Registering with REDCap

In order to to register to be part of the Flash-Mob Audit. A prospective team should fill in the form that can be found at https://bistc.redcap.bham.ac.uk/surveys/?s=WNJDAPWT3D. This form can also be accessed by going to http://haemstar.org/flash-mob-audit/ and clicking on the “register you team” link.

A single member should fill in the registration form on behalf of whole team. To comply with data protection laws on use of your team’s personal data (names and email adresses) it is essential that you also read and agree to the privacy statement that is on the same form.

It is important that each team member is registered with an nhs.net, doctors.org, hospital trust or univeristy email account. Please do not use other private email addresses as we cannot grant access to REDCap using these. If you do enter details using a private email account, you will be asked to fill in the form again.

REDCap Account

You should have received an email with your username to access the REDCap System.

This will have been sent to the email address you have provided us.

Logging in

You should access the REDCap System by following the link in the email with your login details. This will allow you to set up a password at first use.

Once your password has been created, you may access REDCap directly by using this hyperlink: https://bistc.redcap.bham.ac.uk

You will see this login screen:

Confirming Local Audit Department Approval

In order to be given access to the online data collection forms you must first confirm that you have local audit deparment approval to undertake the audit.

If you have been designated as the main contact person in your team then when you first log in to REDCap you will only have access to a single project under the “My Projects” heading called “Flash-Mob ITP IVIg Audit local approval survey”.

Once you click on it you will be taken to the “Project Home” page. Once there, click on “Add/Edit Records” on the left hand side of the screen.

Once on the “Add/Edit Records” page please click on “Add new record”. This will take you to the survey form itself.

Once on the survey form please confirm you have local audit deparment approval by ticking the box, marking the form as complete and then saving and exiting.

After you have done this a member of the REDCap team will be notified and will then enable access to the main data entry form for all your team members.

Entering Data

Once you have logged in to REDCap, click on the ‘My Projects’ tab which will display the REDCap projects you have access to.

Click on ‘Flash-Mob ITP IVIg Audit’.

You will be redirected to the project homepage.

Once you are ready to enter data click on Add/Edit Records.

Click on Add new record and complete the forms.

There are three types of data entry form. First click on the grey box next to “Demographics & ITP Type”

Fill in the relevant data.

Once a data collection form is complete, please ensure you mark it as such. This will allow REDCap to accept the form for final data analysis and you will be credited for publication.

Mark the form as complete and click on “Save & Exit Form”.

You will then be taken back to the Record Home Page and you can select a different form. Next click on the grey box next to “Treatment Episode 1”

This will take you to a longer form, please fill it in as much as you can.

Please note there are different options for filling in the IVIg dose. If you have the patient’s weight in kilograms and the absolute dose in grams then you can fill in these and you don’t have to calculate the dose in g/kg yourself.

If however, all you have is the dose in g/kg then click that you don’t have the patient’s weight and just enter the dose in g/kg.

Again, once you have finished the data entry for that treatment episode, mark the form as complete and click on “Save & Exit Form” at the bottom of the page.

If the patient has had more than one IVIg treatment episode then you can also fill in

details of this episode as well either by clicking “Save & move to next form” to go directly to it…

…or you can click on the grey box next to “Subsequent Treatment Episode” in the Record Home Page.

This will take you to the relevant data entry form. This time, once complete you can either click on “Save & Exit Form” as before or you can click on the drop down box symbol nex to “Save &…” and then click on “Save & Add New Instance”. This will create a further subsequent treatment episode data form for you to fill in. You can do this as many times as is necessary.

Another way to create a new “Subsequent Treatment Episode” form to fill in is to click on the plus sign on the Record Status Dashboard (see below).

Confirming Completeness of Records

You can check data completeness by using the traffic light system in the Record Status Dashboard.

Click ‘Record Status Dashboard’ on the menu on the left-hand side of the page.

Green dots indicate complete data collection forms. Grey/red are incomplete, and amber are unverified.

Unverified forms should be marked as complete when ready.

Clicking on a dot will take you to the relevant form.

All patients should have a green dot for each form when data entry is complete.

Flash Mob REDCap Link Sheet

Please ensure you keep a record of the patients you enter data for.

Each patient will have a unique identifier generated by the REDCap System.

It is essential that you save this identifier for each patient to allow you to update patient records on REDCap until the audit is completed. Once you receive confirmation that the audit is completed and no more data entry is required you should delete the file.

We strongly recommend using the Flash Mob REDCap Link Sheet. This will allow you to cross match each individual patient’s local identifier with that generated by REDCap.
