The ProblemLaw firms are required to create and keep file, attendance and telephone notes relating to any client interaction as part of the SRA guidelines. This creates a huge overhead to the firm in creating documents and storing them in their Document Management System (DMS) which, for most teams, are seldom (if ever) referred to again. The secretarial cost of creating and managing all of these documents is significant and adds little value for the firm.
The SolutionWith BigHand SmartNote, file notes can be automatically created within the firm’s file note template using Speech Recognition or an outsourced transcription agency to generate the content. These documents can be automatically saved in the relevant place within your DMS, making the process more efficient and the cost vastly reduced.
By also storing a copy of the original audio file in the DMS, linked to the document created by SmartNote, firms can proofread these documents at a later date if any clarification on content is required.
IntegrationsBigHand SmartNote features an out-of-the-box integration with the Worksite Document Management System (versions 8.5 and 9). This means that the document and the audio (if available) can be automatically saved to the correct location within

Smart RouterIf you take the BigHand Smart Router module, you can route files which could not be automatically filed (e.g. those without sufficient profiling information to be stored) to a support resource for manual filing, providing a failsafe should the need arise.
Intelligent Work RoutingThe Intelligent Work Routing system uses the document type of a task to automatically select its destination, so by selecting a document type of 'Attendance Note' when profiling, for example, the task can be automatically sent to the SmartNote workflow with a low priority. This saves fee earners precious clicks and time and helps enforce best practice seamlessly.
Audio File ExportAs mentioned above, the dictation audio can be stored alongside (or even in place of) the automatically created document so that manual proofreading can be performed if necessary. The audio is stored in an encrypted, compressed format (10 minutes of audio is ~1.74MB of storage space).
