JOB DESCRIPTION

POSITION: Housing Manager – scheme based

RESPONSIBLE TO: Housing Management Team Leader

SALARY : TBC

1. OBJECTIVES OF THE POST

To provide Intensive Housing Management Services to all tenants

2. KEY RESPONSIBILITIES

Direct services to tenants:

To access additional support and care services for tenants where applicable To monitor the Health and Safety of the scheme and its tenants and to carry out all appropriate

inspections, risk assessments and tasks to ensure the smooth running of the block To refer all repairs that are the responsibility of jLiving to the Property Team. To advise appropriately regarding repairs that are not the responsibility of jLiving To carry out daily checks either face to face, via telephone or via the pullcord system – of all tenants

requiring a daily call. To deal with all emergencies as they arise when on duty To orientate new tenants to the scheme To make referrals to the Associations Welfare Officer Service as appropriate and as required To ensure that applications for Housing Benefit have been made where appropriate – either by the

tenant themselves or by the Welfare Officer.

Void Management:

To notify the Team Leader and Lettings and Allocations Manager of any impending or other vacancies.

To complete the initial Void Inspection Report and return to the Property Team in a timely manner. To actively liaise with former tenants / families / NOK / carers re: flat clearances at the end of a

tenancy – and to keep the Property Team updated – in line with the Void Standard

Housing Management Duties :

To carry out all viewings of void properties to potential tenants To complete all tenancy paperwork with new tenants, ensuring that they understand their

obligations under the terms of their tenancy. Monitor and review all Starter Tenancies - ensuring that reports are sent to Team Leaders and the

Lettings and Allocations Manager. To lead and facilitate regular tenant meetings Maintain robust monitoring systems and records including a daily log, support plans, health and

safety records and tenant files. In conjunction with the Team Leader and DofH monitor rent arrears and assist in the recovery of

outstanding arrears. In conjunction with the Property and Finance Teams assist in the recovery of outstanding recharges

for repairs. In conjunction with the Team Leader investigate first stage complaints of ASB and Nuisance and

report accordingly. Report and alert regarding any Safeguarding concerns. Undertake any additional administrative duties as may be required. To arrange the booking and letting of guest accommodation Maintain and manage a Petty Cash float. Collect, reconcile and bank any rent payments, laundry and or miscellaneous payments.

Health & Safety

To maintain and monitor scheme security To ensure that communal areas are clean and accessible and available for use To ensure that there are adequate heating levels To supervise external contractors visiting the scheme To monitor the safety of all other personnel and visitors when visiting the building To report any defects to building, plant or machinery to Head Office To report any accidents or incidents involving tenants and or visitors to the relevant

personnel within Head Office.

General:

Comply with the Association’s Health and Safety Policy at all times, reporting any hazards or accidents to a member of the Senior Management Team immediately and to take all appropriate and necessary action when needed

Comply with all the Association’s policies, procedures, financial regulations and standing orders

Regularly update records and files on any risks associated to the role and responsibilities of the post

Support the development of new staff within the organisation to enable them to learn about sheltered housing.

Build effective relationships with tenants and their families observing discretion, confidentiality and tact.

Demonstrate excellent communication, observation and active listening skills.

Provide an excellent service to all customers that contact the Association either by personal visit, phone call or email and to help foster good landlord/ tenant relationships, including the Tenant Scrutiny Panel

Liaise with senior management in advising, guiding and supporting the work of the service area and prepare all appropriate documentation and briefing papers to update the SMT.

To promote the image of the Association by ensuring a high standard of presentation for all internal and external reports, briefing papers and other documents when writing and providing information to internal and external stakeholders, clients, users and staff

Contribute to the team's performance and customer service delivery whilst operating in line with Association’s values

To ensure that confidential matters remain confidential and to maintain files of confidential and high value documents in a secure location

To provide cover for other staff members carrying out housing service roles within the Association as required

Comply with the Association’s Code of Conduct at all times and to act at all times in a manner that is courteous and polite towards others

Actively promote the organisation’s equality and diversity policies To comply with the organisation’s Health and Safety Policy and procedures Carry out any other reasonable duties to as may reasonably be required.
