We understand that where you are going to live as a student is one of the biggest concerns you’ll have and finding the right accommodation for you is extremely important.

Everyone has different requirements and the University of Exeter is able to offer a wide variety of accommodation from new purpose-built Halls to budget rooms in our older residences.

Each residence is a vibrant community with its own distinctive character offering you a secure environment in which to study and relax. Residences vary in style and size with some on campus and some off but no more than a 30-minute walk away, which allows you time and money for more enjoyable pastimes than commuting.

If you are a new undergraduate you can choose between catered and self-catering accommodation.

If you are a new postgraduate, then our range of self-catering residences will offer you a wide choice of accommodation.

Our wide range of accommodation both on and off campus allows us to guarantee an offer of a place in University owned/managed/approved accommodation to:

• new unaccompanied undergraduates entering into Year 1 of an undergraduate programme who have firmly accepted the offer of a place at the University of Exeter and who have applied for accommodation by 31 July 2009.

• new unaccompanied international postgraduates from outside of the EU in their first year of study if their applications for accommodation are received by 31 July 2009. Note: You are defined as an ‘international’ student only if you pay international fees.

• unaccompanied incoming Study Abroad and Erasmus students at Exeter for the full academic year if their applications for accommodation are received by 31 July 2009. Students who apply after the above deadlines will be allocated accommodation if places are available. Where places are not available, the Accommodation Office will provide assistance in finding alternative accommodation in the private sector.

Non-guaranteed students (including UK and EU Postgraduates and ‘returning’ Undergraduates).

After the guarantees have been met, remaining accommodation, if available, is offered to students not covered by our guarantee of accommodation. However, these students are likely to have to rent in the private sector. The city and surrounding area has a good stock of suitable, affordable properties. The Accommodation Office maintains a database of privately rented accommodation available on-line at www.exeter.ac.uk/accommodation/privatesector.shtml(although we do not accredit the properties); and the Students’ Guild Advice Unit can offer help with contracts and other private accommodation matters.

Before you start to narrow down your choice, you’ll have to think about what is important to you.

Catered or self-catering?In self-catering accommodation you cook for yourself in kitchens where cooking appliances are provided. This offers you a degree of freedom and you may find it more suitable if you require a special diet for medical or religious reasons.

Catered accommodation offers a well-balanced range of meals including a vegetarian option at every meal; this may make it easier to budget. In catered Halls you are provided with breakfast and an evening meal, Monday to Friday; and continental breakfast, brunch and dinner on Saturday and Sunday. Weekday lunches may be purchased from a number of outlets on both the Streatham and St Luke’s Campus.

• Undergraduate students may apply for catered Halls or self-catering accommodation. Note: Peninsula College of Medicine and Dentistry students studying Bachelor of Medicine, Bachelor of Surgery will be offered self-catering accommodation on the St Luke’s Campus. • Postgraduate, Study Abroad and Erasmus students may only apply for self-catering accommodation.

Letting periodThe academic year starts on Monday 5 October 2009 and ends on Friday 18 June 2010.

Rooms in the catered Halls are let for 31 weeks based around the term dates. You will not be able to stay in your room during the Christmas and Easter vacations. If you become a resident of St Luke’s, Holland or Mardon Halls, you will be required to move your belongings out in the Easter vacation. For all other catered Halls, you will be able to leave your belongings in your room over the vacation periods.

Our self-catering accommodation is let for 40, 42, 44 or 51 weeks per year, including Welcome Week.

• A 40-week let includes Welcome Week and both the Christmas and Easter vacations so you will not have to vacate your room during these periods. The 40-week letting period is Sunday 27 September 2009 to Saturday 3 July 2010.

The 42-week letting period is Sunday 27 September 2009 to Saturday 17 July 2010. • A 44-week let includes Welcome Week and both the Christmas; Easter vacations and July so you will not have to vacate your room during these periods. The 44-week letting period is Sunday 27 September 2009 to Saturday 31 July 2010.

• A 51-week let includes Welcome Week and runs from Sunday 27 September 2009 to Saturday 18 September 2010.

• We can offer a limited number of self-catering rooms to Secondary PGCE students for the 13 weeks that they are in Exeter. This does not include Welcome Week. The 13-week letting period is Sunday 4 October 2009 to Saturday 2 January 2010.

• There are a limited number of rooms let for a short period to Incoming Study Abroad/Erasmus students. These rooms are allocated as applications are received and we cannot guarantee that all applicants will receive an offer of accommodation. For these approved short courses the accommodation agreements will be:

• Some self-catering residences are kept open over the summer vacation for students who are staying in Exeter for academic purposes and wish to stay on in University owned/ managed/approved accommodation. Types of room• Standard rooms are located in our older residences and the vast majority have a washbasin in the room. Bathroom facilities are shared with other residents.

• Enhanced rooms have more modern fixtures and fittings, including washbasins. Bathroom facilities are shared with other residents.

• En-suite rooms have a shower, washbasin and toilet in the room.

• Studio rooms include standard fixture and fittings as well as your own kitchen area and en-suite facilities including shower, washbasin and toilet.

• Self contained flats include separate bedroom(s), bathroom, kitchen and lounge. Dining facilities vary between flats and are either in the lounge or kitchen area.

Sample floor plansThe plans shown relate to our more modern residences. In our older residences the rooms are likely to vary in size and layout. Please note that twin (shared) rooms, in our catered Halls, have two sets of furniture but one washbasin where applicable.

The majority of our students have single rooms although there are 226 beds in catered Halls where students share with another student. For October 2009 in total

A twin room has two single beds and is rented to two people unless it is stated that it is for single occupancy.

A double bedroom/studio has a double bed and is rented to two people.

Nominated residencesThe University has forged links with private companies to expand the range of available accommodation within the city.

For these residences, you will apply to the University for accommodation. If you are allocated to one of these residences and are ‘nominated’ by the Accommodation Office during the allocation process to live there, your details will be passed over to the private company and you will then enter into a contract directly with the company who own and manage the residence. Services and facilities do vary from University-owned accommodation and you should confirm all details by reading the contract once issued.

In October 2009 we will nominate University of Exeter students to Northernhay (UNITE), Northfield (UNITE) and Point Exe (Signpost Homes).

Cleaning service In University managed and owned self-catering residences, cleaning services include cleaning the communal areas in the flat. In catered Halls the cleaning services include communal areas as well as the bedrooms. If you are nominated to Northernhay, Northfield or Point Exe, the cleaning services include the communal areas of the residences but not individual flats.

Insurance Insurance cover is provided in all University owned/managed and approved accommodation. Once you have received an offer of accommodation, check the policy provided to find out if you need to extend the cover for valuable items such as laptops, cameras, musical instruments, bikes and mobile phones.

Pastoral support Resident Tutors and Student Mentors live in University owned/managed and approved residences and are on call to provide welfare support and guidance whenever required.

Internet Internet is provided in all University managed and owned accommodation except Garden Hill House, Elmbrook House, Lafrowda Cottage and Lazenby. In these residences, it may be possible to arrange broadband connection from a local provider which will incur additional charges. If any installation is required, you must get the University’s prior consent, but it will not be withheld unreasonably. There is a fixed charge (unlimited usage) of £85 (plus VAT) in University managed and owned accommodation. This will be added to the accommodation charges when we offer you a room. Please indicate before you accept the offer if you do not require internet access.

If you are nominated to Nothernhay, Northfield or Point Exe, internet charges will differ and will be added to the weekly rent. Please check the charges when you receive an offer of accommodation.

Telephones The University of Exeter is working in partnership with Inuk Networks to give you Freewire. The Freewire telephone service, with a handset, is provided in the majority of University owned and managed accommodation. The service enables you to make free calls to other residents or anyone on the Freewire Network.

Televisions Freewire also gives you access to 25 channels on your PC or laptop so it is not necessary to bring a separate television. Other channels may be available for an additional charge. Students with personal televisions in their bedrooms or who watch live TV through a computer will need to purchase an individual television licence.

Smoking policy University owned or managed residences, including student bedrooms, are non-smoking apart from a limited number of bedrooms in certain residences. There is also a restriction of not smoking within five metres of any University building throughout the campus.

Smoking is not permitted in the bedrooms or communal areas of Point Exe which is a Signpost Homes residence.

In UNITE residences (Northernhay and Northfield) smoking is permitted in bedrooms and in communal flats with the agreement of all residents.

You should indicate on your application if you would prefer to be allocated to one of the rooms where smoking is permitted. There are limited places, so we cannot guarantee a place to all applicants.

ParkingThere is no parking on either the Streatham or St Luke’s Campus for resident students. Students with mobility impairment or other disability-related transport needs may apply to the Resident Tutor/Residence Manager in advance for a parking permit and, subject to providing appropriate proof of entitlement, such students will be issued a parking permit free of charge.

Building works

Due to additional housing developments within the city and on both campuses, you may find that your accommodation is close to building works and this may cause some unavoidable disturbance or inconvenience. If you are concerned about any building works which may be scheduled to take place near your accommodation please contact the Accommodation Office for information.

Students with a disabilityWe are committed to promoting equality of opportunity and have adapted, en-suite rooms in catered Halls and self-catering flats. We are happy to discuss individual requirements with students who have disabilities and we encourage you to contact the Accommodation Office and the Disability Resource Centre at an early stage so that we can do all that we reasonably can to find or adapt accommodation that will be suitable for you. Although you do not have to do so, it will help us to help you if you mention your requirements in your application. Even though you may have told others in the University, we would strongly advise that you make us fully aware of your requirements for accommodation separately so that we can support you during your stay.

The adapted rooms have single beds and usually have a larger bathroom than other rooms. Rooms with special facilities, such as fire alarms for those with impaired hearing, will be issued to residents who require them for health and safety reasons. Once we have allocated all students with special requirements, any remaining adapted rooms are allocated to the next student wanting accommodation.

Family accommodationWe have 16 self-contained flats for students with families in a small complex on the Streatham Campus known as Clydesdale Court. A family is defined as adult(s) with child/children under the age of 16, so unfortunately this accommodation is not available for friends wishing to share. The flats have one, two or three bedrooms and the number of occupants per flat is restricted; please check with the Accommodation Office for further details. Due to the limited number of family flats we are unable to guarantee accommodation for all families.

International students intending to bring their family to Exeter with them are advised to contact the International Office for further advice and to make sure they have a contract for suitable family accommodation before bringing their family to the UK.

• Student Mentors (returning undergraduate or postgraduate students) who are resident in certain self-catering flats and are available for help and advice on welfare and other matters

Hope Hall consists of converted family houses which are set in their own grounds. The main house includes the en-suite and enhanced rooms. Lazenby Annexe provides 6 single standard and 6 twin standard rooms which do not have a phone and network/internet link. There are washbasins in all the rooms except for 2 twin and 3 single standard rooms in the Lazenby Annexe.

Lopes Hall consists of the main house and two purpose-built annexes: Pennsylvania Court which has high-standard single en-suite rooms arranged in clusters of up to 9 rooms with a utility room and Ransom Pickard which has single and twin enhanced rooms. All the standard rooms have washbasins except for 2 single and 2 twin rooms in the main house.

Before you applyGender mixWe normally allocate a mix of male and female students to each flat/floor. If you would like to request that you are placed in a male or female only flat/floor please indicate this on your application. We cannot guarantee to place everyone who requests it in a single-sex flat/floor.

Twin (shared) roomsIf you are interested in sharing a twin room and, as part of the application process, you express a preference for doing so, we will do our best to satisfy your request. Many students enjoy the company of another as well as the economic benefit.

The applicable rent rebates for shared accommodation for the full year are:

Your offer of accommodation will set out exactly what we have allocated for you, and you can choose then whether to accept it or whether you would prefer to look for something else. By then, however, available choices may be limited.

Types of studentsWe normally allocate separate blocks of residences to undergraduates (including Study Abroad and Erasmus students) and postgraduates. However, this may not always be possible especially if the number of one group is higher than anticipated. Due to our guarantee of accommodation, our postgraduate flats are mainly occupied by international students.

Allocation procedurePlease be aware that when allocating we do not take into account:

Date of applicationWith the exception of PGCE and short-term Erasmus students, we do not allocate on a first-come first-served basis. Names are fed into a computer programme and the computer randomly places students’ names onto a numbered allocation list. Accommodation Office staff begin allocating from the top of the list and work their way down.

Teaching departmentWe try to gain a balance of students in each Hall from different courses to provide the best mix of students. Please be aware that we cannot guarantee you an offer of accommodation that will be on the campus of study.

Academic achievementTo help create a diverse community, we do not take into account your academic achievement.

We make every effort to allocate accommodation according to your preferred choices. However, due to the high demand for certain residences it may not be possible to offer you any of your preferred choices. In these circumstances we use your stated preferences as a guide to the type of accommodation you would prefer and automatically offer you alternative accommodation.

Please read through the offer of accommodation carefully and make sure it is suitable for your needs (even if it does not meet your stated preferences). You do not have to accept an offer of accommodation if it is not going to be suitable for you.

How to apply All students wishing to be considered for accommodation in this guide should make an application via the online system available through the accommodation website (www.exeter.ac.uk/accommodation) from 10am on Monday 20 April 2009. You will require your University student ID number and an email address. Your University ID number which is nine digits long can be found at the top of correspondence letters/emails from the Admissions Office.

If, for any reason, you are unable to apply online, please contact the Accommodation Office.

If you are allocated accommodation the following will happen:

a) University owned or managed accommodation – you will receive an email asking you to log back onto the website to review the offer made to you online.

or

b) Nominated accommodation – you will receive information to confirm that you have been nominated to a residence and you will then be contacted by the provider of this accommodation with regards to the contract.

Please read through all the information carefully as, once you accept the offer, it creates a legally binding contract. Information with regards to data protection and discrimination can be found online during the application process. The offer of accommodation will need to be accepted or rejected within seven days. If you do decide to accept the offer you will need to confirm the contract and pay a deposit to secure the accommodation, otherwise the offer will be rescinded and the room re-allocated to another student. Full details of the accommodation deposit can be found on the University accommodation website.

If you are nominated a residence, information will be provided with your offer of accommodation.

If you reject an offer of accommodation, we will be unable to make you another offer unless there are special circumstances which we were unaware of at the time of allocation.

Unless you have agreed a late arrival date with us in advance, we will re-allocate your room from 12 noon on the first Wednesday after the start of term. If you agree a late arrival date with us and do not arrive on that date, we may also reserve the right to re-allocate your room.

Notes for Postgraduate students

1. Unaccompanied international postgraduates from outside of the EU have to apply by 31 July 2009 to be guaranteed accommodation.

2. You can only apply for accommodation if you have a firm academic offer with the University. Certain students will have to pay a deposit to the University for their offer to become firm.

3. We will consider your application from June 2009 onwards.

4. You only pay an accommodation deposit when you accept an offer of accommodation.

Apply OnlineYou can complete an application form online at www.exeter.ac.uk/accommodation. Please ensure that you will be able to access the email account you register with over the Summer of 2009.

Notes for Undergraduate students

1 If you wish to take advantage of and are eligible for the University’s accommodation guarantee, you must apply online by 31 July 2009. However, if Exeter is your firm choice, it is advisable to apply by the end of June in the year of entry.

2. If you are a deferred student arriving in September 2009 an early application is advisable and an offer of accommodation will be made around June/July 2009.

3. If you will be taking a gap year in 2009/10 then please apply for accommodation in 2010.

4. If you have Exeter as your Insurance or Clearing choice, you will not be able to apply for accommodation until your University offer is confirmed. However, once it is, please visit the website to apply as soon as possible. Unfortunately we cannot guarantee you a room but will do our best to offer you any accommodation that may be available.

5. We allocate accommodation after results are received and offers become unconditional firm with the University.

6. You only pay an accommodation deposit when you accept an offer of accommodation.

End of July – All students who have met their conditions of study and made an early application should receive a formal offer of accommodation.31 July – All students who meet the guarantee criteria must submit an online application for accommodation.
