You can also add notes and comments for the student. These will also be automatically emailed to the student.

If you wish the comment to be recorded as a private message that only yourself and the IB Coordinator can read then click on Interview

Viewing the Turnitin report

There are a few ways of getting to this page – here is just one method.

Go to IB Manager and click on the EE tab then change the view to Deadlines and select Extended Essay Draft Submission - you should see the page below.

Then click on the Blue Extended Essay Draft Submission heading and it will take you to the associated Dropbox where you can see all the students in the cohort and their submission status and Turnitin Originality percentage.

You can also do it through IB Manager and click on Calendar then click on the deadline there.

This will take you straight to the Dropbox folder.

If you click on the Turnitin Similarity % it will take you to the report where you can check out the sources etc and see if it is legitimate or not.

Assessment of the Extended Essay

You can do the overall marking in this area and work out a predicted grade which needs to be submitted to Helen. Also comments can be recorded here ready for you to cut and paste into MS Word where you print it out, cut it out and glue it onto the EE coversheet ready for submitting. Currently all essays are submitted in hard copy format but this is soon to change.

Go to IB Manager then EE tab and click on your student to display the student worksheet.

On the RHS of the worksheet click on Assessment.

This takes you to the Assessment Criteria for the essay and allows you to select the mark you predict the student would achieve for each criterion. Once you have completed them all ‘Save Changes’

CAS

Go to IB Manager>IB Diploma Class of 2015>CAS

You can see your students and a brief summary of how many outcomes, reflections and meetings they have done

If you change the drop down menu to Types instead of Outcomes you will see how many activities your student has in the 3 different areas of CAS.

You can see the Activities and Projects that they have defined in their worksheet and their current status. The Approval status is completed by either Cam or Helen so don’t worry about this. You can also see at a glance any changes that have been made since you last looked – once you’ve accessed the activity the red box will disappear.

You need to view the reflections to see that the student is on track and keeping up with both required numbers and quality. This can be done by clicking on View All Reflections

If you want to sort the reflections you can change them from by Date & Time to By Activity at the RHS. Or just below at the RHS you can show reflections for individual activities.

Alternatively you can go directly to each individual activity by selecting it from the worksheet. This way you can also see the learning outcomes they hope to achieve.

On the RHS you can view the Summary (which is the default page) or you can click on the Reflections for that activity.

You can also view the CAS Questions – by the end of each activity the student needs to have completed these questions – so there will be one for every activity or project. These are reflective questions are designed to help the student focus on the value and learning that has occurred over the period of the activity and whether he/she has achieved his/her goals.

You can make comments on the worksheet to encourage the student – these are done by using a note. The student also receives an email every time you make a comment so it is a good way to stay in touch.

If you wish the comment to remain invisible to the student and only visible to yourself and the CAS Coordinator then tick the Interview Note check box. Use this method to store the comment that you will write on the student’s end of semester report. These can then be easily accessed should the IBO request a sample from our school as they will require this information.

Remember to click on Save Note once you have finished.

Accessing your classes

Go to the Classes tab

Here you will see your classes but can also Show All Classes if you wish

You can Edit your Class Settings if you wish

Under the General tab you will be able to configure the subject level. Any other changes you require here please check with Helen first as she sets up the classes.

You can click on the Teachers tab to add a new teacher.

Under the Grades tab you can configure the grade scale which will then be applied to the Gradebook of your class (see Appendix 1 for more about the gradebook and setting assignments)

Under the Assignment Categories tab you will be able to customize and colour code your assignment categories. This again is beyond the scope of this PL. We will just be looking at how to set up deadlines for an important final IB assignment.

Adding Students to a Class

Click on Return to Class

You can add students to a class by clicking Add Students under Students tab.

You can add students by selecting them from the list and clicking Add selected students at the end of the list

If your class is both HL and SL you can check the box to assign them the correct level.

Adding a Deadline

If you have a draft or final assignment that needs to be collected , stored and sent through Turnitin you can do this by adding a deadline for your class.

One way is to go to your class and select the calendar tab.

Select Add Deadline on the RHS

You then simply give your deadline a name, include any details that will help and then check the boxes to enable Dropbox, Notify by Email and Enable Turnitin.

You can also upload any useful file if you need to.

Via the Classes Tab

Select the Classes tab and click on the class from the list that follows. Language A1 classes will

have an Orals tab. Click that to lead you to a roster of students and their orals. In the sidebar click

List of Works.

Here you can select which works you are using as Part 2 of Part 4. If you need to add more, click

Add Another Work. If you wish to delete a work, check off the Delete? box next to it. Once you

have completed the form to your satisfaction, click Save Changes.

Recording Individual Oral Commentaries

Teachers can easily record and review Individual Oral Commentaries through ManageBac by

going to their class page.

Via The Classes Tab

Select your class from the list which appears under the Classes tab. Language classes will have

an Orals tab, which has a roster of students names. Click on a student to record their oral

commentary. This will lead you to the recording page.

1. Select the correct work from the Part 2 Works listed (this list is created from the works selected

by the teacher. See Setting your Part 2 and Part 4 Works for more detail).

2. Write the extract boundaries and check HL or SL level. The date will automatically be set to

the current day.

3. If you wish to complete the form ahead of time, click Save Changes underneath it.

4. Once the form has been completed and the student is ready, click Record to begin. Once you

have finished, press Stop. From here, you can Play your recording back, or just click Save.

Recording Individual Oral Commentaries - 3

The Guiding Questions are there for your convenience. You will be able to add these before the

commentary begins by clicking the Add Guiding Question button. Once the commentary is over,

you will be able to assess the student using the form at the bottom of the page. You will also be

able to write comments about their work. Once you have finished, click Save Changes, which will

store your student's recording and Assessment on the site. If you do not wish to assess them at the

present time, you can leave this part blank and come back to it later by clicking on the student's

name under the Orals tab.

Submitting Orals to the IB

Once the candidates requiring moderation have been defined on IBIS, you can easily Download

the MP3 recordings and generate the relevant forms (e.g. IA, RF, WTRF) by clicking on each

student's Orals worksheet. You can then upload your MP3 recordings together with the exported

PDF forms directly onto IBIS.

Troubleshooting Oral recordings

There are two issues that may occur:

1. All buttons on the recorder say "Label" instead of "Record," "Stop," etc. Resolution: Please make sure you are running the latest version of Flash. Visit Adobe at http://get.adobe.com/flashplayer to update to the most recent version.

2. Error message: Cannot find audio server.

Resolution: Please connect with your IT Network Administrator regarding audio recording. The school will need to unblock RMTP traffic for Ports 80, 1935, and 443 in order to allow recording to work smoothly.

If your school blocks Flash internet traffic (i.e. if YouTube is blocked from the school, it may be an indication that the internet filters block flash traffic), the recorders will be prevented from connecting to our audio servers.

First, go to the Classes tab and select your class from the list. Language classes will have an

Orals tab specifically designed to record and mark commentaries and oral activities. Clicking the

Orals tab will bring you to a roster of your students. If the page header says Commentary, you can

change it to Presentation by selecting it from the View list.

Clicking a student's name from the list will lead you to the Oral Activity tab. Check the correct work

presented, choose the date of the recording, and make sure the teacher's name is correct. If you

are doing this before the presentation, you can click Save Changes under the first form and leave

the page without doing the Assessment.

Once you are ready to assess, use the preset rubric to give a numeric mark, and use the

Comments section below to add any comments. Once you are finished, click Save Changes at

the bottom of the page.

Finally, Managebac can automatically fill in the official IBO record form for you if you click Export

to IA in the sidebar. This will lead you to a printable form filled in with the relevant information.

Next, you will need to enter in the basic details (e.g. name, max points, category). Choosing

Enable Dropbox allows you to collect files from the students. If you attach any files, they will

automatically appear under the Files tab of your class group.

Navigating the Gradebook

Above the Gradebook, your Assignments are listed. You can mouse over the assignments and a

hovering scrollbar will appear, so you can easily navigate to other assignments. You can select an

assignment by clicking on it.

Next to Chloe's name we see ( 9 | 10 - 6 ). This means she received 9 (out of 10) for the

assignment, which translates to a 6 by using the grade scale for this class.

Clicking on an assignment will bring you to that assignment's gradebook. Clicking on a student's

name will allow you to compare their grades across assignments and see their average grade.

After typing in the grade and possibly a comment for a student, you can move on to the next

student on the list by clicking on them. Your grades and comments will auto-save, so you don't

need to worry about losing your student's marks.

Selecting Submit Term Grades will allow you to see your students' overall progress. If you wish to

make changes to the automatically calculated grade, you can click on the student's name and type

in your own grade.

Annotating an Assignment

We have partnered with the software provider Crocodoc to permit annotating student work directly

on ManageBac. If you enable Dropbox for an assignment, students can submit files directly on

ManageBac.

Teacher View

Click on a file name in the Annotate column to begin. The file will automatically load in the

Crocodoc viewer.

You can leave comments and highlight student work.

To delete or edit a comment, hover over it and your options will appear.

To delete a highlight, please right-click on it.

Once completed, you can click on the arrow icon to download the original file or a pdf with the

comments. The system will automatically save and store all comments, so you no longer have to

download and upload files to your computer.

Students will also have access to the annotations and can also use Crocodoc to annotate their

work.

A note on best practices

Please note certain best practices, especially if you are in a region with unreliable Internet access:

1. While annotations appear immediately, they will not save immediately. If you navigate away

from the page too quickly, you may lose some of your comments. Please make sure to wait a

few seconds in order to allow the system to save.

2. If a document fails to load in Crocodoc, please email it to [email protected] so we

can conduct an analysis. Even if you cannot view and annotate the file, you should still be

able to download and view the original. A small percentage of files will fail to convert on

Crocodoc, so please advise any affected students to upload in PDF.
