BlackBerry Business Cloud Services includes the following features:• Ability to manage your organization's user accounts• Ability to synchronize email messages, organizer data, and calendar information from Microsoft® Office 365 to

About migration from Hosted BlackBerry forMicrosoft Exchange Online

Migration is the process of moving BlackBerry® smartphone user accounts from a Microsoft hosted environment toa Research in Motion hosted environment. Specifically, migration moves user accounts from Hosted BlackBerry forMicrosoft® Exchange Online in a Microsoft Business Productivity Online Suite environment to BlackBerry® BusinessCloud Services in a Microsoft® Office 365 environment.

After Microsoft moves your users' accounts to Microsoft Office 365, you need to coordinate your efforts withBlackBerry smartphone users to complete the migration process.

About onboarding 3Onboarding is the process that BlackBerry® smartphone users follow to activate their BlackBerry smartphones whentheir services are migrated from Hosted BlackBerry for Microsoft® Exchange Online to BlackBerry® Business CloudServices. The onboarding process ensures that users retain their smartphone data and settings after migration. Whenusers complete the onboarding process, they can access their work email account, calendar, and applications.

There are two options for users to onboard their smartphones:• If users' smartphones are running BlackBerry® Device Software 5.0 or later, they can use the onboarding wizard.• If users' smartphones are running a version of BlackBerry Device Software that is earlier than 5.0, they can

manually onboard their smartphones.

To onboard their smartphones, users must use a Windows® Internet Explorer® browser when they log in toBlackBerry® Web Desktop Manager.

Onboarding wizardThe onboarding wizard is a tool in the BlackBerry® Web Desktop Manager that allows BlackBerry smartphone usersto activate their smartphones with BlackBerry® Business Cloud Services. The onboarding wizard automaticallyperforms the following steps:• Backs up a users' data and settings• Deletes all smartphone data and resets the smartphone settings to the factory defaults• Activates the smartphone• Restores the data and settings to the smartphones

When the onboarding process completes, users can disconnect their smartphones from their computers andBlackBerry Business Cloud Services synchronizes the users' work data over the wireless network.

Onboarding wizard prerequisitesThere are prerequisites for using the onboarding wizard, and certain considerations that you should be aware of.

The following are prerequisites for using the onboarding wizard:• Users need to use a Windows® Internet Explorer® browser when they log in to the BlackBerry® Web Desktop

Manager.• Users must not connect their smartphone to the computer before opening the BlackBerry Web Desktop

Manager. If a user connects their smartphone to the computer before opening the BlackBerry Web DesktopManager, a wireline activation will begin automatically, and the user will not be able to access the onboardingwizard. Wireline activations are not supported for users that are migrating their services to BlackBerry® BusinessCloud Services.

• Users' smartphones need to be running BlackBerry® Device Software 5.0 or later. If a user's device is running aversion of BlackBerry Device Software that is earlier than 5.0, they can use the manual onboarding process.

• Users need to have administrator rights to their computer.

• Users need to turn off encryption on the built-in media storage and the media card. If users do not turn offencryption on the media card, they will not be able to access the data on the media card after the onboardingprocess completes and the media card might be unusable.

The following items should be considered before using the onboarding wizard:• If users have a large amount of data in built-in media storage, they might want to move data from the built-in

media storage to the media card. The onboarding process will not restore the built-in media storage on thesmartphone if the amount of data stored is more than 1 GB.

• The onboarding process removes personal email accounts from the user's smartphone. After the onboardingprocess completes, the user must set up their personal email accounts on their smartphone.

Manually onboarding smartphonesIf a user's BlackBerry® smartphone is running a version of BlackBerry® Device Software that is earlier than 5.0, or iffor any other reason they are unable to use the onboarding wizard, they can manually onboard their smartphone.

To manually onboard their smartphone, a user needs to perform the following actions:• Create a backup of the smartphone data using BlackBerry® Desktop Software.• Delete all data using the security wipe feature on the smartphone.• Activate the smartphone, either by connecting their smartphone to the computer, or over the wireless network.• Optionally, restore data to the smartphone from the backup file.

Migrating user accountsTo efficiently migrate user accounts to BlackBerry® Business Cloud Services you can create a .csv file that containsthe relevant account information of your Microsoft® Office 365 users, and import this file using the BlackBerryAdministration Service web interface. The .csv file must be created after the user accounts are moved from HostedBlackBerry for Microsoft® Exchange Online to Microsoft Office 365.

For information about creating the .csv file and importing the user account information, see Creating user accounts.

What users can expectBlackBerry® smartphone users will not be able to access their work email accounts and applications from the timethat their user accounts are moved to Microsoft® Office 365, until they onboard their smartphones using BlackBerry®Web Desktop Manager.

During migration, the onboarding process deletes all data from users' smartphones. This is required so that theBlackBerry® Business Cloud Services can activate users' smartphones. The onboarding process is designed to restoreas much of the data and device settings as possible. Users might need to restore certain data and reconfigure somesettings after onboarding. For example, the onboarding process removes personal email accounts from smartphonesand users will need to set up their personal email accounts again after activation completes.

Installing the client components of the BlackBerry WebDesktop Manager on users' computersBy default, when BlackBerry® device users open the BlackBerry® Web Desktop Manager for the first time, the browserprompts them to accept a client authentication certificate and install the required RIMWebComponents.cab file. TheRIMWebComponents.cab file provides the BlackBerry® Device Manager and USB drivers that users require to usethe BlackBerry Web Desktop Manager. To install these RIMWebComponents.cab file, users must log in to theircomputers as a local administrator.

Information to provide to usersOnce you enable BlackBerry® Business Cloud Services and create the user accounts in the BlackBerry AdministrationService, you can ask your users to activate their smartphones using BlackBerry® Web Desktop Manager.

You might want to provide some or all of the following information to your users:• How to open the BlackBerry Web Desktop Manager from the Microsoft® Office 365. For information, see Open

the BlackBerry Web Desktop Manager.• Provide a link to the help for BlackBerry Web Desktop Manager. The hosted help files can be found at http://

docs.blackberry.com/HLP/BBCS/WDT/1.0/en.• Tell users that are running BlackBerry® Device Software 5.0 or later, to use the onboarding wizard.

• Tell users that are running BlackBerry Device Software that is earlier than 5.0, to manually onboard theirsmartphone.

• As good practice, you might want to tell users to back up the data on their smartphone before they use theonboarding wizard. The backup file that is created automatically by the onboarding wizard is deleted during theonboarding process.

• Provide a reminder about the following requirements:• Turn off encryption on the built-in media storage and the media card before onboarding their smartphone.• Do not connect the smartphone to the computer before opening BlackBerry Web Desktop Manager or the

onboarding wizard will not be available.• Set up personal email accounts after the onboarding process completes.• Optionally move data from the built-in media storage to the media card if the amount of data in the built-

in media storage exceeds 1 GB.

Backup and restore resultsThe onboarding wizard automatically backs up the data and settings from BlackBerry® smartphones, and restoresthe data and settings after the BlackBerry® Business Cloud Services activates the smartphones.

The following table summarizes the restore results for different types of data.

Data on the media card The onboarding wizard does not change data on the media card. If the userenabled encryption on the media card before they started the onboardingprocess, the data might not be accessible after the onboarding processcompletes.

Browser options Depending on the version of BlackBerry® Device Software that is runningon the smartphone, some or all of the browser options are restored.

Migration process 5After Microsoft® moves your BlackBerry® users' accounts to Microsoft® Office 365, you must perform the followingactions in the order shown to migrate the user accounts from Hosted BlackBerry for Microsoft® Exchange Online tothe BlackBerry® Business Cloud Services:• Enable BlackBerry Business Cloud Services and register your organization as a tenant.• Create user accounts.• Instruct users to open the BlackBerry® Web Desktop Manager.• Instruct users to activate their smartphones using the onboarding wizard, or using the manual steps, if necessary.

7. In the BlackBerry® Business Cloud Services console, click Sign up now.

8. Select a language.

9. Read the license agreement, select the check box, and click Additional license agreements.

10. Read the additional terms, select the check box, and click Register tenant.

11. Click Login to BlackBerry Administration Service. The BlackBerry Business Cloud Services redirects you to theBlackBerry® Administration Service interface.

Creating user accounts by importing a .csv fileIn the BlackBerry® Administration Service, you can add multiple user accounts to BlackBerry® Business Cloud Servicesby importing a .csv file that contains the user account information. The user accounts must exist in Microsoft® Office365.

The BlackBerry Administration Service processes actions in the order that they appear in the .csv file. If the BlackBerryAdministration Service encounters an error during the import process (for example, an action is incorrectly formattedin the .csv file), the BlackBerry Administration Service continues to process the remaining actions that are listed inthe file and displays an error message for the action that the BlackBerry Administration Service could not process.

The import process can take a long time (more than 60 minutes) to complete if you add more than 2000 user accounts.

Preparing a .csv file

Fields in a .csv file that contain user account information

The following table lists the fields in the .csv file that you need to populate when you import user account information.

Field Description

Email address This field specifies the email address for the useraccount. The user account must exist in Microsoft®Office 365.

Group Names This field specifies the names of the group (or groups)that you want to add the user account to. Group namesmust exist in the BlackBerry Administration Service andare case sensitive.

2. Click Import new users.

3. Browse to the .csv file that contains your users' information, and click Continue. The BlackBerry AdministrationService displays the list of users that it created.

After you finish:

Contact your users and provide them with the information they need to open BlackBerry® Web Desktop Managerand onboard their devices.

Open the BlackBerry Web Desktop Manager1. From the home page in Microsoft® Office 365, navigate to Help > Getting Started > Use email on your mobile

phone.

2. In the Hosted BlackBerry Services section, click BlackBerry Web Desktop Manager. Microsoft Office 365redirects you to the BlackBerry® Web Desktop Manager home page.

The first time you open the BlackBerry Web Desktop Manager, the browser prompts you to accept a clientauthentication certificate and install the files that you need to use the BlackBerry Web Desktop Manager. Toinstall these files, you must have local administrator permissions for your computer.

Use the onboarding wizard to activate your smartphoneThe onboarding wizard automatically backs up the data on your BlackBerry® smartphone, completes the stepsnecessary to activate your smartphone, and restores the data to your smartphone after activation.

Note: The onboarding process removes personal email accounts from your smartphone. After the onboarding processcompletes, you need to set up your personal email accounts on your smartphone.

Before you begin: Disconnect your smartphone from your computer. Do not connect your smartphone to yourcomputer until you are instructed to do so in this procedure.

1. Open the BlackBerry® Web Desktop Manager.

2. Click Run the onboarding wizard.

3. Read the conditions and notes and click Continue onboarding.

4. Connect your smartphone to your computer. The onboarding wizard begins automatically. Do not disconnectyour smartphone from the computer until the onboarding process completes.

5. When the onboarding process completes, disconnect your smartphone from your computer.After you disconnect your smartphone, BlackBerry Business Cloud Services synchronizes your work data overthe wireless network. This process takes several minutes.

After you finish:• If applicable, set up your personal email accounts on your smartphone. For information about setting up email

accounts, see the User Guide for your smartphone.

Manually onboard your BlackBerry smartphoneUse these steps to activate your BlackBerry® smartphone with BlackBerry® Business Cloud Services if yoursmartphone is running BlackBerry® Device Software that is earlier than 5.0, or if you are unable to use the onboardingwizard.

Note: This task removes personal email accounts from your smartphone. After the activation process completes,you need to set up your personal email accounts on your smartphone.

Before you begin: Back up the data on your smartphone using the BlackBerry® Desktop Software. For moreinformation, see the Help in the BlackBerry Desktop Software.

1. Delete all data using the security wipe feature on your smartphone. Do not select the check box for media card.For more information, see the User Guide for your smartphone.This process takes several minutes to complete.

2. When your smartphone restarts, open the BlackBerry® Web Desktop Manager and complete one of the followingactions:• Connect your smartphone to your computer. The activation process starts automatically.• Create an enterprise activation password. Confirm that your smartphone is connected to the wireless

network, and use the enterprise activation feature on your smartphone to start the activation process.

Do not disconnect your smartphone from your computer until the activation process completes.

After you finish:• Set up your personal email accounts on your smartphone. For information about setting up email accounts, see

the User Guide for your smartphone.• Optionally, restore your smartphone data using the BlackBerry Desktop Software. For more information, see

the Help in the BlackBerry Desktop Software.
