Admission Policy A pplication Guidelines for Graduate Admission The Graduate School of Kyoto University of Advanced Science (KUAS) seeks applicants with a strong desire to contribute to global society through high-level scholarship and the acquisition of advanced knowledge and expertise in their field of specialization. Prospective CandidatesKUAS welcomes any prospective candidates wishing to start graduate education from September 2020, regardless of age, gender, ethnic background, religion, nationality or place of residence.All of the above are irrelevant to your application as long as you fulfill the university's eligibility requirements. These guidelines are simply intended to be a helpful resource for those considering applying to KUAS.

Application FeeThe application fee is 5,000 JPY (non-refundable), payable with a credit/debit card or other international payment options when you submit your application online.

All applicants must obtain prior consent from one prospective supervisor before submitting their application. This is to ensure that they can have proper supervision for their desired research topic during their study at KUAS.

Application Eligibility

For more details, please contact the Admission Office before sending an application. Submission of documents to prove at least one of the above educational criteria is required before enrolling at KUAS. If you have other educational qualifications, please consult the Admission Office before applying.

Applicants must have or be expected to have by the time of enrollment at KUAS an academic background which meets ONE of the following educational criteria:

Applicants MUST fulfill the following requirements of both a) and b):

Have a master's degree or a professional degree.

Have received a degree equivalent to a master's degree or a professional degree outside Japan.

Have received a degree equivalent to a master's degree or a professional degree by completing a program of an overseas school in Japan that is recognized as equivalent to an overseas graduate school by the Japanese Minister of Education, Culture, Sports, Science and Technology.

Have received a degree equivalent to a master's degree or a professional degree through the completion of a distance learning offered by an overseas school in Japan.

Have received a degree equivalent to a master's degree through the completion of a program at the United Nations University.

Have been designated by the Japanese Minister of Education, Culture, Sports, Science and Technology as meeting requirements.

These criteria are established based on the academic requirements under Japanese educational laws.

EXEMPTION: Exemptions are granted to applicants*1 with degrees from the U.S., Australia, Canada (except Quebec), New Zealand, Singapore, Ireland, and the United Kingdom (England, Scotland, Northern Ireland, Wales) and/or applicants*2 whose first language is English.

*1 : If you are an applicant who has an international equivalent degree from a university of recognized standing in a country in which all instruction is provided in English, please contact the Admission Office for a waiver of English proficiency.

*2 : Applicants who have not earned or expect to earn a degree from a university in the above-mentioned countries MUST submit a waiver request which shows that they are qualified to be waived the English proficiency, along with necessary documents to prove this qualification.

You must meet the minimum score stated in the following table to ensure your level of English proficiency. Since English is the language of instruction in the Graduate School of Engineering, and the Graduate School does not offer English as a Second Language (ESL) programs, all applicants must prove that they can thrive in our academic community.KUAS accepts the following English proficiency test scores.

All applicants must contact the Admission Office through the online form in order to obtain prior consent from one prospective supervisor before submitting an application.

Applicants must fill out the Online Application Form in person and upload your photo* for identification purposes.

*Your photo must be taken within the last three months, showing a front view above the chest against a plain background. No cap or hat is allowed.

A typewritten English summary of the applicant's master's thesis must be submitted. It should not exceed three pages of A4 or US letter-sized paper in length. If you have not yet completed your master's program, a summary of current research will be accepted.

Any format is acceptable, however, it should not exceed five pages of A4 or US letter-sized paper in length.It should be typewritten in English.

Please upload your official academic transcripts (and certified English translation if needed) through the Online Application Form. Transcripts should include all courses, credits, grades, and term information along with details about the grading system which is typically displayed on the back of the transcript.

*Applicants who have not yet graduated from graduate school are required to submit their most current academic transcripts available. Final transcripts will be required at the time of enrollment.

Applicants whose native language is not English are required to provide proof of their English proficiency. Please submit a valid score* from one of the acceptable standardized tests. Please refer to page 6 for the details of each test.

It can take up to 4-6 weeks for your scores to be received by us. Therefore, we highly recommend taking these tests well in advance.

We require ONE letter of recommendation from an educator. It should be from a person in an institution who knows you well enough to evaluate your skills as a student, engineer, scientist or researcher. The recommendation must be submitted through the Online Application Form. There is no specific format, however, it has to be typewritten in English.Please note that KUAS may contact the recommender for more details.

Please upload a copy of a valid passport for identification purposes. Scan or photocopy your photo ID page and submit it. It must clearly show your photo, name, and passport number. Applicants who do not have a valid passport should submit a photocopy of another form of government-issued photo ID. Applicants with neither of these forms of ID are still eligible to apply, however, they will be required to submit a passport photocopy before enrollment.

Please provide the name of the person who will be the source of your financial support while at KUAS, and state your relationship with him/her in the application form. Online InterviewAt KUAS, we value each applicant's passion, enthusiasm, and independent thinking. We would like to learn more about your personality as a whole through interviews. It is not necessary for applicants to travel to Japan for the interview. In fact we do not hold any face-to-face interviews. All applicants must take an online interview, so please ensure that you have access to a web-based video chat platform.After you submit your application, you will receive an online interview offer with detailed information including an interview schedule, so please check your email regularly and respond promptly. Interviews will take place between February and March 2020.

Screening of applications will be conducted based on the documents submitted and the results of the online interview. These processes will take place in a proper manner and each application will be reviewed fairly with careful attention by the faculty members.

Your result will be announced by email on the designated result announcement day. The results will be sent electronically before anything is mailed. Please note that we do not answer any inquiries regarding the results.

ScholarshipsApplicants who wish to apply for a scholarship should indicate so by checking the appropriate section on the Online Application Form when they apply to KUAS. Scholarships are made available to students who demonstrate high academic performance.While at KUAS, students who receive scholarships will be reviewed each semester on their academic performance and other references for the renewal of their scholarships. Therefore, students who are awarded scholarships are expected to maintain a consistently high academic performance, and also to be an excellent example for other students. If the students receiving scholarships behave inappropriately or do anything to damage the reputation of KUAS, their scholarships will be revoked.All the documents submitted and the results of the online interview for application will be evaluated in the scholarship screening and the results for the scholarship will be released together with the application result.

Student AccommodationAt KUAS, students can choose to live in an on-campus dormitory or in private accommodation outside of the campus. If you prefer to live in private accommodation, then we can assist you in finding housing in a private residence. Prospective students who receive an offer from KUAS can submit a request for accommodation. From your second year, you will need to move off-campus due to the limited number of on-campus dormitory rooms.

Enrollment ProcedureAdmitted applicants must make the required enrollment payments and submit all requested documents by the deadlines. Please be aware that non-payment and incomplete documents will result in cancellation of your admission. For more details, please check all documents when you receive your offer.If there are any changes in your personal information, please immediately contact the Admission office, otherwise you may not receive the necessary documents from us on time.

This fee is required to be paid by all students who request on-campus accommodation, regardless of scholarship amount. This fee covers a furnished dormitory room with utilities and two meals (breakfast and dinner) a day. A refundable security deposit is payable with the first month's accommodation fee.

Student VisaKUAS will take the necessary procedures to have your Certificate of Eligibility (COE) issued from the Japanese Immigration Bureau. This COE can be used to obtain your visa at the Japanese embassy or consulate general in your country or region.

Applicants must begin applying for a student visa soon after receiving the COE. Specific details will be provided with the admission results.
