From the PMI Netherlands Chapter President

While writing the introduction to our newsletter I am not feeling to well. I must have caught a cold and I blame the so far awful spring for that. But what can we do other than being patient and trust that one day the weather will improve. I guess that is not a typical habit of a project manager. We, project professionals, supposed to be leaders, making the impossible possible or at least getting close to it, aren’t we? Aren’t we supposed to be the people that know everything, can fix everything and en passant are able to deliver within time and budget?

Do miracles really exist? I don’t think so but what I do know is that project management matured to a true profession and a difficult one as well. Meanwhile our profession is changing and we need to change, as there has never been a stronger demand for better results, more focus on adding value to the business and delivering benefits that help organizations to distinct themselves and by doing so creating a competitive advance in today’s very complicated world.

Make sure you read the PMI pulse that gives some good insights in how our world and profession is developing. What puzzles me is that PMI in this research anticipates a growing demand for project professionals where on other hand we seem to educate and train lesser people than ever before? Furthermore the PMI Pulse research clearly shows that high performing companies put more effort in developing a project management practice and developing their project professionals. If this is so evident, why do not all companies start building this practice, start training their professionals, support their professionals in becoming active members of PMI and the PMI Netherlands Chapter? Is that only because of economic reasons? Is that than not clearly pennywise and pound foolish?

Make sure you read the PMI Pulse and please if possible discuss this valuable research with peers, your manager, your principal and so on. Meanwhile as a Chapter we will do everything possible to help you developing yourself by

organizing and facilitating events, working groups, publications and so on. We recently had some good events at Avans Hogeschool Den Bosch and at NS in Utrecht. I attended the meeting at Avans and I was very pleased that there were so many students around. Based on their first feedback they have enjoyed the content and particularly they appreciated the ability to talk to professionals and discuss what their needs and aims are. We don’t have the survey results of this event back yet, but for sure we need to do this again as we need to engage those students into our professions, we need them in the near future to help filling the anticipated gaps, so let’s make sure we keep telling them, that we indeed have the best job in the world! Looking at some twitter messages related to the NS meeting that meeting was received very well also. Thank you both Avans and NS for hosting us. Thanks you professionals for being there and participating. I assume you did yourself a great favor helping you to gain knowledge and meet peers.

Coming up is our 2nd Summit. Lots of energy are put into creating what to my opinion is a great program with a flavor of topics and both national and international speakers. Not for free but not to be missed either! Please have a look at the Summit program and convince yourself.

After the Summit we will be silent for some time as summer kicks in. We probably will keep you informed about the Chapter whereabouts via this newsletter but we can do with a good summer break as I assume after this lousy spring we will have a great summer. The Chapter activities for the 2nd half of the year are developing very well. So stay with us as there is more to come. Do want to contribute yourself? Check for volunteer options via VRMS or alternatively give us some input for our newsletter. There must be plenty of stories worthwhile sharing?

Update on Events During the first 5 months of this year we’ve had 6 successful Chapter Meetings visited by almost 400 attendees, including about 50 students (our future!!) at the AVANS university in ‘s Hertogenbosch. Based on the figures from the surveys we have noticed that these events were well appreciated.

Before the summer break we have one great event to go: the 2nd edition of PMI NETHERLANDS SUMMIT on June 13th. The reduced entrance fee for this 1 day congress – where you can earn 8 PDU’s – is 125 EURO (instead of the standard 425 EURO) for members of our Chapter.

Although it’s hard to find hosts for our Chapter Meetings in this stressful economic period we succeeded in finding suitable venues for an attractive program after the summer break.

On September 11th we will be hosted by Exxonmobile in Breda. The topic of this event is Estimating & Control (“everything you always wanted to know about the chapters 6 and 7 of the PMBOK”).

In October the AVANS University is hosting us again. This time the subject is How can Project Managers use diversity, creativity and innovation. During an interactive session including research, cases, and exercises, the question “How does team diversity stimulate innovation and high performance?” is explored.

In November we are guest at the premises of ASML in Veldhoven during a Friday afternoon session. The topic of this session will be PMO (in general as well as ASML specific).

Finally in December we will be in Nijmegen (Regus52). The subject of this meeting is “under construction” (Risk Management will definitely be part of it).

As usual these Chapter Meetings (of course all without entrance fee) will give you the opportunity to gain knowledge, discuss the topic and network.

Project managers are regularly involved in various forms of negotiation; therefore they must have an understanding of the principles of successful negotiations. The goal of this webinar is to provide participants with knowledge of successful negotiation tips and tactics with emphasis on when, how, and why these techniques apply to project management.

In this interactive session participants are encouraged to reflect on the challenges and importance of negotiation in their positions at work. Through the use of examples and discussion the participants will see how to improve their interaction style as well as becoming more informed on the foundational concepts of successful negotiations.

PMI meets Avans: impression after meeting at Avans

On the 16th of May PMI organized a meeting about project management in collaboration with Avans University. During this meeting students and professionals were able to meet and talk in an informal way with each other. For me as a student looking for an internship it was the ideal setting to learn something about project management and how to put it into practice.

During the meeting two presentations were held with different topics, both related to project management. The first presentation was called Best Practice Stakeholder Management and was presented by delegates of ASML. As one of the most technological advanced companies in the Netherlands. It was great to hear firsthand what kind of problems they face and how they try to tackle those problems. It was made clear that for every problem you want to solve you need the support from ‘key stakeholders’ and you need to make them part of the problem so they will accept your proposed solution.

The second presentation was about how to present complex data in a clear and powerful way. I have to say: this was one of the best presentations I have ever seen. The person presenting could have been a clone of Steve Jobs. The presentation was a real eye opener and has given me useful tips and tricks I can use in the future to present information a lot easier.

This meeting was the first of its kind and I hope there will be more in the future as it is a great way to learn something and meet with professionals in person.

Impression after meeting at NS

The PMI NL-Chapter meeting was hosted by NS in 'het Trefpunt', meeting room and exhibition space of NS headquarters in Utrecht. Before the meeting we could visit the exhibition of a selection of life size train models, many of the NS services and live train information from platform 7 at Utrecht CS. At that time there was a well catered wide selection of sandwiches to eat. The meeting started with an introduction by Ronald van Pijkeren about NS. This was followed by a very inspiring movie about the variety of sometimes contradictory tasks and ideals of NS travelers and how the many divisions and employees work together to achieve all the goals and promises. The main theme of the night was the presentation by Gijs van Dalfsen about his 10-Best Practices & 6 Distinctions for the Program Manager. After the introduction to the program of the presentation he related the subject to his carrier and choices he had made. He made it very clear that the whole presentation was based on his own experience and his good advice, "You should solve such a problem in this way", was his way of saying, "I solved the problem this way". He had no intention to guide us in a certain direction, but wanted to easy the road for us. He was inspired to create this presentation since he always wondered how other people cope in similar situations. Most presentations he attended were conceptual, so he wanted to share on the practical level. My personal feeling during the presentation was that the practical level he offered was still close to the conceptual style. Most of the times he informed us on what he did or what his style of work was, but he did not disclose the tools he used. So I would say he came half way, but how can you go deeper in only one hour and still cover the 10 best practices. A very good framework with good examples on ten different aspects of being a successful program manager, but with much homework before you can implement it. One very specific question I asked during the break was, if the first Best Practice is to keep an active action list with priorities and to sort it multiple times a day, what the best tools for that would be. The short answer was simply, Excel.

I do not pretend to order the 10 Best practices he gave, but for me the most appealing are:

1. the weekly routine, 2. reserving space in the notebook for the 'future' meetings (later in the

week) to make it easier to distribute remarks noted during a meeting to other groups at a later moment

3. Cleaning your programs keel, to clean up ballast that is difficult to pinpoint in weekly meetings, but that is hindering the progress by high energy consumption and/or negative output.

4. W(h)ining and dining, always nice and deemed very important informal contacts to build up a team or relation. Gijs emphasized this because of the importance, but also because he did not recognize this as important when he started in program management.

Next to the ten 'Best practices' he emphasized the six 'Distinctions', to me interpersonal relations: respect for people, successful together, know your stakeholder's stake, pave the way and communicate. Without being very specific, these are interpersonal tools to facilitate implementing the Best practices. A very interesting and useful meeting, although I recognize that some very experienced program managers might not have learned many new ideas. Well, the meeting was about sharing practical Best practices, so if these people were present, they could have contributed their experience, by acknowledging the ones of Gijs, or contradicting them with other examples. For a next meeting it might be an idea to find a way to get more interaction with the audience. Although Gijs invited reactions and questions, this presentation was mainly unidirectional.

BPUGnl sessions open to members PMI Netherlands Chapter, and vice versa

BPUGnl is the Best Practice User Group in The Netherlands for the Cabinet Office best practices on project, programme and portfolio management. As you might know this covers amongst others practises known as PRINCE2, MSP, MoP and such. Like the PMI Netherlands Chapter, BPUGnl organizes sessions for its members and it will be no surprise to you that the content of these sessions most of the time are interesting to members of our Chapter as well. There is however one remark, BPUGnl sessions are most of the time in Dutch where as you know we facilitate most of the Chapter meeting in English in line with PMI’s strong international background and network. Recently the presidents of both board met and agreed on exploring possibilities to co-operate, starting with opening up mutual sessions and events for each other’s members, very much like the co-operation between our Chapter and IPMA in the Netherlands. Both presidents are very pleased with this first step and sincerely hope that the growing co-operation will be beneficial, creating some extra membership for both members of BPUGnl and the PMI Netherlands Chapter. Agile Local Interest Workgroup White paper Chapter 1 What is Agile? Lately we hear more and more about an Agile project approach. What is Agile? A project management methodology like PMBOK or Prince2 or do we have to think of something else? The latter is the case. The Agile approach does not focus on the project management process as PMBOK and PRINCE2 do, but it focuses on the implementation or delivery process within the project. The word Agile literally means lean or limber. An Agile approach is more about leadership and flexibility than about management and control. This is based on the belief that nowadays in project environments there is continuous change and uncertainty. Modified wishes, insights and priorities, for example because the customer or business does not know what she wants, plays an important role. It is this kind of environment that makes it important to facilitate change, without losing the project result out of sight. This open attitude to change is in the interest of delivering business value and the goal is to generate business value for the customer.

The final product of an Agile project is not completely fixed in advance, but is something that evolves and adapts through continuously gaining insights about the wishes of the customer and complexity of the solution during the project. Compared to more traditional project approaches Agile distinguishes itself by an open and flexible attitude rather than a management and control attitude towards change. Examples of the latter are the need to create extensive detailed requirements documents at the start of the project or a formalistic application of change management procedures.

The Agile approach is mainly used in IT system development. But it is expected to be the iterative development approach that can also be used in other fields like product and process development.

Call for Volunteers We come across Project Management at different situations in our lives and at different ages and understanding some basic concepts could benefit each of us a lot, even for the children. There is a Project Management Toolkit for Youth aiming to get those benefits in an easy and understandable way to the youth. We are looking for volunteers who want to help translating this toolkit to Dutch.

Volunteer wanted for translation of the Project Management Toolkit for Youth!

As you know, volunteers are the core of PMI. Without volunteers, it is very hard to get anything done. Now, once more, we require your support.

The PMI Educational Foundation (PMIEF) is a worldwide organization of PMI that brings the benefits and the power of project management to local communities and to the farthest reaches of the world for social good through grants, programs, scholarships, and educational resources.

One of the resources is the Project Management Toolkit for Youth. This material is in English and is to be used for primary schools. Our colleagues from the Belgium Chapter have taken the lead in translating this material into Dutch, French and German, so the children in our countries can benefit from this material as well. These translations will be made available from the PMIEF website.

We fully support this initiative and we are currently looking for people who want to volunteer as a translator or proof reader so the translations can start. We will need about 5 to 10 volunteers for this assignment. You will be working in virtual/remote team lead by Frederic Pattyn of the Belgium Chapter. There are 5 documents (about 225 pages in total with lots of tables and pictures) to be translated and the goal is to have a printable versions of each document by September 2013.

This volunteer opportunity with all relevant details will be announced in VRMS. Please make sure that you have created a profile in VRMS to be able to apply for this opportunity. It will help us to serve you better and the application process for an opportunity will become shorter and easier.

PMI-RMP® and PMI-SP® Credential Exam Update As part of our ongoing effort to keep you informed, this message is a reminder that on 31 August 2013, the updated Risk Management Professional (PMI-RMP)® and Scheduling Professional (PMI-SP)® credential examinations will be released. The update to these examinations is based on the recently completed Role Delineation Study (RDS) conducted by PMI. In order to prepare for the transition to the new examination, PMI recommends that you utilize the following documents:

PMI-RMP® • PMI-RMP Examination Content Outline which contains the blueprint for the updated PMI-RMP examination • PMI-RMP Update Frequently Asked Questions about the PMI-RMP® RDS and examination update

PMI-SP® • PMI-SP Examination Content Outline which contains the blueprint for the updated PMI-SP examination • PMI-SP Update Frequently Asked Questions about the PMI-SP® RDS and examination update

Candidates that will be taking the examination after 31 August may have questions, which the documents listed above, will help to answer. For those who are considering taking the exam in the near term will be encouraged to use the exam preparation resources currently available to them. These materials include the PMI-RMP® Examination Specification or PMI-SP® Examination Specification, as well as study guides, study groups, and training courses. Please refer to the PMI-RMP®RDS Update page and PMI-SP® RDS Update page on PMI.org for more detailed information about the changes. Please visit these web pages for timely information regarding the PMI-RMP and PMI-SP updates.
