Order of Business Call to Order 8:50 a.m. (meeting delayed, waiting for other members to show, some members got a little lost) Approval of Minutes: Lloyd motions, Mike Carroll (Elizabeth as proxy) seconds Elizabeth thanked all members present for attending make up meeting. Elizabeth let everyone know that past keynote speaker Charles Parson would be talking at the Colorado Springs Fine Art Center that day at 2:00PM. Currently Charles and his son Colin have exhibition there through mid Feb. All are welcome to attend. Great show to see and/or take students to, very cool stuff. Current Business (5 min each)
Membership Elizabeth Licence 374 current members 272 members are lapsed on membership ***Lapsed Council members need to set example and reconcile renewal of membership ***Shout out/e-‐mail blast by regional and divisional reps to bring lapsed members in for renewal fees, Michael/Cathy suggested we can have members sign up for automatic bill pay, look into Wild Apricot if we can do that? -‐Talking about e-‐blasts YAM blast went out, Justine was thankful (Robin did this)
***Elizabeth proposed a State tour by region by CAEA, like Jane did a happy hour and it worked wonderfully, people came from all around and ideas about scheduling events such as art making, someone from Exec. Council should coordinate with Regional Reps and sign new members up -‐Suggestion -‐ Look at Regional map and possibly rebuild/restructure, catch people at conference registration to clarify region
Finances Lloyd Bourdon -‐Our accounts are balanced; we have about $85,000 after all checks have cleared from Conference. -‐Even though we had 379 registrants conference, which was down from last year, the conference costs were down as well -‐ balanced out. Estimated net profit from Conference ($30 thousand +?) -‐We are currently in the process of merging three accounts (quicken, wild apricot and paypal) and switching to QuickBooks which is what our accountant uses, meeting with accountant again next week. -‐PayPal payments come in as one lump sum to our bank account and create problems identifying who has paid for what -‐We also have changed post office box (P.O. 39232, Denver, Colorado 80239) and this will make logistics for billing much easier -‐We need to get receipts for reimbursement and forms for each area reimbursement, don’t worry about codes but do not put it all on one form and be more detailed in your description as this makes it easier for Lloyd and faster for him to distribute reimbursements Advertising open (not discussed) Collage Deborah Walden (not present) -‐Rep Council members received email from Deborah reminding that deadline submission for Winter Collage was Dec 1 but has been moved Dec. 14th. Email stated that Deborah has sent previous emails with no response from Council. All of Council members present verified that they had not received any communication regarding Winter Collage issue until Dec 5th. Cathy brought up that Elizabeth was not ccd on the latest email that went out to Rep Council. Rep and Exec Council is confused over email from Deborah. ***Elizabeth will look into where communication issues are occurring with emails from Deborah to Rep and Exec Council. -‐Council recommend to communicate deadlines for Collage on our website better, more clear. Elizabeth reminded that info is in handbooks but agreed that the information should be clearly stated on website. ***Elizabeth will contact Robin to update website with Collage deadlines/guidelines and such -‐Winter Collage is slightly delayed; Collage went through personnel changes with Todd and Elizabeth Licence stepping away from design/layout. It has been proposed that Thad McCauley’s wife is going to be new designer/layout
person. Elizabeth asked all Council members to submit articles by new deadline and remember to include links and visuals. Video too. -‐We changed digital publishers; did anybody have issues opening the Fall Collage? No problems noted from Rep Council, it also printed well as it is a PDF. -‐Ben talked about getting over fear of writing something for Collage; write as if you were talking to a friend. Elizabeth recommended looking at previous publications to see what other Council member have done in the past. YAM Justine Sawyer -‐YAM flag is still missing, last seen at the conference during the Awards dinner. ***Anybody at Conference who took hospitality boxes/supplies home please check for flag. Jane stated will look in the buckets and Michael will look in his storage as well -‐YAM website is ready for submissions, clarity was given on the three entries from each teaching level, three entries from each teacher. Contact Justine with questions. -‐There is limited space at the capital, we only have 60 spaces for artwork, Thad helped arrange display panels coming from Aurora -‐ January 15th deadline for YAM submissions and the website has submission examples and lesson plan with details on the webpage -‐Tim asked about alignment with Scholastics and YAM -‐March 17-‐25 Flag exhibit at Capital, March 19th Scholastics exhibit/luncheon with DAM, Youth Art Day on this day, asking for gubernatorial proclamation, banner will be escorted to capital. -‐Justine asked for information for YAM book for what we do for YAM as teachers –due May 1st -‐Winning flag design gets made into 3’ by 5’ flag, Sargent Arts donates supplies for level winners and a trip is given YAM flag winner to NYC -‐Executive council retreat discussed budget for YAM coordinator to be able to attend/represent our state at NAEA. -‐Remember to put the YAM symbol on submissions, even Photoshop it on so the integrity of the piece is not ruined because it is a digital submission anyway and the YAM logo is a requirement to flag consideration. Scholastics Pam Starck -‐Scholastics has had some good changes, the exhibition will be the History Colorado Center on Broadway, 5000 square feet, the space is big and it is exciting so all of the Honorable Mentions will be in the show, even with the Middle School. Gold Portfolios will be able to show 2 pieces, Silver Portfolios will have 1, HM portfolios will have 1. -‐Entries are going to be checked in at Merrill MS, check ins will be Jan 6th-‐7th volunteers are needed -‐Scholasitics will proctor/jury January 22-‐24 at Art Institute of Colorado; volunteers who are not submitting work are needed.
-‐Scholastics are having a film night/digital/animation night at the See, across from East HS and this will be done by initiation. -‐Ceremony is on the February 21st; we are trying to get AIC to give us parking spaces. 4 ceremonies. -‐A smaller show will be in the DAM in March, Luncheon on March 19th, YAM (see above) in coordination with this. If we know anybody that should be invited, let Pam know (Principal, School Board, Superintendent). We are trying to get the AIC to have a celebration later in the day. -‐Scholastics have two new colleges offering scholarships, University of Santa Fe Art and Design and Regis University. We also have some workshops going. Pam is meeting with the Dean at CU-‐Denver next week and hopefully they will judge gaming. ****Pam invited us February 28th for our next CAEA meeting at the AIC; hopefully their Culinary School will host us. This is a change from the original date, Council members adjust your calendar and Elizabeth will make sure it is posted on website. -‐Elizabeth (from Exec. Council) stated we looked at budget and will try and increase our support for Scholastics (Elizabeth will get amount to Pam) Our better relationship with AIC is beneficial for everyone in Colorado and student shows. NAEA Elizabeth Licence National conference is in New Orleans this year, the theme is the “Art of Design” March 26-‐28, Elizabeth will be there with Robin and/or Vanessa, state delegates -‐Jody Chapel received a grant from CAEA and Regis to be able to present at Nationals, Justine is being sent from CAEA to represent YAM -‐We send people from our organization to get presenters, speakers and workshops in place for our conference -‐Robin, Elizabeth and Vanessa were approached by NAEA to get more involved on a larger scale because they want to come back to conference here in Colorado, we need to start thinking about whether CAEA wants to become reflected, exec council is gathering info (pros/cons) Spring Conference Linda Schmale (not present) -‐At Arapahoe CC on May 16th, we are looking at Master Class artists -‐Robin and Exec Council has discussed that we split up Spring conference and having four different “mini” conferences with 2-‐3 master class artists and in four different areas/regions of the state, someone from that region needs to step up, it is not too late for this year to set up Master Class “minis” -‐Jen Gawronski stated that Adams State is definitely interested; Tim suggested an eastern slope/western slope. Someone brought up concerns regarding moving it from ACC, still need Metro location -‐A triangle could be set up Adams State, Colorado Mesa/Northern Co and ACC. Tim said that it opens up multiple weekends for people to attend conferences.
-‐Elizabeth suggested that we could tie membership drive idea with mini spring conferences having a get together event the night before mini conferences -‐Jane motions to set up multiple weekend Spring Conference, in multiple locations, Michael Cellan seconds, motion passes *Action Item-‐Elizabeth talk to Ben (west) and Jenny (east) and Linda to coordinate -‐Linda Schmale and Lisa Adams have run Spring Conference for many years. Discussion regarding Linda’s new role at Scholastics (Head of Volunteers) and how busy she will be with organizing/running volunteers while having to plan Spring Conference. Elizabeth and Lloyd will be taking on more responsibility/involvement with Spring Conference. CAEAE Michael Cellan -‐Show for 2014, artwork is currently traveling around the State. It was at Kanon this summer, in Breckenridge for a month during conference, it went to Alamosa to the Hatfield Gallery at Adams State University, it is now waiting to be displayed in the Ridge Gallery in Colorado Springs in March, after that it is TBD…Gunnison and UNC are in the mix for locations. Michael likes to get it out to colleges and across the state so it is not so “Metro-‐centric”. -‐Thank you to all participants as this is an advocacy tool for us as artists and for us to sell your work. Jane suggested during Springs “happy hour” if regional groups could get together to actually make the work for the show. -‐Michael asked to please do not go to “the secret vault of your artwork” and it is meant to keep us fresh as artists. We have size restrictions for logistical reasons (travel/space). We had 26 participants last year at CVA and now we have 34 participant pieces traveling -‐Currently the show is only for CAEA members and we plan on keeping it that way, as it has been open in the past. Discussion of show is a benefit for members as well as advocacy tool. Fees have been charged in the past but exhibiting should be a part of our CAEA membership. Lloyd reminded that the members in the show should also be current (paid up). -‐RedLine has offered up the gallery for us with suggestions for show including the show being an all art educator show but council discussed keeping it CAEA members only. Council agreed it should be a CAEA Mmeber Show and that the CAEA should continue the “process” part of the show. -‐Pam Starck mentioned including student teacher members even though their membership is less; Michael wants to consider student teacher members next year with current teacher membership only showing work. Elizabeth objected and reminded Council that student teacher members are paying members also and should have access to entering show. Michael express concerns on art educator’s fears of showing work. Michael suggests that we take this on next year. Tim suggested we should allow student
teachers to be in the show because they will follow through will have buy in for involvement with CAEA and Council but also recognizes that current teacher members should benefit from being a part of the CAEA. Pam stated that when student teachers are applying for jobs, being a CAEA member with involvement in showing art work in the CAEA exhibition would help them stand out as candidates. Council will go with just teachers for now and if we have any student teachers sign up, we will discuss it as a Council again. CAEA would like to see everyone participate. All Council was in favor in the council to keep this exhibition traveling and keep funding it. -‐Pam Starck-‐suggested that we go to Higher Ed institutions for sponsorships and advocate for them and it is advertisement. Michael likes this idea. Art Source Mike Carroll (not present) -‐Elizabeth stated this year Art Source is June 21-‐26th in Allenspark, CO at Highlands Retreat Center. Applications are due April 1st. ***The CAEA needs to get 2015 info from Mike Carroll/Pam Farris for CAEA website -‐Theme is “Voice of the Rockies.” Art Source has lined up Lisa Hochritt and talking to Peter London, lineup is not finalized. Council asked how many credits do participants receive, it use to be 3? Pam Starck stated that Art Source is an awesome resource for teachers and you get to create your own artwork. -‐Elizabeth stated that Art Source has scholarships available and is something that Exec Council should look into for possible funding/support. Advocacy Tim Gianulis -‐Tim is going to get a hold of Deborah to request an Advocacy Corner in the Collage. Council agreed that an Advocacy Corner would be a great addition to Collage. -‐Tim suggested at next year’s conference, we should a breakfast discussion with keynotes, politicians, etc. We use to do this and it creates a lively debate. Elizabeth stated that Vanessa has already been getting together speakers/groups/ideas for the Art Advocacy breakfast and that this was discussed at the last Council meeting in Oct. ***Tim and Vanessa need to get together and discuss so the CAEA is not doing double work. -‐Elizabeth and Tim have been getting contact from Diana DeGette on position statements for STEAM and STEM. We as CAEA do not have an official statement. Diana DeGette and the Mayor and his wife, as well as the Governor are supporters of the Arts and the CAEA should be more involved on helping shape the creative landscape. ***Tim asked please if you can and want to get your ideas/thoughts to Tim about STEM/STEAM as well as any other suggestions for advocacy.
Art Liaison Leisa Austin (not present) -‐Elizabeth remembered that Leisa Austin is no longer Art Liaison. Jody Chapel is Art Liaison. Justine Sawyer let Council know that Jody is stepping down from Art Liaison. -‐Elizabeth talked about CAEC (Organization within Denver working to coordinate major players in the Arts) meeting January 10th in Denver ***Elizabeth will look up the time/location for anyone who is interested in attending. Elizabeth will put out a call for a new Art Liaison representative. Fall Conference Elizabeth Licence -‐3 dates to consider for 2015…November 11-‐15, October 21-‐25, October 15-‐18. Elizabeth apologized for not securing the Nov 5-‐8th date sooner; it is now taken at Beaver Run. -‐Discussion of pros and cons each way…main point: when we did it in November, we had highest attendance. A snowstorm can happen in Breckenridge anytime in Oct or Nov. October normally has testing, P/T conferences, etc. ***November 12-‐15th…Jane moves for this date, Cathy seconds…motion passes -‐Theme is Art Synethesia (no official title); February meeting is huge for Fall Conference planning so is it incredibly important that all Council members attend. -‐Jesse Diaz will renew rep council seat -‐Denver Metro Rep-‐Danielle Williams would like to be considered as candidate, another candidate has been talking with Vanessa for Denver but either way; we will have a spot somewhere for anyone who wants to serve on Council. ***Election nominations-‐Reps need to nominate new persons for Council seats; it is a part of our duties. Elizabeth asked for nominations in last email. ***Elizabeth and Vanessa will e-‐mail out additional election information
New Business
Update Bylaws ***CAEA Council will look at these for February, we absolutely need to do this but felt like we needed to wait until there are more Council members in attendance.
Discussion on reducing size/make-up of Representative Council -Suggestion: Maybe one divisional rep instead of two, should we have a three-year term? We don’t want to make it too small because we want to remain inclusive and not cliquish. -Jane asked divisional reps…what is the role? It makes more sense to have Regional reps and not Divisional reps. Alexa-The national level has the divisional levels so we would want to keep divisions but two reps for CAEA does not make sense. Tim-individuals can “piggyback”, Example: Jenny is regional rep but could also be higher ed. Michael stated the concept is to get more people to come in and be apart of what we do. ***Talk more about reforming rep council and maps in future Council meetings ***All Regional Council members: have work session where we look and know who all the art teachers in our region, not just members. Ben has already started a database for NW/West.
Meeting Start Time -Discussion on starting meetings a little later, maybe 9 or 10 a.m. Elizabeth stated that the reason we have meetings so early is so people can get on the road to home at a decent hour but would be all for starting later.
Teacher Grant applications and Student Teaching scholarship application due Jan 15th -Jesse Diaz was the recipient of our teacher grant he applied for funds to purchase an iPad to make connections with students.
Nominations for Awards – nomination packets due Feb 15th ***Elizabeth needs to confirm date with Kim Williams

Month of Photography -‐Alexa stated that there will be a HS Photo show at Carmen Weidenhoff Gallery first 2-‐3 weeks of March during Month of Photography. Open to DPS currently but will consider work from around Denver if there is space. -‐Mark Sink is in charge of the whole Month of Photography -‐‘Best of” will go onto Museum of Contemporary Art – Teen alcove (possibly) ***Alexa will send it out information ***-‐Reception 1st Friday of March-‐discuss in Exec. Council to discuss possible budgeting/allocating funds for reception
