New as of Summer 2021

Campers must present one of the following on their check-in day:

1. Negative/Not detected Covid-19 test that is dated no more than 7 days prior to their check in day. Based on our medical team's recommendation, we will not accept a "rapid test". The test must be a PCR/molecular test done within 7 days of the check in day.

2. Positive Covid-19 test dated 3 months to 2 weeks prior to the check in day. Camper must be symptom free with out medicine for 10 days prior to check in day.

3. Positive anti-bodies test dated within 1 week of check in day.

4. A fully complete COVID-19 vaccination card dated 14 days in advance of the start of camp from the

second shot per the CDC to be considered fully vaccinated.

High Risk Campers and Family Members

Parents should not send any child to camp if there are any underlying medical issues that put him or her, or

any member of the family living in the household, at a greater risk if he or she should contract the Coronavirus

while at camp. This should include other vulnerable people that may have contact with your child after re-

turning home from camp. These conditions include but are not limited to asthma, any breathing issues, diabe-

tes, any auto-immune condition as well as any other medical issue as advised by the CDC. Please see this link

for additional details.

https://www.cdc.gov/coronavirus/2019-ncov/need-extra-precautions/groups-at-higher-risk.html

Travel Restrictions

Because it is impossible to guarantee that there will not be a child with the Coronavirus at camp, safeguards

must be put in place as per the CDC, ACA and State Health Department. Ensuring that a parent or guardian

can remove the child that has or is suspected to have Covid-19 is very important. A camper must be picked up

by a parent, guardian or designated caregiver within 10 hours of the Marymount staff contacting them. This

person must be available at all times, day or night, throughout the entire session the camper will be at Mary-

mount. If the person to contact is not the registered parent or guardian, a written notice, signed by the parent/

guardian and the designated caregiver must be completed. This form will be provided upon parent/guardian

request from [email protected] .

While we are not restricting attendance to camp based on travel, we are hoping parents take in consideration

the risk that comes with commercial transportation.

Information

ALL SYMPTOMATIC CAMPERS will be evaluated at the infirmary by an RN and

will decide with parents and administration if a COVID test will be required. Campers

who test positive for COVID may not return to camp. If COVID is not detected the ad-

ministration and medical team, along with the parents will determine when the camper may return to camp

activities.

No Visitors will be allowed at Marymount this summer . This includes parents/ visitors “dropping by”

to drop off items for their campers or staff members.

No packages will be accepted. They will be returned to sender , if they cannot be returned we cannot

take responsibility for any package delivered or left here. However, mail in regular sized envelopes as well

as BUNK 1, will be delivered to the campers as usual.

No camper will be allowed to leave and return for any reason other than essential medical treatment

as deemed necessary by the administration and camp doctor. Campers will not be allowed to leave for any

routine dental, orthodontic, physical check-up, etc. during their stay at camp this summer.

Social Distancing Precautions/ Procedures/ Provisions

Campers will be arranged so that the heads of campers on the top bunks will be over the feet of campers on

the bottom bunks. Campers in bunks on either side will be arranged so they sleep head to feet.

Campers are allowed only on his or her own bed. Campers are only allowed to enter his or her assigned

cabin.

Daily Cabin Procedures

Campers hand’s will be sanitized and washed several times throughout the day.

Campers and staff are expected to shower and change clothes daily.

Campers and staff temperatures will be checked at the beginning of each day and logged. Any temperature

over 100.3 will be reported to the infirmary and administrative staff immediately and camper removed

from the cabin. Any temperatures near but not over 100.3 will continue to be monitored closely.

Daily Cabin Clean Up with campers will now include wiping down door knobs, railings, and other shared

items with sanitizing wipes or spray.

Facility and Equipment Daily/ Weekly Sanitation Procedures

Restrooms will be deep cleaned and sanitized twice daily.

Activity sites will be cleaned several times throughout the day per the Camp Disinfecting Operating Plan.

Cabins will be deep cleaned in between each session.

Mattresses will be sprayed and wiped down after each session.

Page 5: Camp Marymount

Programming Changes

Senior Camp will not be going on a trip off the camp property for obvious reasons. We have begun and

will continue to plan a series of special activities to be carried out on the property. We plan to make it a

summer to remember…for reasons other than the Coronavirus!

Campers will be kept with their cabins or “quads” for activities and eating times. This will ensure a lim-

ited contact group as well as getting to know other campers.

There will be two meal times for each meal where the camp will be divided in half to ensure distancing in

the dining hall.

We have reworked the daily schedule to ensure “social distancing “ while still allowing the campers to be

“with” each other.

The campers will still experience all of the daily activities with their cabin they have in the past as well as

new group games limited to their quad we will play during the time we may be waiting for other to eat,

clean or finish activities.

Health Screening Form

This form must be completed and brought with you on the day of check-in. This Health Screening Form is

MANDATORY for attendance (form located below).

Marymart

Order forms and Marymount swag will be located on our website under the Support/ Events Tab. Parents

will be able to order camp swag for it to be delivered on opening Sunday and throughout the session to

their campers’ cabin!

LOST & FOUND POLICY

In response to the COVID-19 pandemic, Camp Marymount is limiting the items to be

held in lost and found after each camp session ends. We want to be mindful of safe stor

age space and how to prevent exposure of staff and campers from items, from session to

session. As such, camp will only hold the following specific list of items:

1. Jackets/ Sweatshirts/ Jeans

2. Sleeping Bags, Blankets, Pillows

3. Prescription glasses, durable medical equipment, prescription medication

4. Shoes (not water shoes or sandals)

5. Backpacks

Camp will keep these items for no longer than two weeks from the end of the session. After this time, these

items will be donated or thrown away. Please note that these items will be held at the discretion of camp staff.

Items that are soiled, damaged, or otherwise deemed not able to be safely stored will be disposed of. The list of

items camp will not hold includes but is not limited to: socks and underwear, all toiletries and toiletry bags, all

swim gear including swim suits and goggles, hats, t-shirts, pants, shorts, pajamas, washcloths and towels, wa-

ter shoes including, sandals, water bottles, sunglasses, flashlights and headlamps, toys, cameras, arts and crafts

projects.

Daily cabin cleanup will help campers maintain their belongings and help staff identify misplaced items during

the camp session. We highly encourage parents to label all items with their camper’s first and last name to help

our staff identify items during the camp session.

As a reminder, please do not send your camper with anything that is irreplaceable. Things like jewelry or fa-

vorite stuffed animals can be easily lost or damaged. Electronics, including phones, are not permitted at camp.

Phones may not be used at camp and will be confiscated and returned to families at the end of the session.

Camp is not responsible for any lost, damaged, or stolen items– including confiscated phones.

After the camp session ends, if one of the listed items is missing, please contact our program director to ar-

range a safe pickup time if the item is found. After ALL of the sessions have ended we will dedicate day and

times camp will be open to look through lost and found.

If after reading carefully over these policies and procedures you have more questions, please feel free to con-

tact the appropriate program director:

Policies & Procedures

12

CHECK-IN

Check-in will be a drive-thru experience this summer from 12:00 PM– 4:00 PM

We prefer that only one parent come with the camper for check-in to limit the amount of people on the property at a time.

Parents will be emailed a link to sign up for a time slot for check-in day.

There will be a total of 10 options for each time slot to sign up for check-in. You will choose between EX-

PEDITED Check-in (Cabin Check-in ONLY) or Cabin & Medicine Check-In.

Please only sign up for one time slot even if you have multiple campers.

No forms or money will be collected on check-in day!

Please have luggage, snacks and medicine (if applicable) easily accessible for staff to retrieve upon your

arrival. Parents will stay in their car during the entire check-in experience.

Everyone on camp property on check-in and check-out day are required to wear a mask including the

campers. Campers will be able to remove their mask once moved into their cabins.

Only campers and staff will be allowed into assigned cabins. Parents and other outside people will not be

permitted into cabins to limit exposure and number of people on site.

As in years past campers will be checked by Honeycomb Lice Boutique. Because parents are not getting

out of the vehicles all campers with a case of lice will be treated on site and parents will be notified and

billed accordingly.

PROCEDURES:

Greeters (at the front gate): Greets and direct families to specific check-in lines. Parents are reminded

to stay in their car for the duration of check-in

Medicine Check-in Team (FOR CAMPERS WITH MEDICINE): Collects campers medicine and answers

any questions regarding medicine distribution.

- Campers’ medicine must be packed in a large Ziploc bag with campers first and last name written on

the bag. As well as a list of the campers’ medicine on the outside of the bag.

- You will be directed by staff to a parking spot near the infirmary, where one of

our infirmary staff members will greet you and conduct the medicine check-in.

- Once medicine check-in is complete, staff will direct you to Cabin Check-In.

- Campers must have doctors orders for any medications taken daily (see page 16 for more specifics).

Screen Team: Check temperatures and collects Health Screening Form

- Campers will be receiving a temperature check from trained staff. Nurses and directors will be

available throughout the entire check-in process. If campers are not feeling well or showing COVID-

19 symptoms, they will be advised to stay home

- If the camper’s temperature is over 100.3, your car will be directed to the infirmary where a nurse will

recheck your camper. If twice over 100.3 the Administrative staff will inform parents their camper

cannot stay at camp.

- To return to camp, campers must have been fever-free and symptom free un-medicated for at least 72

hours and have received a negative COVID-19 test. Our medical team and directors will determine if

and when the child may return to camp.

Page 13: Camp Marymount

13

Cabin Check-in Team: Informs the camper of the cabin number and counselor for

the session

- When you arrive to your cabin, pull your car to the side of the road in front of the

cabin. The counselor of the cabin will greet and help the camper unload belongings.

WHILE PARENTS STAY INSIDE OF YOUR VEHICLE!

- At this time parents and counselor will exchange Camper Info Sheet (located below)

and Staff Info Sheet.

- Once this is complete we ask that you say your goodbyes in a timely manner to keep

the flow of traffic moving

CHECK-OUT

At Check-in, parents will receive information about how check out will work, including times

PROCEDURES:

Check-out will be very similar to check-in, minus the temperature checks.

You will enter camp during your chosen pick up time and will be directed to your campers cabin.

Your camper’s counselor will load all of their belongings back into your vehicle, while parents remain in

the car.

At this you will be asked to sign your camper out with the counselor and may leave camp if you do not

have medicine to check-out.

If you need to check-out medicine you will be directed to the infirmary prior to picking your camper up

where the infirmary staff will assist you.

SUMMER CAMP CONSIDERATIONS

Temperatures will be checked and recorded for campers and staff daily.

If a camper presents with symptoms of COVID-19 including:

temperature over 100.3, shortness of breath, new loss of taste or smell, nausea,

vomiting, diarrhea, cough, runny nose or sore throat, they will be isolated, parents

called, and must be picked up by the parent or designated guardian within 5 hours of

being called. They may not return until they have TWO negative COVID-19 test at least

48 hours apart and are asymptomatic for at least 72 hours without medication. Campers

who test positive for COVID-19 will be allowed to return based on CDC guidelines.

Check-In, Check-Out, medicine Check-In and Check-Out and health screenings will be conducted through

the window of your vehicle.

Since last summer our facilities now include outdoor handwashing stations and hand sanitizers at activity

areas and cabins.

We will continue to implement sanitizing policies and procedures for each activity and area at camp. In

addition, the administration has created a new schedule to limit cross contamination

Staff has been educated and trained on ALL new policies and procedures pertaining to COVID-19. In addi-

tion, all staff have been educated on recognizing the physical symptoms of COVID-19 as well as under-

standing the importance of being sensitive to campers emotional wellbeing during this stressful time.

FREQUENTLY ASKED QUESITONS

My child has asthma/diabetes/an underlying condition which is under control or not an issue for him/

her. Can he or she still attend Marymount?

We recommended that parents with children with underlying conditions do not send their children to

camp this summer based on the guidelines of the ACA and CDC. This was not to discriminate in any

way, and this was not due to thinking that these children could catch or spread the virus more easily or

commonly than others. This is due to the information provided by the CDC that children with underly-

ing conditions are more at risk to have serious complications with covid-19. It is our responsibility to

inform you, the parents and guardians of the risks you will be taking in sending your child to camp,

where, while many precautions, policies and procedures are in place, we cannot guarantee that the

coronavirus will not enter the camp population. IF you believe that your child is not at a greater risk

and IF you believe that the gain outweighs the possible risk, then you can send your child who has an

underlying condition to camp under the following conditions: You must contact and converse with

your child’s doctor and have him or her complete, sign and return the Underlying Conditions Waiver

provided by Camp Marymount. This form can be found on our website under the Parent tab.

Our child has a school event that was rescheduled during the camping session. If we promise that he or

she would be socially distanced and wear a mask, could he or she attend this event if we promise to go

straight there and come straight back?

No. There are no exceptions to this policy. We understand that children are being put in extremely

hard places with the rescheduling of events. We have had staff who have made the difficult decision to

either miss school events or not work at Marymount this summer. We cannot begin to make any ex-

ceptions to this rule.

Page 16: Camp Marymount

16

We have had a trip planned for (fill in the blank with an amount of time) that will require commercial

travel during the two weeks prior to attending Marymount. We will be wearing masks and practicing

all recommendations for being safe while traveling. Can my child still attend Marymount this summer?

This is a tough one as we understand that families have had plans and with the country opening, they are finally able to get out. We also know that parents are doing everything they know to keep their families healthy and safe. The fact remains that every venture out is potential for exposure and while the airlines

are doing everything they can to keep travelers safe and healthy, there are still recommendations in several states to quarantine for 14 days after traveling commercially. This is a precaution we highly recommend to use as a basis to limit the possibility of exposure to the Coronavirus.

What will group sizes be and how will camp implement contact tracing?

Our cabin groups will be 12 or less in Junior Camp and 16 or less in Senior Camp. Campers will travel to-gether to and from activities with the same group of campers the entire day. During meal times and some night activities quads will be gathered together but still social distancing cabin groups from each other.

Campers and staff will only be allowed to enter their living quarters and not be able to go into any other cabins that aren't theirs. If someone were to have symptoms, we would be able to trace every staff person and camper and alert their families.

How will staff be screened to make sure that they are symptom free?

Staff will complete screening and temperature checks prior to arrival. Staff will be screened and tempera-

ture checked upon arrival to staff training. We will be testing the staff for COVID-19 upon arrival and

quarantining the staff until test results return.

Page 17: Camp Marymount

17

How will campers practice social distancing in the water?

Research doesn't show any evidence of transference in the water. However, campers will wash their hands before going to the lake, sanitize their hands after drying off and

life jackets will be washed with disinfecting solution and hung to dry after use. Ladders and railings will be sanitized between each use as well as paddles and watercrafts.

Will the campers have fun at camp?

Camp is about experiencing safe, fun adventures while making friends in an amazing place! We are com-

mitted to keeping kids safe as our first priority. This summer we added things to make sure that campers and staff wash and sanitize their hands between each activity. We are committed to creating an unforgetta-ble experience that make great memories for the kids!

What can I do as a parent to prepare my child for camp this summer?

We all want camp to be a positive experience! We want the kids to make friends, go on adventures learn more about themselves, God, others and their world while having a blast in nature. How can you help is by discussing: how to properly wash their hands, good hygiene like the importance of changing clothes every

day (sometimes twice a day) and showering properly, explain what 6 feet of separation is (avoid hitting, tackling or hanging on others) and most importantly NOT touching their face. We are promoting healthy habits and we appreciate your help in conveying the importance of following the directions of the staff.

What if a camper tests positive for Covid-19? How will the camp handle the other campers, and can I

pick my child up immediately? Will I get a refund?

If a child receives a positive test for Covid-19, he or she will not return to camp and will receive a pro-

rated refund minus the non-refundable deposit upon written request to the Executive Director within two

weeks of the camper’s departure. We will begin the contact tracing process with the direction of the Wil-

liamson County Health Department, per guideline recommendation of the ACA, CDC, and the State of

Tennessee. The cabin mates will be isolated, but still participate in camp activities in the form of “shadow

camp”. This means that they will still be able to do the camp activities as a cabin, while keeping distanc-

ing requirements with other cabins. The close contacts (as defined by the CDC…those with whom a per-

son has been within 6 feet for 15 minutes or more) will be tested for Covid-19, 24 to 48 hours after we

receive confirmation of a positive Covid-19 test from one camper or counselor. In addition, they will

have enhanced monitoring for potential symptoms until determined they are cleared of infectious risk.

The rigorous cleaning and disinfecting procedures will continue as already planned with an additional

cleaning and disinfection of the cabin. In the event of a positive case of Covid-19, the parents of all camp-

ers will be notified by email and the parents of the cabin mates and close contacts will be called by an Ad-

ministrator in a timely manner. If any parent chooses to pick up their child upon receiving news of a posi-

tive Covid-19 case at Camp Marymount, they will be allowed to schedule that with an Administrator.

There will be no refunds given for any child who leaves camp before the end of the session without medi-

cal proof that the removal was necessary as decided by the Administration. Parents have been advised

and given ample time to withdraw any child with underlying condition(s) that would put the child at high-

er risk for complications of Covid-19; therefore, underlying conditions will not be an acceptable reason

for withdrawing a camper. Although every reasonable precaution is being taken to prevent the introduc-

tion and spread of Covid-19, parents should be aware that Camp Marymount cannot guarantee that any-

one, camper or staff, will not come in contact with or contract Covid-19 while at camp this summer. Par-

ents, guardians, and staff must make the decision that the risk of possibly contracting the Coronavirus is

worth their child(ren) or themselves being at Camp Marymount this summer.
