Terms & Conditions F&B Exclusivity All food and beverage served at the Hilton Whistler Resort and Spa is exclusively provided by the hotel. Under no circumstances can the Clients, delegates or exhibitors be permitted to bring food items, non alcoholic and alcoholic beverages onto the meeting space, including silent auctions, without the agreed written permission of the Conference Services Manager. Service fees will apply to any outside food or beverage served in our function space regardless if Hotel labor is required.

Meeting Room Setup The Hotel reserves the right to charge a service fee for set-up of rooms with extraordinary requirements.

Menu Selection Menu selections and approximate guest count should be received by the Conference Services Manager twenty one (21) days prior to the event and is subject to availability. We will be delighted to accommodate custom menus for guests with dietary restrictions. These requests must be provided a minimum of three (3) full working days prior to the event. Although prices are subject to change in accordance with market conditions, we will honour menu prices for a ninety (90) day period following the confirmation of your planned event.

Guarantee The guaranteed number of attendees at the event must be communicated to the Conference Services Manager not less than three (3) full working days (or 72 hours) prior to the event (for events that occur on a Monday, guarantees must be received by 12:00 noon on the preceding Thursday). Final charges will be based on the greater of (a) the guaranteed number of attendees or (b) the total number of attendees served. If the guarantee is not conveyed to us within that 72 hours period, final charges will be based on the greater of (a) the original contracted number or (b), actual consumption.

Buffet All Banquet buffets are designed for duration of up to two (2) hours, as per Food Safe standards. Buffets scheduled for longer than two (2) hours will incur additional charges. Coffee break menus are designed for duration of up to 45 minutes.

Chef Fee Chef attended stations can be provided at $65 per hour for a minimum of two hours. One Chef will be scheduled for each 75 guests.

Consumer Advisory Consumption of raw or undercooked meats, poultry, seafood, shellfish or eggs may increase your risk of food borne illness.

Revision of Banquet Event Orders inside 48 hours Any substantial changes that differ from the agreed Banquet Event Order such as floor plan set up, event start time or event finish time will be subject to additional labour charges (at $35/hr).

Guaranteed Consumption Policy Our guaranteed consumption policy is applied when products are requested that are not listed in our menu. A specified amount of product must be ordered and paid in full. We require these special orders a minimum of three (3) weeks prior to the Event. Due to strict licensing in British Columbia, any leftover product becomes the property of the Hilton Whistler Resort and Spa and cannot be taken off property by the client.

Third Party Supplier Delivery time of any rental equipment needs to be pre-arranged with your Conference Services Manager. Labour charges may apply for same day delivery.

Audio Visual Presentation Services (PSAV) has exclusivity to provide audio visual equipment for all events located at the Hilton Whistler Resort and Spa. Should you require an alternative supplier a $250.00 hotel fee will be applied per meeting room per day required.

SOCAN & Re:Sound Fees SOCAN (Society of Composers Authors and Music Publishers of Canada) & Re:Sound fees will apply for events that require music (live or recorded) as per Tariff #8 of The Canada Gazette, Part 1 & Tariff #5. The fees will vary depending on whether the music is for back ground or for dancing, and the total square footage of the event room.

Outdoor Functions The decision to move a function to an indoor location must be made no later than 4pm the night before for a morning event, and 9am the day of a dinner, based on prevailing weather conditions and the local forecast. Changes made after the above cutoff times will be permitted dependent on availability of labour and will have additional set up fees. A set up fee of $140.00 per day will be charged for the use of the Courtyard as part of the group’s program. Outdoor functions shall not extend past 10:00 p.m.

Signage Signs and registration tables in a public area such as the hotel lobby, must be professionally prepared and pre approved by the Conference Service Manager a minimum of 3 days prior to the Event. Banners are not permitted within the public areas without prior approval by the Conference Service Manager. We do not allow the postings of any items (signs, posters, etc.) on any function room walls or doors. Easels may be rented from PSAV.

Liability and Security The Hilton Whistler Resort and Spa will not be held responsible for the damage or loss of any equipment left on property prior to, during or following a banquet event. Arrangements must be made in advance for the security of exhibits, valuables or displays including unattended equipment overnight. Your Conference Services Manager can assist in contracting a security company for your needs.

Cancellation All cancellations must be stated in writing. Functions cancelled within forty-five (45) days are subject to a cancellation fee of 50% of the regular room rental rate. Food and beverage functions cancelled within three (3) weeks are subject to a cancellation fee of 50% of the contracted food and beverage revenue. Individual meeting rooms or scheduled food and beverage functions cancelled less than two (2) days prior to the event will be subject to 100% of regular meeting room rentals and 100% of the estimated food and beverage revenue.
