A Quick Tour of The Toolbars

InsertView Format Slide Show

Normal View (Office 2000)

Primary view is the slide.Can add text either in Outline pane or in slide body.Text in the Outline pane to the left automatically adjusts as you type.Allows you to utilize Notes pane below.

Normal View (Office XP)

Tabs to left show either Slide or Outline view.Notes displayed beneath picture.Borders of both View and Notes panes are adjustable.

Slide sorter View

Provides thumbnail sketches of slides.Allows quick and easy slide organization.

Insert and delete slides easily.Rearrange slide order by clicking and dragging.

Creating a Slide PresentationFile > New > Blank Presentation

Displays Currently and most recently used design templates.Displays thumbnail views of all available templates.This menu also allows you at adjust the color schemes within the templates.

Creating a Bulleted or Text Slide

Click in Title or Text placeholders to add text.Enter to next line to create bullets.Tab to indent bullets.

Font size automatically adjusts as you add text beyond the text box capacity.

Creating a Chart

Format or Insert New Slide and select chart layout.

Double click to add chart.

Chart type default

Changing the Chart TypeChart > chart typeSelect the chart type you’d like to use.

Most frequently used are Column, Bar, Line, Pie and Scatter.

Press and hold to view a sample of what your chart will look like.You can change column and row headers in the data table to input your own data.

Sound and Effects

While experimenting with new and neat features it can be tempting to try to cram a lot into a slide presentation.

Slide Show > Custom Animation > Effects tab > Sound

Too many effects can compromise the credibility of your presentation.

These extras are best saved for special slides to illustrate a graphic, or highlight a key point.Don’t use these features indiscriminately.

However, be cautious. Too many effects such as flying bullets,changing text colors and sound can distract the audience from the point of the presentation.

Slide Transition

Slide Show > Slide Transition

Transition from one slide to the next with a variety of options from the menu.

Modify speed, sound, timing.

Apply to all slides or just selected ones.

Subtle or non “flashy” transitions are recommended for professional presentations.

A few helpful hintsContrast

Use a dark background with white or yellow text, or a light background with black or dark text.

Sound and EffectsUse selectively and rarely. Whimsical effects and sound are inappropriate for a large professional audience, but can help personalize a smaller, less formal presentation.

PatienceLearning a new program like PowerPoint can take some time. Be patient, try buttons to see what they do, you can always hit UNDO if you don’t like the result.
