Introduction

5S principles have been around for many years and adopted by the major companies in a drive to reduce inefficiency, improve the bottom line and credibility. Used frequently within manufacturing ie: Lean management though transferable to other industries.

There are a number of way this can embed and be maintained within companies however firstly consideration in given to the five principles know as 5S.

1. Sort

• The first step is to consider what processes are needed to run your commercial operation and what equipment is required. In considering this be aware of the skill set within the team and what can be outsourced more efficiently.

• Any equipment that is not required needs to be removed from the company as it is taking up valuable space that could be better used. Clutter wastes time and is likely to cause more mistakes.

• Housekeeping projects are a key part of this process.

2. Set in Order

• Put simply everything has its place ie: shadow boards for tools. Workers need to know where equipment is found quickly, supervisors need to know if equipment is missing and replace or have repaired that which does not work. Equipment that can not be used must be removed from operation for safely reasons and to minimise clutter.

• This process extends to designated areas ie: mobile plant bays, bin parks, pallet bins, trailer parks, loading bays etc.

• Beware of silos – we’ve always done it this way. People have to confirm or the process is not workable – this can mean casualties along the way however the other option is not having a sustainable business.

3. Shine

• To drive efficiency and reduce accidents your commercial operations must be clean and tidy, anything not needed or finished with is put away on a shadow board or in its designated area.

• Files are put back into cabinets, loose files are put into designated folders, in order – most current document to the front with older document no longer needed archived. (Don’t keep anything that is no longer needed)

• Exit and escape route must be clean at all times, LEV systems, machine shoots, litter fencing to capture loose materials for easy cleaning.

• Regular inspections ie daily operate checks, supervised checks, internal and external auditing etc.

• Remember housekeeping projects.

4. Standardise

• Standardise operational processes to reduce inefficiency, mistake proof to reduce error.

• Standardise filing ie: standard folders, standard index, standard filing systems – corporately this brings uniformity to the group, gives corporate identity. It means that staff can go to any site within the group and be familiar with internal systems.

• Controlled documents which are approved and used group wide.

• Welcome areas, standard colour schemes, uniforms, standardised PPE etc.

• Storyboards – Family tree on each site.

5. Sustain• When all processes and standards are agreed then it is

important to sustain this – this will include continual improvement of processes in an ever great drive to be the best in the market place. No company can stand still or other competitors will race ahead taking your market share.

• Audits are an integral part of the process ensuring that the company stays safe, compliant and maintains its standard. Part of this corporate identity are accreditations ie: OHSAS18001, ISO14001 & ISO9001 (HSEQ full audits each year assist in this process) as well as external audits.

• Both random and sample audits of key areas throughout the year are also vital ie: housekeeping audit, transport audit, verification audits, etc.
