RE-THINKING PRINT
Is your business a hostage to paper?
Could you save
money – and
reduce
environmental
impact – by
adopting more
efficient methods
of sharing
documents and
information?
Uncover the waste
caused by
inefficient printing
Practical hints and
tips that could
save your business
money
The paperless office – a live demonstration from 1979
4
Today’s reality? Paper consumption doubled from 1980-2000, driven by the internet

IT’S NOT ALL BAD NEWS . . .

For the first time in 2011, our annual research revealed a net decrease in printing over the last 12
months with nearly half of office workers having decreased their levels of printing
2010 37%
2010 22%
… BUT WASTE IS SYSTEMIC
6 KYOCERA Document Solutions UK Ltd. | 24/05/2012
The average UK office worker goes through as
many as 6,000 sheets of paper per year Or 25 sheets per day
For each office worker 3720 (62%) of
these sheets of paper are wasted or
unnecessary
1140 sheets could be
printed double-sided
900 sheets could be read on
screen instead
660 are printed
for proof-reading
300 sheets are left
forgotten on the printer
300 sheets are the
wrong documents
420 sheets are
unnecessary duplicates
Each day in the UK, 523 million pieces of printed paper are thrown away by office workers
That’s over 2,600 tonnes of paper waste every day
9
That’s over 60,000 trees. And even if made from recycled fibres, it’s manufacture consumed:
18 million gallons of water
160GW of electricity 975,000 gallons of oil
And then there are the printer consumables …
11
These are the components of a conventional toner cartridge
Every year, 47million of those go to landfill because they are too complex to recycle – that’s enough to cover 17 football pitches

Printers represent a “razor and blade” business model – complex consumables provide a lucrative revenue stream
Kyocera builds all the complexity into the printer, so the consumable is just a plastic box of toner and a few cogs

EVEN WITH THIS RESOURCE-EFFICIENT TECHNOLOGY, THE USE PHASE CAUSES THE GREATEST IMPACT
The third use-phase impact is electricity
Never print something just to read it once
Always use the “print preview” function to ensure a document looks right
before printing
Reduce the size of the font, margins or images rather than letting just a few
lines run on to an additional page
Make double-sided printing the default
For internal documents, consider printing several sheets to a page
Only print the page(s) you need, not the entire document
If you’re printing multiple copies of a document, proof-read one copy before
printing the rest
Only print the number of copies you actually need
Scan and email documents rather than send a hard copy
Invoke power save settings and always turn off your printer/MFD at the end of
the day

TEN TOP TIPS THAT COST NOTHING TO IMPLEMENT
A multifunctional device is usually more energy efficient than separate devices
with the same combined functionality
Look for devices that are capable of printing double-sided, n-up (multiple
pages to a sheet) and have toner-save mode – and using recycled paper
Unless a device is very heavily used, low power consumption in sleep mode is
more important than power consumption in use – and a fast warm-up time will
help with user acceptance
Think before you replace a device on somebody’s desktop with a similar
device – having to walk to a printer reduces print volume substantially!
If you have very elderly printers or copiers, the energy savings from replacing
them with more efficient devices makes the business case clear

IT’S NOT ALL ABOUT THE HARDWARE
Document management software reduces reliance
on hard copy, provides data on printing/copying activity and improves productivity
