Conference Attendee Registration

Please email your attendee registration form by February 15, 2021. Payments should also be postmarked by February 15, 2021.

Each conference attendee that plans on participating in events/competitions and receiving a t-shirt must pre-register for the conference. Please fill out the following registration form (also attached as an Excel Spreadsheet) with the appropriate information and email it to [email protected]. In addition to the form, please mail $20 per person to the address listed below.

Late Registration: Any registrations sent/postmarked after February 15, 2021 must pay a late registration fee of $5. Any attendees that are not registered at the time of check-in must pay the late registration fee.

Competition Rules and Contacts

Concrete Canoe:

The Deep South Concrete Canoe Competition will follow the 2021 ASCE Concrete Canoe Competition Rules. The website for the 2021 ASCE ACCC Rules and Regulations is located in the following link:

All competition deliverables must be submitted using the Cerberus Web Client submission platform (Conference Folders). The main folder contains a sub-folder for each Student Conference, and within each Conference Folder is a folder for each school in that conference. Submission deadlines are at 5:00pm EST.

Technical Paper/Presentation:

The Deep South Professional Paper Competition will follow the 2021 Daniel W. Mead Student Contest topic and rules.

TOPIC: During the COVID-19 pandemic, businesses and universities shut down and/or imposed other stringent measures to combat the spread of the virus. How should the civil engineering profession respond to this situation and what are our ethicalresponsibilities associated with civil engineering related operations such as offices, universities, construction sites, exam centers, and transit systems in response to the pandemic?

RULES: Papers are not to exceed 2,000 words in length, must be written by only one person, and should not have appeared in any publications other than in school or chapter publications. Reference citations of the papers should conform to official ASCEJournal Submission Guidelines, which can be found on the ASCE Publications website.

NOTE: Papers submitted for the Student Conference paper presentation competition may also be submitted to the National Daniel W. Mead Student Contest.

SUBMITTALS: Submit an electronic copy of your Professional Paper to [email protected] by 11:59PM EST March 1, 2021 and include “DEEP SOUTH 2021 – [your school name] Professional Paper” in the subject line. This is the same submission deadline as the national contest so please plan accordingly.

PRESENTATION: The author of each submission will be expected to make a 5-minute (± 5 seconds) oral presentation on his/her/their paper. Presentations that are over or under the allotted time will be assessed a penalty. Following each presentation, the judges will be allotted up to five minutes for questions. The written paper constitutes 50% of the final score, while the oral presentation constitutes the remaining 50%.

Sustainable Solutions Competition:

The Deep South Sustainable Solutions Competition will follow the 2021 ASCE Sustainable Solutions Competition Rules. The rules for the 2021 ASCE Sustainable Solutions Competition are located on the ASCE Student Conference website.

DESCRIPTION: This competition challenges students to develop a stronger understanding of sustainability and learn to incorporate sustainable solutions into everyday problems that engineers incur. Students are encouraged to be creative in their solutions and use all resources available. This year’s theme is a parks and recreation challenge.

SUBMITTALS: Competition team submittals shall be received at the host school by 5:00pm EST, Friday, April 9, 2021. Please email submittals to [email protected] “DEEP SOUTH 2021 – [your school name] Sustainable Solutions Submittals” in the subject line.

Surveying Competition:

The Deep South Surveying Competition will follow the 2021 ASCE UESI Surveying Competition Rules. The rules for the 2021 ASCE UESI Surveying Competition are located on the ASCE Student Conference website. The virtual competition rules begin on page 5 of the 2021 ASCE UESI Surveying Competition Rules.

DESCRIPTION: The surveying competition will involve two separate tasks completed by a single team of up to four team members to demonstrate the ability to apply the techniques of land surveying.

SUBMITTALS: Competition team submittals shall be received at the host school by 5:00pm EST, Friday, February 26, 2021. Please email submittals to [email protected] “DEEP SOUTH 2021 – [your school name] Surveying Submittals” in the subject line.The virtual competition allows for live presentations virtually, or pre-recorded presentations based on the conditions existing at the time of the data release on January 8, 2021 and the discretion of the host school.

Local Events:

Environmental Competition:

The Environmental Competition will be held as a “live” virtual competition where participating teams will submit mini proposals in the provided time slot. There is no limit to the number of students that make up a team and student chapters can split into teams.

DESCRIPTION: A hurricane is heading towards the gulf coast states. It is up to the participating teams to make evacuation plans to help the citizens escape disaster. Teams will develop a plan to evacuate parishes and counties given the projected storm forecast, population data, and traffic flow rates with a goal of mitigating damages due to the storm. Each team will be scored based on the effectiveness of their evacuation plan

(more damages ➞ lower score). Race against the clock to see if you can weather the storm!!

SUBMITTALS: No submittals prior to the competition. Submittals will happen throughout the game.

Mystery Event:

Details for the Mystery Event will be announced at the time of the event.

Bayou Regional Virtual Career Fair:

DESCRIPTION: Each semester the ASCE Student Chapter at LSU hosts a Career Fair and this semester is no different! The career fair is currently planned for Thursday, April 15, 2021 before the business meeting. All members of participating student chapters are invited to participate, so get your résumés and elevator pitches ready!

The career fair will be hosted virtually over Zoom. Business attire and professional virtual etiquette are recommended. More specifics about participating companies and Zoom information will be shared prior to conference weekend.

Conference Safety

Safety and COVID-19 Protocols: To mitigate participants’ risk of exposure to COVID-19, participants in the 2021 Deep South Student Conference are not required to assemble to participate in conference activities and events. Participants who choose to meet in-person for purposes related to participation in the student conference do so voluntarily and at their own risk. All participants who conduct any in-person activities in connection with this conference will be responsible for complying with their university campus protocols on COVID-19 and for following best practices including but not limited to restricting the size of gatherings, social distancing, and use of masks.

2021 Deep South Student Conference

Eligibility Requirements for Society-wide Competitions

The following qualifications are required of all ASCE Student Chapters in order to participate in an ASCE-sponsored Society-wide Competition.

1. Be in good standing with ASCE:

a. Have paid their Annual Dues, as received by ASCE, prior to the start of the Student Conference;

b. Have submitted their student chapter full Annual Report in time to be graded (reports submitted on or before February 1st to meet this qualification), and have received a minimum score of 40 points out of a possible 100. Student Chapters that submit an EZ annual reporting form do not qualify; and

c. Act appropriately as representatives of ASCE and the civil engineering profession, all competition and conference participants are expected to and must act professionally and courteously. The use of alcohol, marijuana, or other controlled substance is strictly prohibited.

Note: Invitations to Conference and Society-wide Competitions are a privilege, not a right. Failure to act appropriately can result in letters of reprimand, mandatory behavior management plans, and loss of invitations to further competition for individual institutions and/or entire conferences.

2. Attend and participate in their assigned Student Conference as shown through their school's:

a. Good faith participation in the Student Conference Business Meeting (at least one (1) student representative present at the start of the Business Meeting);

b. Good faith participation in the Student Conference Paper Competition, including submission and presentation by at least one (1) member of the ASCE Student Chapter. Note that any papers/presentations created for any other competition do not count as an entry into the Student Conference Paper Competition; and

c. Meeting any additional requirements of Student Conference participation set by the Student Conference at the previous year’s business meeting or in their written and approved by-laws, standing rules, or constitution.
