The Alumni Welcome and Conference Center serves as the University of

Wisconsin Oshkosh’s “front door.” The 44,000-square-foot facility is home

to three University departments and provides high-quality conference,

reception and banquet facilities.

Ideally located on the scenic Fox River, the new conference center features:

• Contemporary event spaces for groups of five to 500

• A Grand Ballroom with floor-to-ceiling windows

• A 36-person executive boardroom with state-of-the-art technology

• Four well-equipped, 40-person breakout rooms

• A 14-person modern boardroom

• Outdoor function areas, including a patio and gas fire pit

• Hearing loop technology and free wireless Internet

• Ample free parking

In addition, by hosting your private or corporate event at the University,

you gain access to the many faculty scholars, trained facilitators, college

musicians and expert conference planners available throughout the

University of Wisconsin Oshkosh.

Executive Board Room This 1,612-square-foot, executive-style boardroom can accommodate up to 56 people with 36 executive chairs in a hollow square format with additional seating for up to 20 attendees along the perimeter of the room. This space includes built-in microphones, HDMI connections, projector and screen, teleconferencing and video conferencing. Busalacchi Alumni Conference Room This 357-square-foot, contemporary boardroom includes a modern board table with seating for 14.

RESERVATIONSReservations for meeting and event spaces may be made one calendar year in advance of the function. Reservations may be made through the Alumni Welcome and Conference Center (AWCC) Conference and Event Services Office by calling (920) 424-3300 or sending an email to [email protected].

Upon booking your event, a written confirmation will be sent to you. To confirm a reservation, a deposit and signed rental agreement are required.

Should the onsite contact request change to the existing room reservation specifications, the AWCC will do its best to comply (based upon the availability of space, supplies and equipment.) However, a labor fee will apply. Rates are based on a maximum 8-hour reservation, with an additional 30 minutes for setup and 30 minutes for tear down. Reservations exceeding this time will be assessed an additional hourly rate.

AUDIO-VISUAL EQUIPMENTAudio-visual (AV) equipment is available for rent on a “first-come, first-served” basis. Should your requirements exceed our available in-house supplies, we will make arrangements to rent additional equipment to meet your needs and charge the cost of such additional rentals to you. All AV equipment should be reserved at least seven days prior to the event.

On-site staff members will be pleased to help set up and connect technology, such as laptops, projectors, screens and conference phones. Should your event require more complex production support an additional technology vendor may be required. The cost of such additional services and equipment will be the responsibility of the client.

Groups may bring their own technology to use at the AWCC; however, we cannot guarantee the compatibility of devices. Please let our event services staff members know about the equipment you intend to bring one week in advance so we can arrange necessary cables or cords.

Please arrive at least 30 minutes prior to your event to test AV equipment.

CATERINGAll food and beverages served at the AWCC must be provided by our on-site caterer: Flavours Catering by Sodexo.

To ensure all food items are available at the time of your function, all menu selections should be made with the catering staff at least three weeks in advance of the event. Menu prices will be guaranteed at the time the contract is received.

A final guaranteed number of attendees must be made three business days in advance. The guaranteed number will provide the count for minimum billing unless the number present exceeds the figure. For meals, Sodexo will provide food and services for 5 percent above the guarantee.

Sodexo will provide linen for all foodservice and dining tables. Linen or additional tables (meeting tables, registration, exhibit, head tables, etc.) are available with at least seven days notice, at our linen rental rate.

All food and beverages ordered must be consumed on AWCC premises.

ALCOHOL SERVICE POLICIES Our caterer, Sodexo, must provide all liquor and beverage services. Liquor cannot be brought into the AWCC from outside sources (except for prizes or gifts that cannot be opened or consumed on the AWCC premises). All alcoholic beverages served at the AWCC must remain on the premises.

Food service is required for all events at which alcohol is served.

All alcohol service will be discontinued 30 minutes prior to the scheduled end of all events.

Host and cash bar options are available.

Bar Set-Up FeeThere is a $50 bar set-up fee for all private host and cash bars. Bar set-ups include a portable dry bar, glassware, ice and napkins. This fee is waived for groups of 100 or more guests.

Bar Sales MinimumIn addition, a $75/hour per bartender sales minimum is required. If this minimum is not met, the difference also will be billed to the host. We recommend one bartender for every 75-100 guests.

PARKING Free parking options are available for guests attending your event. Please contact the event services office to discuss parking arrangements for your group.

All AWCC guests are subject to the parking rules and restrictions as determined by the UW Oshkosh Parking Office. Parking permits are required throughout campus (Monday through Friday until 4 p.m.) Parking in any legal, non-reserved space on the UW Oshkosh campus, including the parking ramp is free from 4 p.m. Friday through 6 a.m. Monday.

DECORATIONS Open flames may not be used inside the AWCC. Displays and decorations requiring water must be discussed with your AWCC event manager in advance. The use of tape, glue, nails, thumbtacks or adhesive on the walls, ceilings, door frames, columns, chairs or staging is prohibited. The use of glitter, confetti and fog machines also is prohibited. Please contact us to discuss your decorating plans.

SERVICE CHARGES AND STAFFING Staffing charges are included in current rental rates. In addition, no service charge will be applied to your food and beverage account with Sodexo.

If additional staff (beyond our customary staffing) is required, a fee of $25/hour per additional staff member will be assessed.

The AWCC will be closed on Thanksgiving, Christmas Eve, Christmas Day and New Year’s Day. Events taking place on the following holidays will be assessed a $75/hour staffing fee: Easter Sunday, Memorial Day, Independence Day, Labor Day and New Year’s Eve.

DELIVERY AND STORAGE OF MATERIALS All deliveries to the AWCC must be arranged through our event services office. The AWCC will not accept deliveries unless arrangements have been made in advance.

The AWCC does not assume responsibility for damage to or loss of any materials or equipment left in the building on display or in storage. All items will be given the same care and protection given to AWCC property.



RESPONSIBLE USE All groups and organizations scheduled to use the AWCC will be responsible for the actions of their members and guests. They are responsible for the proper use of the facilities, furnishings and equipment in the scheduled area by anyone attending the function.

In the interest of personal safety, building users must follow all fire safety regulations, including remaining within rated seating capacities for event spaces and keeping aisles and doorways clear and unobstructed.

Additional charges will be assessed for labor when an excessive amount of cleaning is required to return the areas to their original state. Additional charges also will be assessed for damages resulting from chewing gum, candle wax, decorations or the misuse of any furnishings or equipment where repair or replacement is required.

DEPOSIT AND BILLINGSNon-university groups may be required to make a deposit for the event space with their signed confirmation. In addition, Sodexo may require an additional deposit for food and beverage service.

The following groups may be required to prepay for their event: social, political, religious, nonprofit, fraternities, sororities, reunions and other events with unverifiable sources of revenue or when attendees pay.

Detailed invoices for event services and catering will be sent to the billing contact after the event. Payments will be due within 30 days of the dated invoice. Unpaid fees and charges after 60 days will be subject to a 1 percent per month carrying charge. Groups or organizations with past due accounts (beyond 60 days) will not be able to reserve rooms for future events and any current reservations may be cancelled until the balance is paid in full.

SALES TAX AND TAX EXEMPT GROUPS Wisconsin sales tax of 5 percent will be added to your account, unless a tax exempt certificate is on file seven days prior to your event. Tax exempt status is only applicable to the amounts paid from your organization’s account.
