GSS Diwali Festive Scheme 2016 | West

**This is a tentative creative and will be adapted to communicate the scheme

A) GSS Diwali Festive Scheme | West (valid on Tertiary sales) will be valid from

3rdOctober 2016 to 30th November 2016 (both days inclusive). It will apply on

Home Safes (select products), Electronic Home Security Products (select products)

and Goldilocks sold through General Trade, COCO Stores, MTO’s and the

participating WD’s during this scheme period.

Please Note: This is a purely secondary led scheme and Gifts for consumers as

mentioned below in Point D will be given to retailers by the distributors purely

on the eligible material booked by the retailers during the above mentioned

scheme period. In case the retailers face shortage of gifts during the scheme

period, then HO has to be intimated at least 15 days in advance so that the

same can be arranged for.

B) Basic Design of the Scheme

i) On purchase of any Godrej Home Safe or Electronic Home Security

Product mentioned under the scheme, the customer will be eligible for

an assured gift (Refer to table 1.1).

ii) The assured gift will vary depending on the product purchased (Refer to

table 1.1).

iii) The Scheme will be valid only in the states falling in the West Zone i.e.

Pune , Mumbai , Ahmedabad , Bhopal and will be administered by the

respective West branches under consultation with the IMC team at HO.

iv) Along with the invoice, the customer will be given an acknowledgement

slip on purchase of eligible material during the scheme period. (See

Annexure I for reference image of the Acknowledgment slip)

C) Assured Gifts As per the projected sales, a total of nos. of assured gifts (Refer to Table 1.1) will be

distributed by HO to branches in the West Zone. The gifts will be stock transferred from

HO/Branches to West Zone Branches on Replenishment Order. The details of this will

be sent as and when the dispatch happens. For a detailed understanding of gift

quantities allotted to each branch in the West Zone, kindly refer to Table 1.1)

D) Administration of the Diwali Consumer Scheme | West Promo

i. On the sale accruing (i.e. the outlet having received complete payment),

the customer will be handed over the assured Gift on purchase of products

as per the table below:

ii. The customer will have to fill in the acknowledgement receipt with all

details on all 3 copies (Customer, Retailer and Company Copy). The receipt

will be in a tear away format with a customer copy, Outlet copy and a

company copy. The retailer must assist the customer in filling the same

iii. The details in the acknowledgement receipt are as follows:

iv. The customer copy will be retained by the customer; the outlet copy is

retained by the retailer of the respective outlet. The company copy

along with a copy of the respective sales invoice has to be collected

from all participating outlets by the B2C Area Sales Manager through

the distributor and send to the HO by 20th December 2016

v. Random checks are to be made by the Branch Sales team along with the

TMM by calling the end customer directly to confirm the purchase of the

home safe/EHSS/Goldilocks and the receipt of the assured free gift

vi. At least 15 calls should be made every week by the TMM’s during the

scheme to verify or validate the receipt of free gifts by the customer. This

data should be maintained for future purpose and is to be shared with the

HO every 15 days.

vii. The number of acknowledgement slips as well as the number of gifts

given to the customer after verification will be maintained by the branch

and sent to HO on 15th December 2016 . This will be followed by the courier

of physical copies of all acknowledgment slips from Branch to HO by 20th

December 2016.

E) GIFT (Kindly refer to Table 1.1)

I. Availability of Gifts at West Zone Branches

The gifts will be available at West Zone Branch warehouses by 27th

September 2016

II. Maintain receipt of the Gifts at respective Branches

i. The Branch warehouse in-charge should physically verify the gifts along

with the relevant document (Challan) and instruct his team to ‘Maintain

Receipt’ and take the Gifts in the Branch Stock as and when received.

III. Distribution of Gifts to distributors

i) Branch Head to give the quantity of the gifts to be distributed to the

Distributors/360 degree outlets to the BCM duly approved by the ZM.

ii) Branch commercial to book the order in the name of the respective

Distributors/360 degree outlets/COCO stores/MTOs and supply the same on

FOC basis. Distribution of Gift to COCO Stores will be stock transferred from

Branch warehouse to the respective COCO Store based on their

requirement.

iii) This white paper stands as a sanction for giving the gifts on FOC basis.

iv) Branch Commercial team to dispatch the gifts to the Distributors/360

degree outlets and take acknowledgement on challan and keep the same

for all future audits.

IV. Distribution Process for gifts

The branch must distribute the Acknowledgement Receipts and Assured Gifts

(Refer to Table 1.1) to the distributor basis the products booked in the system

during the scheme period. The branch must ensure that distributors pass on the

acknowledgement receipts to every retailer latest by 24th September 2016.

V. Distribution of Gifts to retail outlets

Branch must take proof of material booked by the retailers from their

respective dealers. A statement must be maintained by the branch of the

eligible material booked by the retailer on the distributor and Gifts must

only be released accordingly. If the counters require more gifts for the

customers, they must book material from their respective distributor. The

distributor must in turn, along with the material, hand over the gifts to the

retailer. The branch Area Sales Manager must keep a record of the gifts

distributed to each retailer and distributor. In case the distributor faces shortage

of gifts to give the retailers against the eligible material booked by the retailer in

the system, then the HO IMC Team must beintimated at least 15 days in

advance so that the same can be arranged for and sent in time.

VI. Return Procedure of the gifts

The remaining gifts along with acknowledgement receipts will be collected by the

Distributor from his respective retailers and will be passed on to the Branch Sales

team. The B2C Area Sales Manager must tally it with the sale accrued from each

distributor. The gifts must then be returned back to HO. If the Counter foil does not

match with the number of gifts returned, a Debit Note will be raised against the

concerned Distributor.

VII. Return of the Balance Gifts from the Distributor/360 outlets/Coco Stores

All the Balance Gifts along with Acknowledgement slips have to be taken back by

the distributor from the retail outlets and further from the distributor by the B2C

Area Sales Manager within 7 days after the Consumer Offer period is over. The Gifts

have to be taken back in the system by RSO (Return Sales Order) route giving the

reference of the earlier Bill no.s of the Gifts supplied. COCO Stores to return the

balance gifts on a return RPL to the Branch warehouse.

BCM and Branch Sales Head will be responsible and should ensure that the time

lines are followed. B2C Area Sales Manager must validate and tally the no of gifts

liquidated by the distributor against the no of acknowledgment slips and invoice

copies.

VIII. Reconciliation of gifts:

BCM should get the Gifts reconciled within 15 days from the end date of the

consumer offer period. The Reconciled statement should be sent by the branch to

IMC clearly stating the no of gifts utilized in the scheme by the branch and the

balance stock received from the distributor by 15th December, 2016. The BCM

should keep all the Gifts returned by the distributor/COCO stores under his custody

till further instruction from HO IMC.

IX. Return of Acknowledgement Slips

IMC Team will conduct mystery checks with customers from the acknowledgment

receipts received at HO before payout /credit note is made to the Distributor HO to

Branch.

Booklets containing 10 acknowledgement receipt leafs will need to be printed by

the TMM at the local level based on the artwork received from the HO. HO will

share the artwork of the Booklets latest by 21st September 2016. All West Zone

branches must adhere to the timelines of the schemes & keep a vigilant track of the

company copy. The branches also have to update HO on the sales with relevant

company copies & invoice of the purchase.

F) BRANCH TO THE SELLING OUTLETS

(Retail Counter, COCO , MTO’s and selected Dealer Outlets)

The Branch will distribute these acknowledgment receipts and gifts (equivalent to the

sales quantities estimated to the end customers during the consumer scheme period).

The branch must continue sharing additional quantities of assured gifts and

acknowledgement booklets with the outlets as per the quantities sold by the outlets as

the Consumer scheme progresses.

The branch must maintain stock of the retail outlets pre and post the scheme. Once the

consumer scheme is over, the branch must ascertain the no of excess free gifts lying

with the retail outlets basis the no. acknowledgement receipts collected from the

retailer. Any excess nos. of assured gifts lying with the retail outlets need to be

collected by the branch. A report of this in the form of a statement needs to be shared

with the HO IMC team by 15th December, 2016. A consolidated report is to be

maintained by the branch, of the no. of gifts reimbursed need to be maintained vis-a-

vis the no of tertiary sales for future audit purposes.

G) BRANCH TO HO

The company copies are to be collected and collated by the branch (from the selling

outlets) once every 2 weeks and sent to the HO immediately. A copy of the relevant

invoice should be attached to each acknowledgement receipt (company copy). The

final quantity of acknowledgement receipts should be collected and collated by the

branch.

final and binding.

14 This offer shall be subject to laws of India, including tax regulations, as may be

applicable to the customers and any legal matter arising out of the scheme will have

to be carried out in the courts of Mumbai.

15 Godrej & Boyce Mfg Co Ltd - SECURITY SOLUTIONS division reserves the right to

modify, cancel, extend, or discontinue the scheme or any part thereof without

giving any reason or prior notice.

16 This scheme is applicable solely in the West Zone - Pune , Mumbai , Ahmedabad

and Bhopal and will be administered by the respective West branches after
