Before you finalize your event flyer, invitation or registration page, you should first know WHY you are hosting the event. There are four primary reasons why any event takes place. There are also some skills that distinguish an event planner who specializes in SOCIAL (i.e. Wedding, Birthday Parties, etc.) events versus an event planner who specializes in PROFESSIONAL (i.e. Conference, Tradeshow, Product Launch, etc.) events. Make sure you are hiring an event planner who has mastered the type of event that you are planning. After all, who needs a bridesmaid’s bouquet at the release of their upcoming New York Times Bestseller?

YES! Include an Event Planner in your Budget

Event Planners should be able to tell you how they can save you valuable time and money during both the planning & execution phases of your event. If you’re reading this, clearly you have considered hiring an event planner. The question should not be “Can I afford to hire an event planner?” but rather “Can you afford NOT to have an event planner?”

Experience Level Understand how much experience and the last time the prospective planner has planned an event similar in objective & size to the one that you have in mind. Even if this is your first event it shouldn’t look like it; your events should always be a reflection of your brand and vision.

Hours of Availability Consider when you will be available to work with an event planner on your event. If you event planner is only available during the evenings and weekends, however you’re available and prefer to work on the event during normal business hours on weekdays, this could create a conflict for you.

Understand that ideas come with a price A skilled event planner will take time to listen to your ideas and objectives for the event and will provide you with a few general ideas on what is possible. However, make sure they also provide you with the associated costs for their suggested ideas. Additionally, keep in mind, event planners possess boundless creativity, however their best ideas are usually reserved for their actual paying clients.

For example, if the contract lists that the event planner handles “registration”, the last thing you want to discover 48hrs before your event is that printing 500 name badges was NOT included in your contract as part of registration. Software & Technology

Make sure you understand the software that the event planner uses to not only plan your event but more importantly, the planner should be skilled in various software platforms (i.e. Register.Com, Eventbrite, Cvent, etc.) used to register and track attendees. If gaining insight from your attendees is important, several registration platforms can capture that information during the registration process.

Staffing & Collaboration

How many people will be involved in the actual planning? Will you be working with the lead event planner throughout the engagement or someone else on their staff. Additionally, if having a team of volunteers from your own network is important, make sure you understand how the prospective event planner works with volunteers and staff. Last but not least…. PRICE! Unfortunately, there is no license required to become an event planner nor does a certification guarantee that an event planner is experienced in delivering a world-class event. Do your research and compare planners & prices; however, BEWARE of the planner who offers you a price that sounds too good to be true. Any event planner whose pricing model includes being the low-cost provider (low-balling) recognizes that there are tradeoffs in their service and/or experience level

5 Tips for Venue Negotiation by Jasmine Bell, JBell Event Planning 1. Know what you want: It's best to go into a venue contract negotiation with a more solid idea of what you want. Whether this be with pricing, event layout, type of event or the equipment you may need. This way you know what questions to ask, or how to go about negotiating terms that may be mandatory for your event. 2. Do your research: On top of having an idea of what you want from a venue, you cannot just expect that they will give that to you. Before even reaching out to the venue for quotes or a contract, look up reviews, hotel websites, any information you can find about the hotel. This way you are more familiar, and prepared for important terms you may need to negotiate in the contract. 3. Get quotes from multiple venues: Do not put all of your eggs in one basket. That goes to say, get as many quotes as you an from different venues that may seem like a fit for your event. This way, when it comes to contract negotiation, you will know what you can and cannot get from each venue and will be able to make an executive decision from there. 4. Use certain parts of your event as leverage: Depending on the type of event you are having, you may be able to use food and beverage or guest rooms to your advantage. Hotels make a lot of money off of guest rooms and, most of the time, are willing to give you group rates and possible room upgrades. Same with food and beverage. Often times, you can negotiate food and beverage minimums to replace the daily cost of a meeting room rental. 5. Show your value to the venue: Venues that you have never worked with may question your credibility or how much you know about event planning in general. The more research you do, and the more confident you come off in your negotiating, the more the venue will be willing to work with your requests. Ask the right questions, and get the best bang for your buck.
