Overview Printing is one of the major reasons companies turn to networking to solve their need to operate more efficiently. With Brother network connected printer and Multi Function Centres (MFC's) it is possible to print across the network using Novell NetWare® NDPS. The document offers an overview to NPDS printing and it's components. It also details a step by step installation of both the Brother Novell Gateway and steps to installing and configuring NDPS printers and MFC's.

Section 1: NDPS Overview

With NetWare 5, Novell has released a new preferred printing system called Novell Distributed Print Services (NDPS). It is available for both NetWare 5 (version 2) and 4.1x (version 1). The main differences between the two versions are a few bug fixes, IP printing is only supported in version 2 and Windows NT can only use version 2 (version 1 does not offer this).

Until now, Novell has had a reputation for being complicated to configure. Using print services has often been a complex task. Initial setup required creating print queues, printer objects and print servers, and then linking them properly. The print server then processed the job from the queue and sent it to the printer.

This document sets out to clarify the NDPS printing method and how it relates to Brother printers and MFC's in particular.

The Advantages of NDPS

According to Novell, the advantages are:

• Improved overall network performance.

• Reduces network print problems.

• Reduces administration costs.

• Drivers no longer need to be stored on workstations because NDPS downloads the driver to the workstation.

NDPS Printer agents

The Printer Agent is a core component of NDPS printing architecture. It is a software entity that provides the communication between the client workstation, the server and the physical printer. The Printer Agent replaces the Print Server, Print and Print Queue of queued based printing.

A printer agent is a NetWare Loadable Module (NLM) which runs at the server. It has a 1:1 correlation with the printer. Every agent is associated with only one printer and is represented by an NDS object.

It performs the following services:

• Manages print job processing.

• Answers queries from network clients

• Generates event notification such as completion of job etc.

• Ensures scalability, allowing you to print to a wide range of devices in WANs, LANs.

NDPS Manager This creates and manages an unlimited number of printer agents. Note: You have to create an NDPS manager within an NDS tree before creating server based printer agents. If the NDPS manager controls a printer attached directly to the server, you must load the manager on the server the printer is attached to.

Gateways A gateway allows NDPS to:

• Send jobs to non NDPS aware printers • Send print jobs to non NDPS printing systems such as UNIX, Macintosh, queue

based printers and mainframes • Access print systems that require jobs to be placed in queues • Query attributes • Manage the printer

Brother provides a Gateway that provides unique features for Brother Printers and MFC's such as easy installation, configuration and monitoring of Brother network connected devices. See Section 2 for more detailed information about the specific Brother Gateway.

NDPS Broker

When NDPS is installed, an NDPS broker is loaded onto the network. This provides 3 network support services - Service Registry Services. This allows public access printers to advertise themselves. - Event Notification Services. This allows printers to send users customised notification

messages. - Resource Management Services. This allows resources to be installed and accessed in a

central location and then downloaded to other entities such as clients, printers or other entities that need them. RMS supports adding listing and replacing printer drivers, printer definition files, banners and fonts.

The NDPS broker logs in and authenticates itself to the server for each of these services. When NDPS is loaded, the broker turns on the services it supports. Note: If you install NDPS again on another server, the installation checks to see if another broker is needed. An additional broker is created only if you install NDPS on a server that is more than 3 hops away from the nearest existing broker.

Public Access Printers A public access printer, is a printer available to everyone on the network but does not have an NDS object representation in the NDS (Novell Directory Service) tree. Public Access Printers have limited services in comparison with Controlled Access Printers. - It provides plug and print capability - No corresponding NDS object - Minimal security - Convenience

Controlled Access Printers Controlled Access Printers are identified within NDS and have a NDS object that represents them. When you create a controlled access printer, access is granted to users located in the same NDS container as the NDPS printer object. - Offers the full range of NDS security options - Full range of printer configurations available

Section 2: Brother's NDPS Gateway Overview & Specification

Brother's NDPS Gateway consists of three components

1. A Gateway NLM that communicates with network attached printers and Multi Function Centres (MFC’s) (Brother.NLM)

2. An NWAdmin snapin that creates printer agents for Brother printers and MFC’s. 3. An NWAdmin snapin that provides real-time status and configuration information for

Brother printers and MFC’s.

Together, these three components allow Brother users to take advantage of the rich set of features available in NDPS.

Section 3: Checking Brother Gateway Installation

To check if the Brother NDPS Gateway is already installed on your NetWare Server, perform the following steps at the server console.

1. Load NWCONFIG 2. Choose "Product Options" 3. Choose "View Configure/Remove installed Products"

A list of installed products will be displayed. If you cannot see "Brother NDPS" in the list of installed products the Brother NDPS Gateway is not installed.

Section 4: Installing the Brother NDPS Gateway and NWAdmin Snap-ins

Download the Brother NDPS Gateway from http://solutions.brother.com/novell Save the Brother NDPS Gateway to a client PC which already has the Novell Client installed. Double click the downloaded file to run the installation program. Note: Before installing the Brother NDPS Gateway to the NetWare server you must be logged into the NetWare Server with administrator rights.

Click Next to install the Brother Gateway on to the Novell Server.

Read and if acceptable click “Yes” to accept the terms of the Brother License Agreement.

If you want to change the destination folder or server of the Brother NDPS Gateway click Browse to select the new destination and then click Next. The Brother NDPS Gateway is now installed to the specified server and the installation is finished.

Section 5: Modifying the Brother Printer Driver INF file

Before loading Brother Printer Drivers to the NDPS Broker it is suggested to check and modify the Printer Driver INF if necessary to ensure successful operation when used with NDPS Remote Printer Management. If you have already loaded the driver to the broker and the driver installation fails with NDPS Remote Printer Management you have two options.

1. Delete the existing driver from the broker, modify the INF file and load the new driver. 2. Modify the INF and load the new driver to the broker as a new driver with “Annotation”.

Modifying the INF File. It has become apparent from discussions with Novell that the path used in the Brother INF file is not a recognised path for Novell NDPS Remote Printer Management. This may cause the Brother Driver installation to fail with NDPS Remote Printer Management, displaying the error message below.

To correct this issue there are two options.

1. Novell will release a new .dll that will correct the problem within NDPS Remote Printer Management. The file name is NIPPDRVI.DLL but no date was given by Novell for release of the file.

2. Modify the Brother Printer Driver INF file before to the broker as explained below.

This explanation is for Windows 2000 PCL drivers only. In the section labelled [BROHL00B] below the path of three file names are missing. By adding the names of the three files below we can correct the path used by NDPS Remote Printer Management to make successful installation of Brother Printer Drivers. Section 6: Adding Brother Drivers to the NDPS Broker (RMS – Resource Management Services)

Before creating an NDPS Printer Agent, the drivers must be added to the NetWare® server. Note: If you want to add resources to the NDPS Broker from a Windows® 2000 worstation you must the NWAdmin application with the \diasabletlsmgr switch

To add new resources to the Resource Management Service database, do the following:

1. Make sure the Resource Management Service is enabled. 2. Open the Broker Object's main window in NetWare Administrator.

The Resource Management dialog appears. Select the Add Resources button. When the Manage Resources dialog appears, select the icon for the type of driver you want to add. This will be a 3.1x, 95/98 or NT4 driver for NetWare 5. If you are using NDPS version 1 with NetWare 4.x only 3.1x and 95/98 options will be available. NDPS version 2 for NetWare 4.x will support NT drivers automatic download.

A complete list of currently loaded resources of that type appears in the Current Resources window. Click the Add button. The Add <resource type> dialog appears. The listed resources that appear on this screen are currently installed. Press the Browse button to locate the driver you want to add to the list. The driver list appears possibly showing several printers. This should be the driver in the different languages supported and unfortunately you cannot be selective about which language you want from the INF file, it sets up all of them. Furthermore, it does not distinguish which language is which. In the case of the NC-8000 Printer server only one driver will be presented.

Note: Resources cannot be installed from multiple floppy disks. If a printer driver or other resource is shipped on more than one disk, copy the files to a directory on a hard drive or network drive and install it from there. Although NDS objects do not represent public access printers, you can manage these printers with the same utility you use to manage NDS objects--the NWAdmin utility. From the Tools pull-down menu, you select the Public Access Printers option to manage a particular public access printer. The Public Access Printers option is one of several options included in the NDPS snap-in modules for the NWAdmin utility. These snap-in modules are installed automatically when you install NDPS.

Section 7: Creating a Controlled Access Printer

You have two options available to configure the Printer Agent in NWAdmin32, it is possible to select the new object icon from the toolbar and then select NDPS Printer Agent or you can select Object…..New from the menu bar at the top of the screen.

From the new dialogue box scroll down and select NDPS Printer from the list of new objects and click on OK.

You now need to enter a NDPS Printer Name which should reflect the nature or name of the printer. This name will appear in the NetWare® directory structure and will be used to identify the object in the tree with the printer. Select the other options as necessary. The default will create the Printer as a controlled access Printer.

You will be presented with the following screen from which you will need to select the NDPS Manager that will manage the Printer Agent. A list of available objects are presented by selecting the check box at the end of the NDPS Manager Name. You then need to select the type of Printer Gateway that will be used to print to the printer. For the Brother device select the Brother NDPS Gateway.

This will start the Brother NDPS Gateway Setup program which will guide you through the installation.

You must now specify the type of connection that you are going to use. There are two possible types

• TCP/IP LPR • IPX Remote printer (RPrinter mode)

Enter the IP address of the Brother device or press search, this will search your network for Brother devices and a list will be displayed.

Select the printer drivers for the client operating systems. The MFL Pro Printer that you added earlier to the Resource management Services of the Broker will appear in the list of drivers presented. Select the MFL Pro Printer Driver and click continue.

Section 9: Advanced Brother NDPS Gateway Features Like any object in the NDS tree NDPS objects can be made available to all users or they can be blocked to stop unauthorised access. There are two types of rights in NDS Security. OBJECT RIGHTS determine what a trustee can do to the object, create, delete or rename and PROPERTY RIGHTS determine what a trustee can do to the properties of an object . Access to print servers can be controlled by the supervisor/administrator to individual users or specific groups. By default, the print server is assigned only to the Administrator and the person who created the printer. There are three roles associated with the security on NDPS objects.

• Manager - Maintains complete control of the NDPS component • Operator - Has administrative control of the NDPS object • User - Is granted the privilege to the NDPS object

To add users to the print server start NWAdmin32.

Navigate through the tree to the relevant NDS Printer object. Highlight the Print Server, right click the mouse and select details or you can double click the highlighted object in the tree, you are presented with the screen below. From this screen select the Access Control Tab.

The Access Control Tab for the Print Server contains three roles, Manager, Operators and Users. The manager can perform any function required on the printer such as printing, managing other print jobs and changing device drivers. The person who creates the printer is automatically a Manager along with the Administrator. Operators can print their own jobs and other print jobs and pause the printer. The person who created the printer is automatically an operator. By default only the Administrator is assigned the role of manager along with the person who created the printer and has complete control of the Print Server. No other roles are assigned so the person responsible for the Print Server (Administrator) has to manually assign the Printer Operators, Users and if necessary the role of the Manager to a user or group of users.

To assign a user as an operator select the Add tab. From here you can browse the NDS tree until you find the correct person or group you wish to assign as the operator or operators. This procedure is the same for managers and Users of the Printer.

Managing Print Control

To go back to the main Printer configuration screen, select Job List button from the main NDPS Printer Control screen.

Highlight the print job you wish to see the detailed information for and Click the Information tab to see details of the print job.

To see the information for Spooling, click the Spooling tab illustrated below.

Spooling allows you to configure the location of where the spooled files are stored before printing, and you can restrict the size of the spooled files if there any constraints on server capabilities. You can also change the order of the print jobs- the default is First in, First Out.. Another option allows you to direct print queues to the printer.

Click the Identification tab from the NDPS Printer Control Window. Identification includes the NDPS Manager and Printer Agent name as well as optional information that will be of use to the Administrator.

Another option available from the Printer Control tab allows the administrator or manager to view the features available on the printer. These will largely be dependant on the manufacturer of the Printer.

The administrator can quickly and easily view the status of the printer from the NDS tree by double clicking the relevant printer in the tree, selecting Status from the Printer control menu. They are then shown the current status of the machine.

Managing the Print job Configuration Configurations are properties assigned to the NDPS Printer Agent that control the behaviour of the print jobs or specific print job. To create a configuration for a print job, select and highlight the Configuration tab from the main Printer Control window and click Modify.

From this dialogue you can create, modify, delete and rename printer configurations.

The main dialogue box has four tabs From the General tab you can select the number of copies, maximum number of copies, priority, banner type and the medium (type of paper) on which jobs can print. Using the Jobs Hold tab as shown in Fig 9 you have the following options, Operator Hold which specifies that jobs that use this configuration do not print until the operator releases them and User Hold which means that the jobs do not print until the operator releases them.

Pause Printer on Job start causes the printer to pause before the job is printed. The printer can only be re-started by a manager or operator. The printer will remained paused for a default of 15 minutes. You can also specify a notification message you want to see when the printer is paused. Pause Printer on Job End is much the same as the previous message. Remain Job For causes the print job to be retained after printing and you can specify the length of time it is retained for. The third tab available is the Job Configuration tab. It is possible to configure the print server using NDPS to automatically notify the user and or manager of the events that happen on the printer, such as low toner and out of paper and so on. This feature works in conjunction with the Event Notification Service. The Event Notification Service uses three types of delivery mechanisms, Pop up messages, E-mail and log file. NDPS also includes an open architecture for vendors to develop other notifications. The Administrator can be on their way to the printer before the user calls.

The fourth tab is the Drivers tab that allows the administrator to specify or change the driver that the Printer Agent will use for different operating systems.
