Case Prep and Major Enhancements to Case Prep What is Case Prep?

Case Prep is a tool that enables you to more quickly and thoroughly prepare for translation. It compares transcripts (in Case CATalyst or ASCII format) and/or other text files (e.g. wordlists, saved emails, Word files saved in TXT format, etc.) against your Personal Dictionary (and any other dictionaries you select). It uses this information to: Generate a Dictionary Builder List for words that are not in your dictionary.

Generate a Heads-Up List of words and phrases that you might want

to brief.

Sort the generated lists to enable you to prioritize your prep.

NEW FOR VERSION 17: Generate a report of previously used briefs. How will Case Prep help you? It enables you to decrease the occurrence of untranslates by building

dictionary entries for words that might come up that are not yet defined.

It enables you to generate briefs and quickly define them for high frequency words and phrases.

It enables you to speed up your prep by focusing your time and energy on tasks that are most likely to prove beneficial, based on available information.

Step-by-Step Instructions:

1. Obtain transcripts and/or any other documents that may have helpful information and restore or copy them to your user in Case CATalyst. NEW FOR VERSION 17: In addition to Case CATalyst .SGNGL format,

Case CATalyst BCS .SGCAP format, and ASCII .TXT format, you can now use documents in .PDF, .PTX, and TextMap format. (As in Version 16, if a colleague who uses different CAT software provides a file for you in RTF/CRE format, that file can be imported into Case CATalyst prior to using Case Prep. If you are obtaining information from e-mail, the Internet, word processor files, PDFs, etc. you can copy and paste the text to a new text file in Case CATalyst.)

NEW FOR VERSION 17: Case Prep will generate phrases for briefs from all selected documents. (In Version 16, only .SGNGL and SGCAP documents were used to generate phrases for briefs.)

TIP: Phrases that are not defined in a dictionary are checked against

the CasePrepExcludeList.txt and CommonWords.txt files. If all of the words in the phrase are in either list, the phrase does not display in the Heads-Up List. As you edit a transcript, if you see a word or a phrase that you believe you would never want briefed, you can mark (highlight) the word or phrase and then click Tools, Add to Case Prep Exclude List. For example – city or state names that would be unlikely to come up in future jobs or cases.

Different reporters will have different priorities regarding phrases that should be briefed. If you believe phrases that should be generated by Case Prep may have been excluded, review the words in the CasePrepExcludeList.txt and CommonWords.txt files and remove any that could or should be a part of a phrase that would be briefed.

2. From Manage Jobs, click Tools, Case Prep.

TIP: The Case Prep command can be added to the Function Bar or a

toolbar via Customize Toolbar.

3. The Case Prep – Select source files to compare dialog displays. Click Add… (Alt+a) to open a dialog where you can browse to and select the transcript(s), ASCII .TXT, .PDF, .PTX and/or TextMap files. Use standard Windows selection (click, Ctrl+ click, Shift + click) to select the desired files and then click Open. The selected files are displayed. Review the list. Click Add… or Remove… to modify the list, if necessary, and then click Next.

4. The Case Prep – Dictionary selection dialog displays. The Personal Dictionary is automatically selected for comparison and if you use an Update Area, it is also automatically selected. Click Add Files… (Alt+a) to open a dialog where you can browse to and select additional case or job dictionaries. Select the dictionaries in the same order that you would select them for translation, and then click Open. NOTE: If you wish to change the order of selected dictionaries, select the

dictionary to move and click the Up or Down arrow icon in the upper right corner of the dialog. The Personal Dictionary (and Update Area, if you use one) will be the lowest priority, just as in translation.

The selected files are displayed. Review the list. Click Add Files… or Remove Files… to modify the list of dictionaries, if necessary, then click Next.

5. The Case Prep – Options dialog displays. Select options to customize the information you want to obtain from the Case Prep comparison. At List: select the radio button next to Words found/not found in

dictionaries, Phrases used/you might want to brief or Both.

At Create Lists: select either or both options: Create Dictionary Builder List for undefined words/phrases, and/or Create Heads-Up List for defined and undefined words/phrases.

If you select Create Heads-Up List for defined and undefined words/phrases there are two additional options: Include steno definitions in Heads-Up List: When selected, the list you

use for briefing words and phrases will show you the steno that has been previously defined for words and phrases.

NEW FOR VERSION 17: Suggest briefs for phrases: This feature automates the process of suggesting briefs for all phrases in the Heads-Up List. When the list is generated, the Brief It pane will also be populated with suggested briefs.

Enter a preferred value for Report words or phrases that occur at least n times. (The minimum value is 1.)

At Sort List By: select Frequency (the number of times the word or phrase occurs in the job), or Words then phrases, or Phrases then words. When you have finished making your selections, click Next.

6. If you selected any Case CATalyst Transcript (.SGNGL) or BCS Caption (.SGCAP) files, the next screen is the Case Prep – Briefs dialog. If you did not select any jobs in either of those formats, this dialog will not display. At the Case Prep – Briefs dialog, you can select the Report Briefs in Heads-Up List option. If selected, set the following options and then click Next. a. Choose one of the following three options: Personal Briefs and Reminders/Used

b. Set a value for the minimum number of jobs a brief must appear in to be included in the report at the end of the Heads-Up List.

c. Set a value for the minimum number of times a brief must have been suggested or reminded/used to be included in the report at the end of the Heads-Up List.

7. The Case Prep – Source files and Dictionary Confirmation dialog displays. Review your selections, and if you need to adjust the files, dictionaries or options, click the associated Change button. You will move back to the associated selection screen where you can modify the selections as desired and then click Next as many times as needed to return to the confirmation screen. When all selections are correct, click Finish.

8. If you selected Create Dictionary Builder List for undefined words/phrases, the Dictionary Builder– List Results dialog displays the results in the order you specified. NOTE: If you wish to adjust the cap state (all uncapped, initial capped,

all capped) of a particular word or phrase prior to using Dictionary Builder, select the word or phrase (one at a time) and click Cap (Alt+c).

If you wish to immediately open and use Dictionary Builder with the

Dictionary Builder list, select Start Dictionary Builder, and at Using Dictionary: select the name of the dictionary into which you wish to build entries from this list (e.g. Personal Dictionary or the case dictionary or job dictionary of the job for which you are prepping). Or, click Other, and then click Browse to browse to and select another dictionary. Then, click OK. The Dictionary Builder Setup dialog displays. At Writer: choose Keyboard input (no writer) to build the dictionary from computer keyboard, or select the writer and connection type (e.g. Stenograph Writer USB). If you plan to build the dictionary from your writer, make sure your writer is on and connected to your computer, and then click OK. As you are prompted with words from the list, depending on your input method, type or write whatever steno you prefer for the word, then select one of the options (Next Word, New Outline, Previous Word), by clicking the button or writing the steno associated with that option. When you are finished, click the Done button, or write the steno associated with that button.

NEW FOR VERSION 17: You can click Toggle Cap or write the associated steno to change the case for the word or phrase.

When finished building entries into the dictionary, click Done or write the associated steno for Done, and then save and close the dictionary. NOTE: If you do not build the dictionary immediately or if you do not

wish to build the entire dictionary in one sitting, you can close the Dictionary Builder list and come back to the function later and begin where you left off. The Case Prep Dictionary Builder lists are stored in the Dictionary Builder case in System Files.

NEW FOR VERSION 17: In Version 16, the file was named Case

Prep YYYY-MM-DD HH.MM; you had to remember the date you began Case Prep to know the case to which it pertained. In Version 17, the file is named Case Prep [Case Name or User Name] YYYY-MM-DD HH.MM. If you began Case Prep inside a case, the case name is added. If you began Case Prep at the main level of your user, the User name is added.

9. If you selected Create Heads-Up List for defined and undefined words/phrases, it is displayed in a three newspaper column format in a Case CATalyst text file.

If you did not select the Suggest briefs for phrases option and you wish to create briefs for words or phrases, position the cursor on the word or mark (highlight) the phrase in the Heads-Up List and then click Global, Suggest a Brief or right click the highlighted word or phrase and then select Suggest a Brief.

If you like a generated brief in the Brief It pane, right click it and select K-define Suggestion or J-define Suggestion (the name of the option will depend on your choices for Brief It options). If you dislike the steno for the suggested brief, you can right click it and select New Suggestion.

If you don’t like any of the suggestions and/or you think of a brief you’d prefer to use, position the cursor on the word or mark (highlight) the phrase in the Heads-Up List and then click Global, Text to Dict Define. Type the preferred steno and click OK (Enter). TIP: You can also assign the Text to Dict Define function(s) to a key

in your keyboard map. NOTE: If you do not wish to immediately review the Heads-Up list for

briefs, you can close the Heads-Up list and re-open it later. The Case Prep [Case Name or User Name] YYYY-MM-DD HH.SS is stored in the same location as where you began the Case Prep function.

NEW FOR VERSION 17: If you selected the Report Briefs in Heads-Up List

option, any previously suggested Personal briefs (noted with [P], Reminders (noted with [R]) and used briefs (noted with [U]) are reported at the end of the Heads-Up List. For example, you might see the following information in the report section of the Heads-Up List: [R] it would have been /TWOUFB [2/16] This means that of the transcripts you selected for analysis in Case Prep, you were reminded that /TWOUFB was already defined in one of your selected dictionaries as the phrase it would have been; that the reminder occurred in two of the transcripts you analyzed and the reminder occurred a total of sixteen times in those two transcripts.

Major Enhancements to Brief It What are these major enhancements and how can they help you? Allow Double First Syllable option

Reporters who prefer to brief by writing the first syllable of the word or phrase twice will find it helpful to have Brief It suggest a doubled first syllable. When this option is selected, Brief It will base suggestions on the following logic: For individual words:

Suggests a single stroke based on the first sound(s) of the word.

For example, if the word is theoretically, Brief It might suggest /THAOE or /THAO*E (depending on settings for the asterisk in Steno Include/Exclude in Brief It Options, and whether or not that single stroke is already defined as a word).

If the single stroke is already defined as a word, Brief It may suggest a two-stroke brief that is double the first syllable. For example, if the word is theoretically but /THE, /THAOE and /THAO*E are already defined as other words, Brief It might suggest /THE/THE,

/THAOE/THAOE or /THAO*E/THAO*E (again, depending on settings for the asterisk in Steno Include/Exclude in Brief It Options).

For phrases:

Suggests a single stroke based on the first letter of each word in the phrase. For example, if the phrase is lumbar spine, Brief It might suggest /HR-S or /HR*S (depending on settings for the asterisk in Steno Include/Exclude in Brief It Options and whether or not that single stroke is already defined as a word).

If the single stroke based on the first letter of each word in the phrase is already defined as a word, Brief It may suggest a one- or two-stroke brief based on the first syllable. For example, if the phrase is lumbar spine, Brief It might suggest /HRUPL or /HRUPL/HRUPL, /HR*UPL or /HR*UPL/HR*UPL (again, depending on settings for the asterisk in Steno Include/Exclude in Brief It Options).

Allow Briefs with Numbers option

Stenograph received numerous requests for Brief It to provide suggestions for repeated occurrences of digits with text (such as dollar amounts, Bates numbers, dates, addresses, etc.) This capability has been added via the Allow Briefs with Numbers option. When digits and text are written, Brief It will first remove the digits and attempt to suggest a brief (for the digits and words) using the normal Brief It logic. If a suggestion cannot be made, Brief It will then attempt to suggest a brief using up to three digits in the order they are written. In the Steno Include/Exclude list, there is a Required For Numbers option which allows you to specify steno characters that will always be included in a number brief suggestion. For example, /EU is the default steno set as Required for Numbers. If you had the following testimony:

Q. That took place at the building at 400 Western, right? A. 400 Western, yes. Q. Was Mario at the 400 Western building, too?

Brief It would first remove the digits and suggest a brief for 400 Western such as /WES or /WES/WES. If that steno or /W*ES or /W*ES/W*ES

(depending on your settings for Allow Double First Syllable and for a required or excluded asterisk in Brief It Options) were already defined, Brief It might suggest something like #40EU as a brief for 400 Western. NOTE: If you don’t want the number bar used to suggest briefs but you

still want briefs for digits and text such as 400 Western, you can exclude # in Brief It Options (click Steno Include/Exclude).

NOTE: Briefs for numbers are suggested for digits with text. Word numbers with text are treated like any other phrase for briefing purposes.

TIP: In previous versions of Case CATalyst, if you attempted to mark a digit and text and use Suggest a Brief, you would not get a result. In Version 17, Brief It will use the logic described above to attempt to suggest a brief.

Reminders & Personal Briefs can Exceed Max Words Per Brief Setting

Brief It will now offer Reminders and Personal Briefs that exceed your Max Words Per Brief setting in Brief It Options. For example, supposed your setting for Max Words Per Brief setting is 5. You write the phrase “please state your name for the record” which exceeds your Max Words Per Brief setting. In previous versions of Case CATalyst, no brief would be suggested. In Version 17, if you have a brief defined for please state your name for the record, Brief it will display that dictionary definition as a Reminder brief. If you do not have a one-stroke dictionary definition, but you have an entry in your Personal Briefs file, the Personal Brief will be offered in the Brief It pane.

Ability to Export Brief It Pane to .CSV Format

Although you have always been able to print the contents of the Brief It pane, users requested a more flexible file format to study and practice briefs; to be able to sort alphabetically or by type or reminder count. In Version 17, the contents of the Brief It pane can be exported to a .CSV (comma separated values) file format, a table structure format that can be opened in a spreadsheet program such as Microsoft Excel. Exporting the file to .CSV and then opening the file in a spreadsheet program such as Excel makes this very simple.

Step-by-Step Instructions: To use Allow Double First Syllable option:

1. At Manage Jobs, click Tools, Options, Edit, Brief It (Alt+t, o, e, b).

2. Select Allow Double First Syllable and click OK.

To use Allow Briefs with Numbers option:

1. At Manage Jobs, click Tools, Options, Edit, Brief It (Alt+t, o, e, b).

2. Select Allow Briefs with Numbers and click OK.

Reminders and Personal Briefs can Exceed Max Words Setting:

This enhancement is automatically available; no setting is required.

To Export Brief It Pane to .CSV Format:

1. Open a file in Edit, and display the Brief It pane.

2. On the Brief It pane title bar, click (the Export to CSV) button.

3. In the Save As dialog, the default name is the job name followed by _BriefIt.csv. You can use this name or type a preferred filename. The default location is the Documents folder; you can also browse to a different location.

NOTE: If you save the .CSV file in your Case CATalyst user and then

double click to open the file, Case CATalyst will assume it is a Fill-in-Field List file. You will have some view, sort and filter options for the file to focus on the entries you wish to prioritize. The request for this feature was to have the ability to export the file to a format that could be used with an external spreadsheet program such as Excel, not to provide the same functionality of a spreadsheet program in Case CATalyst. If you want a full range of options to manipulate the data in the .CSV file, you may wish to save the file to an alternate location (e.g. Desktop, Documents folder, etc.) and then open the file with a spreadsheet program. If you choose to save the file in your Case CATalyst user, the best way to open the file will be to right click the file, select Open With and then select your spreadsheet program.

Output to CARTView and Enhancements What is Output to CARTView?

Output to CARTView is the ability to output text to a separate window on the same computer. That window can then be dragged to another monitor or to a projector (or to a tablet acting as an additional monitor). The display can be customized by changing the color of the text, the background, the font style and size, transparency, line spacing, margins, and position of the window on the screen. NEW FOR VERSION 17: Two additional capabilities have been added for

Version 17. Show Active CARTView and Hide Active CARTView: When using

Output to CARTView (local display), you now have the ability to hide or show the CARTView window. This feature can be used to hide the CARTView window (e.g. during a break in the proceedings or for any reason when the CARTView window is not wanted) and then shown again at a later time (e.g. after a break or at any time when the CARTView window is wanted again). You can easily Hide and Show via menu commands, functions mapped to your keyboard map, by right clicking, or by writing steno defined as an AccelerWriter.

Limited Access to BCS for Non-BCS Enabled Case CATalyst Users: Stenograph received several requests from CART providers for the ability to send scripts (premade files) while using Case CATalyst and providing CART. For example, when a CART provider is captioning a church service where there are specific passages read, or songs sung, the CART provider could type those verses and lyrics into a file ahead of time and then send the text to the screen one or two lines at a time, vs. having to write it realtime. Limited access means that you can use BCS to provide CARTView presentations and send script files locally. There is no broadcast capability in this version. If you want the ability to send output to StenoKeys, internet, modem, com ports, etc., to create simultaneous ASCII, SCC or SMPTE-TT files, you would need to purchase full BCS access. Unavailable menu items are grayed out/inactive.

How does CARTView help you? Whether you are a regular provider of in-person CART services or are asked to provide CART services for a particular occasion, you have the ability to provide

realtime without requiring the viewer to look at a Case CATalyst or litigation support software viewer, which were not designed specifically for CART.

Step-by-Step Instructions: To output to CARTView via Case CATalyst:

1. At Manage Jobs, open the Translate function. 2. At Output To, click the down arrow and select CARTView (local display).

TIP: If providing output to CART and to CaseViewNet simultaneously

(for example, CART for a hearing impaired witness at a deposition and iCVNet to the attorneys), at Output To: select Multiple Outputs and select to output to both CARTView and CaseViewNet simultaneously.

3. Type a file name, select additional options and/or dictionaries, and click

OK to begin realtime.

4. The CARTView window displays. If desired, you can drag it to another monitor connected to the translating computer.

5. When finished, press Ctrl+ \ to stop translation and the CARTView window closes.

To output to CARTView via Limited Access to BCS:

(One time) Set up output to CARTView via BCS:

1. Click (the BCS Captioning button) on the Function Bar or click Function, Broadcast Captioning Suite (Alt+u, b).

2. In the Broadcast Captioning Translate dialog, click New Profile, type a

file name (for example, CARTView with Scripts) and click Open.

NOTE: A profile is a group of settings similar to Translate Settings in CATalyst’s Translate. The Profile tells BCS what dictionaries you’ll be using and what type of output you want to create. In captioning and CART, a typical profile name would be the name of the client (e.g. the TV network, or TV Show, or the name of the client/student).

3. At Dictionaries, select the dictionaries you will use in translation.

4. At Connections, click (the New button) and type a name for the

connection. (A broadcast captioner might have several different connections because they often connect to different encoders at different times of the day or for different programs or using different methods. They set up the details of these connections in advance so that they don’t have to have different profiles for every connection at the same place.) You can use any name for your connection. We would suggest you use something that describes what you will accomplish, for example: ConnectCART.)

5. In the Encoder Model field within Connections, click the down arrow

and select CARTView. Once you select CARTView, the Modem/Direct and Internet settings sections gray out and do not apply to CARTView. Then, click Next.

6. At Caption Styles, notice that the default setting is to have the

Capitalize All Text option selected. If you want all text and scripted material in the CARTView window to appear in all caps, leave this option selected. If you want text and scripted material to appear in the original case, de-select this option. Then, click Next.

NOTE: Other options available in Caption Styles are to affect the

appearance of captions. They do not affect the CARTView text.

7. Continue to click Next through any remaining dialogs, making no additional changes. At the last dialog, click Finish.

(Each Time) To translate with output to CARTView via BCS:

1. Click (the BCS Captioning button) on the Function Bar, or click Function, Broadcast Captioning Suite (Alt+u, b).

2. Click Options. In the Realtime tab, make sure the correct writer is

selected and click OK (Enter). Set any other translate options, as desired.

3. Type a file name for the session, select the Profile you created (e.g. CARTView with Scripts, or whatever name you selected for your Profile) and click Start Session.

4. In the Session Information pane, under Phone Numbers, click the name

of your connection (e.g. ConnectCART or whatever you named the Connection).

5. Begin writing. (If you do not see anything in the Realtime Window, click

Setup, Connect Writer.) The CARTView window will display after a few seconds.

To send pre-scripted material to the CARTView window:

You will need to create a script file, add/import it into the BCS Story Queue, and then you will press simple keyboard commands to send text to the CARTView window.

1. Create a script file from a Case CATalyst text (.sgngl) file.

NOTE: You can also use a pre-existing ASCII .TXT file or

Case CATalyst BCS .SGCAP file, or copy and paste into any of these formats.

a. Click File, New, Text File (Alt+f, n, t). The Create New Document

dialog box displays.

b. In the File name field, type a name for the script file and click Open (Enter).

c. In the new text file, type the title of the story and then press Enter (or F4, L) to create a new line.

d. Highlight (mark, select) the title of the story. Press Shift+F4 or

NOTE: If no Caption format symbols are displayed in the list, they

e. Move the cursor to the next line and type (or paste) the contents of the story. Use a period followed by a <New Line Paragraph> (. F4, L) to place text on a new line.

f. If you have more than one “story” repeat steps d and e for each

story.

g. Click File, Save As (Alt+f, a). Browse to the Caption Show Files folder, located in your installation directory’s root, (e.g. C:\CAT4\Caption Show Files) and then save and close the file.

NOTE: By default, the Add Stories feature in the Story Queue

window (that you will use to load the script file for sending) opens the Caption Show Files folder. Saving the file directly to that folder will make it faster and easier for you to add the story to the queue.

2. Add the story to the queue.

a. In the Story Queue pane, click (the Add a Story) button.

b. Browse to the script text file you created in Step 1, and either double-click it, or click it and then click Open (Enter) to add it to the story queue.

c. If you have more than one script file, you can use Add a Story to add additional script files and the up/down buttons to re-order scripts as needed.

3. Send the text from the story to the CARTView Window.

Press Ctrl+1 to send one line to the CARTView Window.

Press Ctrl+2 to send two lines to the CARTView Window.

Move the slider to the right to increase the size of the text; move it to the left to decrease the size.

Snap Size

This feature allows you to quickly adjust the size and/or position of the CARTView window and also undo the selection quickly. Unsnap

Reverts the window size and position to the default settings.

Width Expands the CARTView window horizontally to the size of the current screen. The height of the window does not change.

Height Expands the CARTView window vertically to the size of the current screen. The width of the window does not change.

Workspace

Expands the CARTView window to the size of the entire screen except for the Windows Taskbar. The Windows Taskbar will still be visible.

Full Screen

Expands the CARTView window to the size of the entire screen. The Windows Taskbar will be covered.

Bottom Workspace

Bottom Full Screen Expands the CARTView window to the size of the screen and moves the bottom of the screen. Depending on settings in Windows, this may cover the Windows Taskbar or a portion of the CART window may appear behind the Windows Taskbar. The height of the window does not automatically change, but can be adjusted via clicking and dragging.

Display Last Conflict in Realtime What is this?

While writing realtime, the last conflict in the file (within the Reporters Area, which includes approximately the last 128 steno outlines) will display on the Status Bar, in the lower right-hand corner. Conflicts include any steno or text defined with carets (such as ^ fill ^ Phil or ^ NOTE) whether unresolved, or chosen in translation with EZ Choice, Second Choice or Auto-conflict. There are no steps to take to enable this feature – the last conflict displays in realtime automatically.

How will having the last conflict displayed help you?

This can enable you to use the {Resolve Conflict, Choice 1-9} realtime commands more easily. If the conflict is not currently displayed in the transcript text, you will not have to move the cursor backward to see the conflict before you can choose it.

Smart Parentheses What is this?

A Use Smart Parentheses option has been added to the Input tab of the Translate Options dialog. When selected, you can use the same steno to write both the open and close parentheses. Also, if an open parenthesis is written while in one paragraph style and then steno defined as a new paragraph style (e.g. <Question>, <Answer>, <Colloquy>) is written (not a <Continuation Paragraph> within an existing paragraph style), a close parenthesis will automatically be added before the new paragraph style.

How will Smart Parentheses help me? If you are accustomed to writing the same steno for both open and close parentheses, this feature will be very helpful! If you are accustomed to writing different strokes for the open and close parentheses symbols, you might use this feature if you sometimes forget to write a close parenthesis at the end of a paragraph.

How would I use Smart Parentheses?

First, the steno for the parenthesis symbol must be defined correctly and the option selected. The steno for the parenthesis (e.g. /STPH-FPLT) should be defined as the open parenthesis symbol – (. There should be no other punctuation or format symbols defined with the symbol. Next, to select this option:

1. Open the Translate dialog by clicking (the Translate button) on the Function Bar or by pressing Ctrl+t.

2. Click the Options button (Alt+o). 3. Select Use Smart Parentheses (the last item in the Options area). 4. Make any other desired selections/changes and click OK to begin translation.

Digits attach to {Glue} alphabet

What is this new option?

The Advanced Translate option, Digits attach to {Glue} alphabet, enables you to choose whether or not steno that translates as digits should automatically attach to steno defined as letters with the {Glue} format symbol. If set to Yes (the default setting), this option will cause digits to translate adjacent to letters with the {Glue} format symbol. For example, suppose you have /A* defined as {Glue}A, /PW* defined as {Glue}B, /KR* defined as {Glue}C, etc. If you were to write /TPOUR/TAOEN/PW* it would translate as 14B. If set to No, digits will translate with a space before or after letters with the {Glue} format symbol. For example, if you were to write /TPOUR/TAOEN/PW* it would translate as 14 B.

How will this option be helpful?

In previous versions of Case CATalyst, reporters who needed to have letters and numbers glue together had to define a unique set of steno strokes defined as digits with {Glue}, write steno defined as <Delete Space> before or after numbers, or use AccelerWriters to edit out unwanted spaces during translation. This option can eliminate the need to write extra strokes, or to define an additional set of numbers.

Step-by-Step Instructions:

New Text Field Options in Global Define/Replace Dialogs What is this?

When the cursor is positioned in the New Text field of a Global or Replace dialog, you can right click the New Text field or press Shift+F10 and a menu containing a number of actions you can select and apply to text in the New Text field displays. NOTE: All of these shortcuts have assigned shortcut keys. If the user knows

the shortcut key, it is not necessary to open the menu to access the command.

How will this help you? Many Case CATalyst users are unaware of a variety of commands that are available when the cursor is in the New Text field, many of which have been available for many, many versions, such as Old Text to New Text, Surround with Commas, Surround with Quotes, Extended Characters and Spelling Lookup. There were requests for these commands and others that users wished to be able to use when in the New Text field, such as number conversion, the ability to look up a definition, split a word, etc. Having these options available can make editing faster and more convenient.

For example, suppose the steno /PWHRATS was written and appeared as an untranslate. Suppose the reporter or scopist who is editing the job presses Ctrl+d to D-define that brief as black hats but accidentally types it as blackhats in the New Text field. Rather than press Backspace four times and then press the Spacebar and then retype hats, all the reporter or scopist has to do is either right click or press Shift+F10 and select Split Word or just press Ctrl+L to split the two words before pressing Enter to complete the definition.

Enhancements to Homophones How have homophones been enhanced?

In previous versions of Case CATalyst, if a user wanted to add or modify list entries in the homophones file used by the Cycle Homophones feature, they needed to open the homophones file in the System Files case with an ASCII editor such as Notepad and add groups of entries. Some reporters found this process to be confusing; not understanding why each word needed to head its own group, and why they would need to type the same words over several times in the same file. For example, let’s say you took a job involving parties named Cindi and Cindie. When the file was translated, all occurrences of the steno for Cindi and Cindie translated as Cindy. The reporter or scopist editing the file decides to press whatever shortcut key they’ve assigned to Cycle Homophones to change Cindy into Cindi or Cindie, but they discover that the default homophones file will only change Cindy into Cyndi, but not Cindi or Cindie. In Version 16 and earlier, to make Cycle Homophones change Cindy into Cindi or Cindie as well as Cyndi, the user would have to open the homophones file in Notepad, search for Cindy, and then add Cindi and Cindie to the existing group: Cindy Cyndi If they wanted to be able to cycle Cyndi into Cindi or Cindie, or either Cindi or Cindie into Cindy or Cyndi, they would have to modify two existing groups of entries and create two new groups so that the file contains a total of four groups of these names, including: Cindy Cyndi Cindi Cindie Cyndi Cindy Cindy Cindy Cindi Cindi Cyndi Cyndi Cindie Cindie Cindie Cindi In Version 17, this has been simplified. The Homophones.SGXML file can now be viewed and edited in a Case CATalyst Homophones Editor dialog. This dialog will enable you to add new homophones and/or edit/delete existing homophones.

Additionally, the Cycle Homophones command is no longer limited to changing a single word into one or more words. “Homophones” can also be phrases that change into one or more words. For example, not only can you cycle DMV into Department of Motor Vehicles; if you mark Department of Motor Vehicles, you

can cycle that into DMV.

Step-by-Step Instructions:

1. In Edit, position the cursor on the word or mark the phrase that you wish to be able to change via Cycle Homophones.

2. Click View, Homophones (Alt+v, h) or Tools, View/Edit Homophones (Alt+t, p).

3. The Homophone Editor dialog displays with the word on which the cursor is positioned or the phrase that was marked prior to opening the dialog shown in the Search field. You can do any of the following:

Search: If you wish to search for a different word or phrase than the

word on which the cursor is currently positioned, you can type a word or phrase into the Search field and then click Search. If the word or phrase is in the current homophones file, the homophones for that word or phrase will be listed under Homophones in order. The words or phrases for which the current word is listed as a homophone will be displayed under Also a homophone of.

If the word or phrase is not in the current homophones file, you’ll be prompted to select Yes or No to “The word was not found. Would you like to add it?”

Delete all homophones: If you do not like the homophones being used

with the current word or phrase, you can delete them. (For example, the name Carol has homophones of carol, carrel, Carroll, Carole, Carrol, Caryl, Karel and Karol. If you didn’t want any or most of these, you could delete all of them at once and, if desired, add back only the ones you want.)

Homophones in Order display box: Displays the current homophones associated with the current word in the order in which they will cycle. To add a new homophone, click (the New button), then type the

text and press Enter.

To delete an individual homophone, select the homophone and then click (the Delete button).

To change the order in which the homophones will cycle, select the word or phrase you want to move in the list, and then click the

button), type the text and press Enter. For example, suppose the current word is Kurt, which is listed as also a homophone for Kirt, Kuhrt and curt. If you wanted Kurt to be a homophone for Curt, you would click the New button, type Curt and press Enter.

To remove the current word from being a homophone for an entry in

the Also a homophone of dialog, click (the Delete button).

For example, suppose the current word is Kurt and is listed as a homophone for Kirt, Kuhrt and curt. If you did not want Kurt to be a homophone of Kuhrt, you would select Kuhrt and click the Delete button.

Add >>: Takes the highlighted word in the Homophones in order list and causes the current word (in the Search field) to become a homophone for the highlighted word. For example, suppose you searched Shari, clicked New and added Sherry. You also want to be able to land on Sherry and change it into Shari, so you click Add>>. NOTE: This is the same as having this group in the homophones.txt file:

and pressing Enter to create a blank line and then typing:

Sherry Shari

For example, you search for Curt and see nothing listed for Homophones in Order, but you see that Curt is a homophone of Kurt. In other words,

you could land on Kurt and change it to Curt but you cannot land on Curt and change it into anything. If you click <<Add, you can land on Curt and change it into Kurt.

Go To: Enables you to change the current search word or phrase with one of the homophones listed under Homophones in order or Also a homophone of.

Make all homophones of each other: Makes all of the words and phrases in both lists to be homophones of each other.

Apply Changes: Click this button to save all the changes you have made and continue working in the dialog.

NOTE: If you make changes without clicking Apply Changes first and

click OK, it saves the changes and closes the dialog box. If you make changes without clicking Apply Changes and click Cancel, the dialog is closed and the changes are not saved (after asking you if you’re sure you want to Cancel).

TIP: The Cycle Homophones function can be used for much more than

homophones. When the Cycle Homophones command is assigned to a shortcut key, it becomes a quick and easy way to accurately edit mistranslates identified by Mistran Minder.

Even Smarter Punctuation How did punctuation get “smarter”?

In the past, we have taught reporters and their scopists that when steno for an end-of-sentence period is written after an abbreviation such as a.m., p.m., M.D., Ph.D., etc., to phrase define that steno as the abbreviation followed by one space and a <Cap Next>. In Version 17, this is no longer necessary. The double period that would have appeared if the abbreviation and period were only defined separately is automatically eliminated and spacing and capitalization are automatically corrected during translation.

NOTE: Reporters who have already phrase-defined these entries do not

have to delete these entries or re-define them. Going forward, if they are defining new mis-strokes for the abbreviation or the period, it will not be

necessary to create new phrased-steno defines to eliminate a double period after an abbreviation.

Use Odd Spellings Exclude List in Spell Check What is this option?

The Transcript Spell Check Options and Dictionary Spell Check Options dialog boxes now include a Use Odd Spellings Exclude List option. This list contains common words from the Wintertree American wordlist which some commonly-used spell check programs (such as the spell check applications in major word processors and email programs) report as being misspelled.

How can this help you?

There may have been times as you edited your transcripts that you encountered a word that you believe is mis-spelled but that Case CATalyst’s Spell Check didn’t catch. For example, something like “focussing” or “bu.” This may happen because Case CATalyst’s internal spell check dictionary accepts spellings that you may not prefer , such as focussing as an acceptable alternate spelling for focusing or bu as an abbreviation of bureau or bushel. There are two ways to deal with this. One way is on a word-by-word basis, as they occur. When you come across spellings you find unacceptable that Spell Check thinks are correct, you can click Wordlist (or press Alt+w), and select Personal Wordlist. If the word is always supposed to be a different spelling (e.g. focussing should always be focusing) , select Autocorrect, and type the preferred spelling at the Autocorrect/Suggestion prompt. If the word is usually one particular different spelling (e.g. bu is probably a typo for but) select Suggest and then type the preferred spelling at the Autocorrect/Suggestion prompt. The other way is to take advantage of this new Transcript Spell Check option in Version 17. When selected, it tells Spell Check to notice all of the words that other common spell check programs in the U.S. might think are mis-spelled.

Enhanced Theme Selection via Preview How has selecting a Theme been enhanced?

Selecting a theme for Case CATalyst has been enhanced and made easier. In Version 16, Theme choices were in a menu. In Version 17, they are listed in a dialog. When you select a theme, you will be able to preview the appearance without leaving the Themes dialog.

How will this help you?

Being able to preview a theme before accepting it as your choice will make it a little faster and easier to try different themes before making a decision on which theme to use.

Step-by-Step Instructions:

1. In Manage Jobs, click Tools, Options, Themes… (Alt+t, o, h).

2. Select one of the 34 themes.

3. Click Preview to see how the theme will look. If you are happy with the theme’s appearance, proceed to the next step. If you are not happy with the theme’s appearance, select another theme and click Preview. Repeat until you find a theme that suits you.

4. Click OK to keep the selected theme.
