will be available to graduates and guests on Wednesday, May 23rd and Thursday, May 24th free of charge, no ID required. The shuttles are wheelchair accessible. For Lost and Found, contact Vanderbilt Security at 617-632-2800.

Wednesday, May 23rd M2 shuttles will run on their normal schedule between Harvard Yard and Vanderbilt Hall.

Thursday, May 24th M2 shuttles will make a loop between Harvard Yard, FXB, Shattuck International House and Vanderbilt Hall.

Shuttles will leave Vanderbilt Hall starting at 6:15am and every 10 minutes thereafter. Shuttles will leave Shattuck House starting at 7:00am and every 15 minutes thereafter.

At Harvard Yard, shuttle buses will drop off and pick up at the corner of Massachusetts Avenue and Bow Street.

AWARDS PRESENTATION & CELEBRATIONTuesday, May 22 | 4-7pm | Kresge Courtyard For graduating students, their families, and friends, this reception recognizes your contributions, dedication, and accomplishments in a casual celebratory setting. It is open to the entire Harvard Chan community.

The event begins with an oration of the preamble to the Universal Declaration of Human Rights in several languages, followed by an awards ceremony, and concludes with a reception.

Awards will be presented at this event. Awards will also be acknowledged but not be presented during the Convocation Ceremony on Wednesday, May 23rd.

Located under a large tent in the Kresge Courtyard, students and their guests will have the opportunity to thank and bid farewell to classmates, colleagues, faculty, and staff from the School.

Beverages (beer and wine) and hors d’oeuvres will be served.

Guests

This is a non-ticketed event. Graduates are welcome to invite as many guests as they like to join them at the Awards Presentation and Celebration.

HARVARD CHAN CONVOCATION Wednesday, May 23 | 11am-4pm | Harvard Medical School Quad

The proceedings will begin with a procession of faculty and graduates and include remarks from Dean Michelle Williams, a student speech by Jamison Langguth, MPH ‘18, an address from Mary Robinson, Former President of Ireland and former U.N. High Commissioner for Human Rights, and a welcome by M. Rashad Massoud, MD, MPH ‘93 on behalf of the Alumni Council. Graduates will be individually recognized on stage and will receive a scroll of Universal Declaration of Human Rights. After the ceremony, graduates and guests are invited to attend the Convocation Reception in the Kresge Courtyard.

Graduates

Graduating students attending Harvard Chan Convocation do not need tickets for themselves.

Graduates meet by 9:30am in their designated areas:

• Master of Public Health students (including MPH-EPI), Master of Arts and Master of Science students will line up in Kresge cafeteria.

• Doctoral students (including PhD, ScD, and DrPH) will line up in Kresge G-level auditoria.

All graduating students must must check in with staff when they arrive. Students will be given a name card, which must be kept throughout the ceremony and handed in at the stage for reading and onscreen display of the graduate’s name, degree and department.

We will have Convocation Aides in each area to give you your name card and to help you find your place in line. Please follow all instructions given to you by your Convocation Aide.

At 10:00am a mandatory information session for graduates will begin. All graduates must be in their designated area at this time.

Following the information session, you should remain in your designated area until the time comes to process into the courtyard.

Make sure your tassel is on the RIGHT side of your mortarboard (your right).

At 10:20am the procession will begin. As you process out of your area and into the courtyard, follow the person in front of you to maintain proper alphabetical order.

You will leave the Kresge Building and follow the procession leaders into the HMS Quad in one single file line. After processing through the guest seating section, you will be greeted by ushers who will tell you which aisle in the student seating section you should process down. A Procession Guide will lead you to the proper row and help you to your seat. Please take every seat in a row and do not enter a new row unless you are instructed to do so. Remain standing. Dean Williams will signal when you should sit down at the end of the processional.

When your time comes to cross the stage, an usher will let you know when you should proceed to the front of the tent. When the people in your row rise to go to the stage, rise with them and move left.

Doctoral: As you approach the stage, hand your name card to the staff member. Remove your tam and put your hood over your left arm. When instructed by staff, proceed across the stage. You may not hear your name until you are en route. Department and program chairs will robe doctoral candidates. Please proceed across the stage to receive the scroll of the Universal Declaration of Human Rights from Dean Williams, smile and pause for your photo, then return to your original seat.

MPH & Masters: As you approach the stage, hand your name card to the staff member. When instructed by staff, proceed across the stage. You may not hear your name until you are en route. Continue on to receive the scroll of the Universal Declaration of Human Rights from Dean Williams, smile and pause for your photo, then return to your original seat.

The Dean and Faculty will begin the recessional. Remain in your seat while they march out and then follow them down the center aisle.

Guests

All guests should enter the HMS Quad via the 200 Longwood Avenue entrance (see map on page 17). This is a ticketed event; guests without tickets will not be allowed access to the tent. Children over two years of age need their own ticket. Any guests without tickets or those who wish to watch the ceremony from indoors are welcome to access our indoor overflow viewing areas (see list on page 10) via the FXB entrance on Huntington Avenue (see map on page 17).

Guest seating is general admission. Guests with tickets may begin seating at 9:30am. When guests enter the tent, their tickets will be torn and they will receive a non-toxic hand stamp, allowing them access to the ceremony area. Guests will not be allowed to hold seats with bags, coats, etc. Ushers will remove these items.

Please allow extra time for security checks. Luggage and backpacks are NOT allowed on campus. No bags over 12”x12”x12” will be permitted. Please make alternative arrangements for your belongings.

All guests will be screened with a handheld magnetic device. Anyone with a Medical Device ID card should be prepared to present it to security.

Please be considerate of all of our guests and do not stand on chairs or in the aisles. You are strongly encouraged to stay seated throughout the ceremony.

Guests with Disabilities

Guests who have reserved seats in the section for those with disabilities should enter at the 200 Longwood Avenue entrance with all other guests. All guests MUST present their tickets to gain access to this section. Only those who hold tickets specifically for this section will be admitted. Accessible restrooms are available in the quad as well as in the Kresge and FXB buildings. Please ask an usher for assistance to these locations.

The ceremony is open captioned on all screens and viewing areas.

Medical Assistance

In the event of a medical emergency, notify any staff member or security officer. Staff members will be wearing name badges. Emergency and ambulance services will be on call and onsite all day.

Strollers

For the safety of our graduates and guests, strollers will not be allowed inside the HMS Quad. Please make alternative arrangements or we can provide storage during the ceremony.

Children

Children are welcome at all Harvard Chan events. However, children may not accompany graduates as they process. We offer a family room with activities, snacks, and a live broadcast of the ceremony in the Second Floor Lounge of the Kresge Building. Children may not be left unattended and must be supervised at all times.

Private mothers’ rooms are available on the ground floor of both the Kresge and FXB Buildings.

Reception

For graduates and their guests, this formal reception presents an opportunity to socialize and celebrate the soon-to-be graduates. Located in the Kresge Courtyard, elegant displays of food, beverages, and desserts are offered for all in attendance.

Water will be available in the Convocation tent throughout the ceremony. However, we strongly recommend that graduates and their guests plan to eat breakfast prior to arriving, as additional refreshments will not be served until the reception begins at 2:00pm.

Religious Accommodations

We recognize that graduation week overlaps with the Muslim holy month of Ramadan and many of our students and guests may be fasting. We have arranged to provide portable hors d’oeuvres packages for our Muslim graduates and guests to take home and enjoy post-sundown.

We also offer a Wudu Room for ritual washing and a Reflection Room for prayer and meditation. Any Harvard Chan staff or volunteer will be able to direct guests to these rooms. We have also provided a list of all Harvard Graduation Week Iftar dinners on our website.

Photography

For your benefit, arrangements have been made with Commencement Photo, Inc. for a professional photographer to record your moment on the stage. The full color proofs of these photos will be mailed without obligation to you approximately one week after Convocation. This service will enable all participants to have a photograph of their graduation.

Information regarding this service was mailed directly to you. If you did not receive this mailing, please contact Commencement Photo, Inc. at (978) 851-5924 or [email protected].

For safety reasons, no photos or videos may be taken from the aisles or the common areas. Guests are asked to remain in their seats, enjoy the ceremonies, and limit picture taking to the processional and recessional. Harvard Security will enforce this rule.

Diploma Dispersal

Diplomas will be available for pick-up in the Kresge Building on Thursday, May 24th, 12-6pm. Please note that graduates with academic or financial holds on their accounts will not be able to pick them up.

Please do not leave your diploma unattended. Graduates can also arrange to have their diplomas mailed to them.

HARVARD MORNING EXERCISES (COMMENCEMENT)

Thursday, May 24 | 9:45-11:30am | Harvard Yard

During the Harvard Morning Exercises, which convene in the outdoor Tercentenary Theatre, Harvard University degrees are conferred. Graduates do not get called by name or walk across the stage; instead, they stand and graduate by school. The event is attended by approximately 32,000 degree candidates, family members, faculty, alumni/ae, and guests.

Graduates

Graduating students in full regalia attending the Morning Exercises do not need tickets for themselves.

You should arrive no later than 8:00am on Quincy Street in Cambridge. Starting at 8:05am, Harvard Chan graduates form a line outside the Sever Quadrangle, Emerson Gate.

Dean Meredith Rosenthal, OSA staff, and the Class Marshals will distribute your official Commencement lanyard and assist with lineup.

You must have a photo ID and a lanyard in order to enter into the Yard.

May graduates should place their Harvard ID in the lanyard. If you are a March or November graduate and do not have your Harvard ID, you may use your driver’s license or any other government-issued photo ID.

Harvard Chan graduates will enter through Sever Gate when called. Please do not attempt to enter elsewhere; you will not be allowed into Harvard Yard through a different gate.

19HARVARD YARD

Please do not underestimate the amount of time it will take you to get to and through Harvard Square, as there will be tens of thousands of people trying to get to Harvard Yard that morning and the streets and sidewalks will be packed.

Once marching has begun, you must stay in line and sit where directed. There will be no time to wait or save seats for friends. All Harvard Chan graduates will be seated in section B6 (see map on page 20).

Guests

Note: All guests require a ticket to enter Harvard Yard. Children over two years of age need their own ticket. Gates for guests open at 6:45am. Guests holding tickets must enter through the “D” entrance gates (D1 through D8). Please see the guest entrance indicated on the map on page 20 or on the back of your Harvard Yard ticket.

Please allow extra time for security checks. Luggage and backpacks are not allowed in Harvard Yard. No bags over 12”x12”x12” will be permitted. Please make other arrangements for your belongings.

Disability Seating

HARVARD AFTERNOON PROGRAM Thursday, May 24 | 2:30-4:15pm | Harvard Yard

The Annual Meeting of the Harvard Alumni Association, also known as the Commencement Afternoon Program, includes remarks by Susan Morris Novick AB ’85, president of the Harvard Alumni Association (HAA); the presentation of the Harvard Medals; an announcement of Harvard Overseer and HAA Board elections; remarks by Harvard University President and Lincoln Professor of History Drew Gilpin Faust; and an address by the 2018 Commencement speaker, Congressman and Civil Rights leader John Lewis.

Graduates

Graduates with lanyards and their HUID do not need tickets for themselves.

Guests

All guests require a ticket to attend the Afternoon Program in Harvard Yard. All Harvard Yard policies about strollers, bags, and disability seating apply to both the Morning Exercises and the Afternoon Program.

The Happy Observance of the Commencement Committee, or “Happy Committee,” is an alumni organization that has overseen this event since 1869. They are available throughout the day to assist guests, students, and alumni in Harvard Yard. They can be recognized by their unmistakable regalia: top hats, tails, and batons.
