Introduction
Bankers Insurance offers our select agents a daily download of policy activity to their agency
management system.
The download file will contain changes made to your customer’s policies throughout the previous
day. These changes may include new business, renewals, cancellations, endorsements,
corrections and reinstatements.
Your daily policy download file will be available for you to download from your IVANS mailbox
account Monday through Saturday by 9am. You can retrieve your download file(s) at your
convenience or set your system up to poll automatically. The file imports into your agency
management system, eliminating the need to enter your policy information manually.
If you are not currently downloading with any carrier, you should contact your agency
management system vendor prior to requesting service. Your vendor will help to prepare your
system for downloading policy data.
Download Service Overview
1. The policy is affected during the day by of the following trigger transactions:
New business issuance (NBS)
Renewal term issuance (RWL)
o Note: a Renewal Quote release will NOT trigger a download Endorsement change (PCH)
Policy Change/Correction (PCH)
Cancellation of policy (XLC)
Reinstatement of policy (REI)
2. During the overnight system batch, a download file generates for the policy(ies).3. Our AS400 system extracts and batches the download files the following morning at 6am.
4. Our local Ivans server transmits the extract file to the agent’s internet mailbox at 7am.
This process usually takes 60-90 minutes to run depending upon volume.
5. Agent’s system polls their Ivans internet mailbox and downloads the file(s) into their agency
management system (replaces manual data entry). If the file’s policy number does not find a match in the agent’s agency management
system, the file will get “orphaned” or “suspended” and put into an error folder (varies
with system).
6. If your system is set to poll your Ivans internet mailbox prior to 8am, you will have a 24-hour
delay for file download.

How do I Get Started?
To begin participating in our download services, we require the agency to complete an Agency
Download Survey. The survey is available on our website. After you login to our website, hover
over the Agency Tools link and click on “Download Services”. Your survey information will be used
to qualify and setup your agency to participate in our download services.
Once you have completed the survey, we will setup your agency for our download services. An
email is sent to notify you when your participation will begin.
Please contact your agency management system vendor and notify them of your intention to
download policy data from Bankers Insurance. Your vendor will ensure your system is prepared
for downloading policy data from Bankers. Your vendor may or may not charge you for their
services.
You will need to identify Bankers Insurance as one of your download partners. In your agency
management system, please setup Bankers as:

Daily Download
Our daily download file contains policy information on the daily changes to your customer policies.
The daily policy download files generate at the end of the day after all policy changes have
processed. The agency download file transmits to the agent’s IVANS mailbox by 9:00am Monday
through Saturday (certain holidays are excluded).
Initial Policy Download
We offer our agents an optional initial (one-time) download of all their currently active policies
(Personal Lines Only). This download is intended to initially populate the agent’s agency
management system with their current book of business. ** IMPORTANT NOTE! If your
agency system is already populated and you request an initial load, your existing
information will be overwritten by the initial load information.
Some agency management system vendors will coordinate (and charge) the agents to initially
download the carriers policies. Again, it’s important that you coordinate this with your agency
management system vendor to ensure the integrity of your system.
After the initial download is complete, the agency will only receive daily downloads of new
business and changes to their customers policies.

Direct Bill Commission Downloads
We also offer our Applied, AMS, Hawksoft and Agency Software agents the ability to receive direct
bill commission downloads on a monthly basis. Commissions will download for all Bankers P&C
products – personal lines, commercial lines and flood lines. Commission downloads occur usually
during the first week of the month, based upon the verification and closing of our month end
figures.

• What is a download?
We send you our complete image of your customer’s policy whenever changes are made to
it. This policy information can then be imported into your agency management system. This
will eliminate the need for you to enter our policy information by hand. This will save you

• What is the difference between a daily download and an initial download?
A daily download file contains all your policies that changed the previous day. This includes
multiple changes made on the same day.
An initial download contains all your currently active policies. Bankers only offers initialdownload for personal lines policies. Some agency management systems will require you to
assign each new policy to a customer. Please check with your vendor as some
companies charge a fee for initial downloads!
• How often should I expect to get a download?
When changes occur to any of your policies, that changed policy will download to you the
following morning. Your daily download file should be available in your IVANS mailbox
around 8:00 am. You will receive downloads only on those days that contain activity.
• Is billing information included in the download file?
No
• Will I continue to get the paper copies?
Yes, your paper copies will continue to be made available to you as they are currently if you
have not opted to receive them electronically via email.

How will I get renewal quotes?
We do not download renewal quotes until they have been paid for and the
renewal is issued. We will continue to send you renewal quotes as you currently receive
them (mailed and/or email).
How does Bankers format their policy numbers for download?
Our policy number can be formatted to match the way you have previously entered them
into your agency management system. Your download file can have the policy number
formatted either:
o Without spaces: 090011234567809 (default)
o With spaces: 09 0011234567 8 09
