Moray Connections organised a training day for museum and heritage centre volunteers in using Facebook to promote their organisations. This presentation provides a basic how to guide to setting up a facebook account, creating your profile, creating posts, adding images, and creating a facebook page.

What do people want from Museumson Facebook? To find out about up coming exhibitions To show support for the institution To help promote the museum If they were impressed by a visit and want to lettheir friends know about it To get discounts or special offers To show friends they are cultured To demonstrate that the museum reflects theirtastes and views. 4. Creating a Facebook ProfileIn order to use Facebook Pages for yourorganisation you need to set up a FacebookProfile first. What is a Facebook Profile? Profiles represent the individual You. What is a Facebook Page? Pages are designed for businesses, organisations and brands. 5. Visit www.facebook.com to create an account 6. To create an account youneed to complete the SignUp process first 7. You will need to complete the security check in order to activate your account Facebook may ask for a mobilephone number in which to send you a security code.You can edit your profile details later to remove yourmobile number from the site. 8. Insert your mobile number here and click continue 9. You will then receive a text message fromFacebook with a short security code you will need this to enter into theFacebook website. 10. This box will appear for you to enter in your security code.Once you have entered in the code click confirm. 11. You may be presented with this message FriendRequests Block for 14 days.You can add friends based on the recommendationsFacebook makes, but will not be able to make FriendRequests from the general public. You are still ableto Like pages.After 14 days you can start to make friend requests. 12. Once these steps have been completed you are nowable to use your Facebook account. 13. My MotherMyColleagueA Friend Facebook will make Friend Recommendations for you If you do not these are people who have some form of association want to use with you. Facebook personally you can Skip this step. 14. Facebook will ask you if you would like to scan your Email account to findfriends who are on Facebook. Follow the steps if you wish to connect withyour contacts.You can Skip This Step if you do not want Facebook to find friends on youremail account. 15. You can enter in asmuch detail aboutyourself or as littleas you would like.When entering inyour School detailsFacebook will try toconnect you withother pupils whostudied at thisschool.You can Skip thissection. 16. Based on theinformation youprovide Facebookwill make friendrecommendations.You do not have toadd any friends atthis stage.You can Skip thisstage to completethe set up of apersonal Facebookprofile. 17. If you areplanning onusing Facebook then it isimportant thatyou upload aphoto for yourprofile picture. 18. By clicking onUpload a Photoa dialogue boxwill appear andprompt you tobrowse yourcomputer for aphoto. 19. Once you haveuploaded a photo youcan now click on Save& Continue 20. The first screen you will see will look similar to this.Here you can begin to add more detail about yourself, make friend requests, set yourprivacy settings, and start to familiarise yourself with the Facebook system. 21. This space here is called your Wall this iswhere all the posts from the people you arefriends with and the pages that you follow will bedisplayed. It is like a news feed.At first you will not have any posts on your Wall,this will only happen once you start to makefriends and like pages. 22. This is your personal Facebook profiletimeline. This is what people will see when they visit your profile page. 23. When you click on the logo When you click on yourFacebook it will alwaysName this will take youtake you back to your Wall to your own personal(or news feed).profile timeline.When you click on Homethis will also take you backto your Wall (or newsfeed).To access your Facebook account settings,privacy settings, to access your Pages and tolog out you need to click on the downwardfacing arrow next to the tab Home. 24. By clicking on the arrow we can access youraccount and privacy settings. 25. Use theThese are your Account Settings.sidebar hereto navigateYou can change all the details you provided when setting up thearound the account if you wish.differentsettings. 26. These are your PrivacySettings.You have 3 optionsPublic (anyone can see yourposts and profile)Friends (only those peopleyou are friends with can seeyour posts and profile)And Custom (where you candecide who sees what). You can edit each setting by clicking on Edit Settings 27. On clicking Edit Settings a dialogue box will appear and promptyou to decide who can and who cannot see your content, connectwith you and engage with your page.There are typically 3 options Friends, Friends of Friends andEveryone.Select Friends if you wish to have a private profile. 28. On selecting Custom Privacy this dialogue box will appear.You will be able to control how visible you are on Facebook.If you do not want anyone to connect with you or see your contentor details you will want to select Only Me from the drop downmenu above. 29. If you would like to deactivate your account (ordelete it) you need to access your AccountSettings. 30. To deactivateyour accountyou need to click To start the deactivationon Security process you need to click onfirst.this link here and follow theinstructions. 31. This is what a typical Facebook wall looks like once you have started to make friends and like pages. 32. On the lefthand side of the tool bar are 3 icons.1. Friend Request Icon symbolised by two heads2. Private Messages symbolised by a speech bubble3. Your notifications symbolised by a globe.Red Flags with numbers will appear when you havea new friend request, private message ornotification.Notifications these are messages to alert you tonews and posts left by your friends and the pagesyou like. 33. To create a Post you need to insert your text, photo or video into the Status Updatebox at the top of your Wall. 34. Like so 35. To add a photo or video youneed to click on Add Photo/Videoacross the top of the statusupdate dialogue box.You will need to click on Browseto select the image from yourcomputer to upload the image. 36. Your photo and message will then appearon your profile timeline and your friendswalls. 37. If you want to draw attention to yourpost you can select Highlight this iconwill appear when you hover the mouseover the post you wish to Highlight. 38. Your post will now appear acrossthe full width of your timeline.Making it more visible for yourfriends. 39. To edit your image or text, hide or deleteyour post you need to click on the PencilIcon which appears when you hover yourmouse over the post you wish to edit. 40. On your own Timeline and your friends Timeline profiles you can access content easily byclicking on the boxes below. 41. Clicking on the Photo box will let you see all the photos, photo albums and taggedphotographs shared on your own or your friends Facebook profile. 42. When you click on the Likes box you can see all the pages that you or your friendsfollow. 43. How to create a Facebook Page?Next we will look at how you can create your own Facebook Page for your business,organisation, community group or brand. 44. To create a page you can visit any organisations page such as HI-Arts AudienceDevelopment and click on the link + Create a page 45. You can also create a pageby visiting the home pagefor Facebook and clickingon the link Create a Pagehere 46. First you need to select the type of page you want to create it is recommendedthat cultural and heritage organisations select Company, Organisation or Institutionwhen setting up a business page. 47. You will be asked to select acategory for yourorganisation and enter inyour organisation/companyname.You must tick the box toagree with Facebook termsand conditions to proceed. 48. First you need toupload a profilepicture for yourpage.This might beyour businesslogo, a photo, agraphic or apicture of you. 49. You will then need to add in information about your organisation. This is essential forhelping people to find out and to know what you do. 50. The last thing you need to do is consider what Facebook web address you want thepage to have.This enables your page to be found more easily and makes it easier for you to promoteto others.Warning: You can only set this ONCE you cannot change the web addressafter you have clicked set address. 51. Once you have completed those stages you now have a live organisation or business page. 52. Unlike your personal profile account, you have access to an Admin Panel on yourFacebook Page. This lets you see how effective your Facebook posts andengagement is. 53. You can hide youradmin panel byclicking on the tabhide above 54. With a Facebook Page you can include a Cover Photo as well as a profile picture.This lets you create a more visually interesting Facebook Page. By clicking on Add a Cover you can select a photo from your computer. 55. Once you have selected a photo or image you can thendrag the image around with your mouse to repositionit. This is especially good for large photos. 56. In your Admin Panel you have a tab called Edit Page whichwill let you edit your information, manage permissions foradministrators, manage your notifications, and change back toyour personal profile account. 57. Your Admin Panel will tell you everything you need to know about your page.You will see all the activity taking place on your page called Notifications.You will see who has Liked you and how people have been engaging with
