Account Program, Project or Grant By default, each Program, Project or Grant has one designated approval authority

Account Holder Program, Project or Grant ManagerThe designated approval authority; approval authority can be temporarily delegated to others to accommodate for absences

• New features like “Share Reviews” means that hiring teams can share knowledge in one place

Recruiting is the process of searching for potential candidates with the right skills and qualifications and encouraging them to apply for jobs in the organization.

Hiring is the process of offering the employment opportunity to the selected candidate.

Benefits of Workday:• Greater visibility and access provides the

hiring team with the opportunity to communicate in real time about the status of candidates

• Hiring managers, recruiters and interviewers are connected for a more seamless process

In the future…• A Pre-Hire refers to applicants who hiring

managers are considering for an open position but have not been hired yet

• Streamlined processes and reduced back-and-forth emails for:

• Making an Offer• Sending the Employment Agreement

Onboarding in Workday

Onboarding is the process of familiarizing a new employee with the organization and begins from the moment an offer is made until the time the employee becomes a productive member of the organization.

In the future…• New employees will complete HR-related

onboarding in both the TRIUMF & UBCWorkday tenants

• New employees will have “to-dos” as part of the onboarding process, for example:

• Update banking information in UBCWorkday tenant for payroll

• Update banking information in TRIUMFWorkday for expense reimbursement

Tip: Not all onboarding activities will take place in Workday.Team related onboarding components will remain the responsibility of the manager.

Managing Compensation In Workday

compensation

• View team compensation data with the Compensation Dashboard

• Conduct comprehensive analysis and develop a better understanding of team compensation with reports

• Use a configurable grid to understand award pool budget data and rating your team during the P3 process

Workday Compensation fosters collaboration between HR and managers when conducting employee assessments and compensation adjustments.

Managing Team Absences In Workday

Employees can submit either a time off or absence request in Workday. Managers have the responsibility to approve, send back or deny these requests.

In the future…• A centralized view of Time Off and Absences

provides better workforce planning capabilities

• The calendar view is intuitive and simple to read

• Additional approvals are required if an employee cancels or modifies previously submitted Time Off or Absence requests

Workday will replace our current Learning Management System (LMS) learning.triumf.ca and will provide employees on-demand access to learning and development resources.

Tip: Training for Workday will remain in our current LMS for the Workday rollout.

• Purchasing and expense data can be analyzed in real-time

Managers are required to review and approve purchase requests and team expenses in Workday.

• The visitor process will remain in the Visitor Application at Workday Launch

• Training courses will be provided in Workday

• Visitors will be identified and organized in Workday by facility

• Visitors brought into TRIUMF by either Safety Supervisors or HR, can enter their banking information directly into Workday for reimbursements
