    This documentation provides an overview over the BAAN Electronic MessageInterchange System (BEMIS). It describes the positioning, structure and workingmethod, as well as the requirements for the correct operation. Furthermore, thenecessary data settings, which support the correct configuration of BEMIS aredescribed in detail.

    This document is intended for everyone who wants to use the advantages of theEDI functionality in connection with the BAAN IV Supply Chain solution, aswell as for every consultant who implements such a solution.

    This documentation does not contain a detailed or complete description of thewhole EDI functionality in BAAN, but is limited to the aspects concerningBEMIS. For further details about EDI, see the EDI Users’ Guide (U7041C US).Users’ Guides are also available for each of the specific file types supported byBEMIS (for example, invoice, shipping schedule). Important fields are identifiedwith both the English and German terms, to assist German-language speakersusing this documentation.

    After the Introduction, this Users’ Guide is divided into seven chapters:

    n Chapter 1 describes the structure of BEMIS and its functioning as interfacebetween the EDI subsystem and the BAAN IV ERP-System. It containsdefinitions of the individual BEMIS components and their functions.

    n Chapter 2 describes the master data settings which are necessary for thecorrect functioning of BEMIS.

    n Chapter 3 describes the conversion settings which are necessary for thecorrect functioning of BEMIS.

    n Chapter 4 describes the code and conversion tables which are necessary forthe correct functioning of BEMIS.

    n Chapter 5 contains information about the used evaluation expressions.

    n Chapter 6 describes the import and export of the defaults.edi file.

    n Chapter 7 describes the interface between the EDI subsystem and BAAN IV.

    A glossary of terms and abbreviations is provided at the end of the book.

    Currently the VDA standard is used in Germany for electronic data interchangein the automobile industry. In contrast to that, the standard ODETTE is used inother European countries and ANSI X.12 is used in the United States. Eachstandard is distinguished from the others by different transmission formats anddata interpretation.

    The BAAN Electronic Message Interchange System (BEMIS) has beendeveloped as fixed interface to the ‘outside world of EDI’ to ensure a consistentprocessing of the different standards from the side of the BAAN ERP-System.

    Therefore, BEMIS provides the following advantages for BAAN:

    n Independence from which EDI standard is usedn Process security when using another EDI standardn Reduction of necessity for development by concentrating on one internal

    standard and for suppliers of EDI subsystemsn Possibility to estimate the necessary efforts for the acquisition to BAAN IVn Reduction of development scope through defined interface

    The diagram on the following page shows the areas, in which BEMIS can beused in the EDI communication chain. Between the EDI subsystems, messagesare transmitted with a certain standard (for example, VDA, ODETTE) usingremote data transmission. The communication between the EDI subsystem andBAAN IV is carried out via BEMIS.

    BEMIS consists of several components to carry out its task in a flexible andcorrect way, as is shown in Figure 1.

    The individual components have the following functions:

    n BAAN EDI in-house format interface fileThe BAAN EDI in-house format interface file serves as interface to the EDIsubsystem. A defined format is available for incoming and outgoingmessages for every message type supported. For incoming messages, the EDIsubsystem creates from the received file an interface file with the agreedformat. For outgoing messages, BAAN IV creates from BAAN data aninterface file with this format, which the EDI subsystem will process, convertinto a transmission file, and transmit.

    n BAAN EDI Converter

    − Outgoing: The EDI Converter creates from BAAN data (for example,schedules, purchase contracts) an interface file with the appropriateformat for the message type required.

    − Incoming: The EDI Converter creates from the interface file theappropriate data (for example, schedules, invoices), in the appropriateformat, which will then be processed in the BAAN modules.

    n EDI Master DataThe EDI Master Data provide fundamental information about thefunctionality and operational capacity of the system concerning the networkused, messages supported and communication partners involved.

    n Converter SettingsThe converter settings contain the instructions for the BAAN EDI Converter,including the format of the interface file by message type and transmissiondirection. These settings define for incoming messages how and where theinformation of the interface file will be stored in BAAN IV. For outgoingmessages, they define how and which BAAN data will be written to theinterface file.

    n Code Tables and Converter TablesThe code and conversion tables define which data have to be converted by theEDI Converter for processing. That way, customer or supplier data (forexample, item numbers, item codes, quantity units) can be converted toBAAN internal data and the other way round. The converter settingsdetermine when these settings are valid.

    n Evaluation expressionsThe evaluation expressions define the conditions under which the EDIConverter carries out certain actions. The converter settings determine whenthese settings are valid.

    n Dynamic Link Libraries (DLLs)Dynamic Link Libraries, which the EDI Converter uses at lead time to carryout certain actions, are available for every supported message type, bytransmission direction. They can be adapted to the application as required.

    The following parameters and master data have to be defined, entered andpossibly maintained to be able to use the BAAN Electronic Message InterchangeSystem and to ensure its functioning:

    The following sections detail the steps necessary, and illustrates them withexamples. The data of the examples refer to the BAAN internal EDI subsystemBEMIS. This system has been developed to become independent of the variousEDI organizations/standards, which are currently used in the automobileindustry. When you set up your system, you should use the values given in theexamples, or only make changes if you are certain what the effect will be.

    EDI Implemented This field has to be set to ‘Yes’ and the BAAN EDImodule has to be installed.

    Standard Path This Unix directory, where the messages and controlfiles will be stored, is used for the communicationbetween BEMIS and the EDI-subsystem.

    Make use of Tracefile When processing messages, all actions will berecorded in a sub-directory (‘Tracefile’) of the‘Standard Path’.

    Our Identification This field contains the network identification of thetransmitter, which is enclosed in outgoing messages.(The encoded number of the company from whichthe messages were generated is usually enclosed aswell).

    Reference Number The message reference for outgoing messages willbe generated on the basis of the subsequent 4 fields.The message reference consists of 14 charactersand contains the fixed part/date/serial number.

    Fixed Part This is the fixed part of the message reference.

    Date Format Different date formats (for example, with or withoutcentury) can be selected in this field. The selectedformat can then be used for the date in the referencenumber.

    First free number The serial number will be increased from thisnumber.

    Action on FirstMessage on New Date

    For every new date the serial number will be setback to 1.

    OrganizationIn BEMIS, the organizations are used as common standard for the datatransmission. These standards are for example VDA in Germany (automobileindustry) or ODETTE in Europe.

    BEMIS itself does not use these standards but a BAAN internalorganization/standard BEM, which is able to support VDA and ODETTEmessages.

    The organization BEM has to be entered in the BAAN session tcedi0103m000.

    Changing the Date FormatFor the BAAN Versions b and c2/3 we have defined a date format using up to 6numerical digits. Reading this definition, you will find out that the date formathas been changed to 8 digits at maximum. With the BAAN Version BAAN IVC4the delivered BEMIS default file the defaults.edi will be different in this point (incomparison to the versions delivered before). In BAAN EDI there is one globalParameter in order to send out date information including the two digits for thecentury.

    The enclosed screen shots will show you where you will find the responsibleparameter.

    You have to choose the following menu option:

    After you called the session tcedi0103m000 you will see that the entry for thedateformat on form two has been changed to “With Century (YYYYMMDD).

    If you use this option above the date format of every exported message will bechanged to 8 digits! This means that the partner system (the translator software)has to able to translate each outgoing message comming with the changed dateformat!

    The fundamental communication parameters (for example, stacker directories,structure of the message files, date formats, separators, and special characterswithin the message files) are defined in the network settings.

    Path This Unix directory, where the messages andcontrol files will be stored, is used for thecommunication between BEMIS and the EDI-subsystem.

    Our Identification This field contains the network identification of thetransmitter, which is enclosed in outgoingmessages. (The encoded number of the companyfrom which the messages were generated isusually enclosed as well).

    General Reference The message reference for outgoing messageswill be generated on the basis of the subsequent4 fields. The message reference consists of14 characters and contains the fixedpart/date/serial number.

    Fixed Part The BAAN company number has to be enteredinto this field as fixed part of the general reference.

    First Free Number The serial number will be increased from thisnumber.

    The important information about the record format is entered in the second form:

    Record Separator LF (LineFeed) indicates the end of a record.

    Field type The individual fields in the records do not consist ofa certain number of characters, but are separated byseparators.

    Separator Sign The fields are separated by a semicolon (;)

    Sign Around Strings Strings have to be put in inverted commas (“ “).

    Leading Zeroes Fields are not to be filled up with leading zeroes, asthe field type is delimited.

    Suppress StandardCommunication

    The standard communication procedure betweenBEMIS and the external EDI subsystem is activated.

    MessagesYou must define the messages processed by BEMIS in the BAAN sessiontcedi0105m000.

    In that session you can also define message-specific sessions (DLLs), which haveto be executed to process such a message. The general message ABRUF musthave been defined when processing schedules in the BAAN EDI standard in-house format.

    Library for incoming/outgoingmessages

    The sessions used for the processing ofmessages will be recorded in this field. They areadapted to BEMIS and every message type.

    Processing type (in) The system checks incoming EDI messagesand processes the messages without error.

    File Layout All record types of one message are transmittedin one file (single).

    Level Identification Position The first part of the record is the identification ofthe record type.

    Level Identification Length The identification of the record type consists ofthree characters

    In BEMIS the identification of the record type isby default “SAx“, with x = 1,2,3,... representingthe level of the record type (1 = highest level).

    Messages by organizationFollowing the definition of the organization (that is, system) and the messages,you define which messages are supported, in which direction they are supported,and which organization they are supported for.

    You can also use this session to determine the code for the message in themessage file (field code in message).

    Active The corresponding message is activated in thisorganization. The processing/generation will be carried outwhen this field is set to ‘Yes’.

    Code inMessage

    This code identifies the message type in the message file.

    EDI relationsThe EDI relation is the business partner with which you exchange messages bymeans of the EDI module. It can be a customer or supplier.

    In the BAAN session tcedi0110m000, the EDI relations will be maintained andassigned to the BAAN internal supplier or customer by entering thecorresponding customer/supplier number.

    In this way a 1:1 relationship between the EDI relation and the BAANsupplier/customer is established.

    For a better overview and a clear assignment you should use the alphanumericalsupplier or customer code consisting of 6 characters as code for the businesspartner.

    Business partner by networkFollowing the definition of the business partner, you need to assign him to anetwork in the BAAN session tcedi0128m000 for the communication.

    In this session you need to enter the network address of the business partner,which will be used in the message file.

    Network Address Incoming messages contain this network address, whichis used to determine the relationship with thecorresponding customer number in BAAN. For outgoingmessages (for example, schedules) use the number ofthe relationship here.

    New BatchNumber

    A new message reference number is applied to for everynew message. This number is used to identify therecords of one message.

    Network Address

    n BAAN creates by business partner (customer or supplier) and message typeone network address, which is identified by identification and path. Thisnetwork address has to be unique.

    n The EDI subsystem has to store an incoming message file from the businesspartner with the agreed file name under the corresponding path of thebusiness partner and message type. The identification of the network addresshas to be written to the record type SA1 in position 3.

    n For the identification of contracts, you can determine in BAAN additionalbusiness partners, for example the ship-to business partner, on the basis of themessage contents (plant/final delivery location).

    The data of the networks and business partner identifications have to besettled amongst the EDI subsystem and BAAN on the basis of the businesspartner relationship.

    Network address not defined in incoming message

    It is possible that the network address is not defined. In this case the transmittersends messages with his identification to several different business partners.Usually it is possible to determine a clear network address when converting theincoming message from the transmitter/receiver information and/or from thecombination of message-specific information already before the conversion ofthe BEMIS message standard.

    With the appropriate configuration of BEMIS it is also possible to convert theship-from business partner into the target business partner by using the code andconversion table below with regard to a corresponding significant field.

    To activate the conversion table, you must maintain the corresponding BEMIStable. Copy the existing standard conversion.

    Messages by business partnerIn the session tcedi0111m000 you define which business partner and which kindof message is linked to a particular.

    You also have to enter the conversion settings to be used for the creation orprocessing of the message with the BAAN internal EDI converter.

    Generation of outgoing messagesThe generation of outgoing messages in BAAN IV is usually prepared with printsessions. After having started the print job, a message is prepared for the EDImodule. The reference number indicating the outgoing message which has to becreated will be stored in the table tcedi700. Based upon this reference, BEMISautomatically or interactively creates the actual message. These sessions arealready programmed in the appropriate way. For example for:

    General informationReceiving a message file from the business partner, the EDI subsystem createson the basis of the incoming standard format (for example, VDA, ODETTE) amessage file in accordance with the BAAN EDI Message in-house File Format.This file will be processed in BEMIS and the for this necessary actions will beexecuted in BAAN.

    Sending an EDI message to a business partner, BEMIS creates from the BAANdata a message file in the BAAN EDI Message in-house Format, correspondingto the message type. This file will be processed in the EDI subsystem, convertedto a file with a standard format (for example, VDA, ODETTE) and sent.

    All these information, which BEMIS requires for the processing (incoming ) orgeneration (outgoing) of the BEMIS message file, are defined in the conversionsettings of the BAAN EDI module by message type and message direction.

    The name and general information about various record types as well as theidentification, number and position of their key fields are recorded in the BAANsession tcedi5112m000.

    The detailed structure of the file in connection with the links between a messagefile field and the corresponding BAAN table field is stored in the BAAN sessionstcedi5110m000 and tcedi5110s000. Furthermore, you will find in these sessionsinformation about linked code and conversion tables or evaluation expressions(outgoing), which will be used for the generation or processing of the BEMISmessage file.

    Changes of the default settings given in the following chapter will lead tomalfunctioning of BEMIS.

    General informationIn BEMIS the code tables and conversion tables increase the flexibility of thedata interchange between BAAN and the business partners.

    There are two possible ways to change the contents of certain codes whengenerating (outgoing) or processing (incoming) messages:

    n Firstly, the codes (for example, country or currency codes) can be convertedusing conversion tables. This procedure will be explained for country codes.

    The code table Countries, which contains the allowed values for the countrycodes, will be maintained by organization. The codes in this table refer toISO4217.
