What to expect from your ERP implementationIf you’ve decided to implement a new enterprise resource planning (ERP) solution, selected the one that’s right for your healthcare organization, and gotten all stakeholders on board, you’ve already done the heavy lifting. When you’ve selected a solution with experienced staffers who are committed to above-and-beyond customer care, implementation is the easy part — especially with DXC Technology.

You have chosen a solution that integrates with your existing systems, provides the functionality needed to keep your business processes running smoothly, and is scalable to take your organization into the future. Here’s what you can expect in implementing an ERP solution from start to finish.

Step 1: Assemble an implementation team

Before beginning the ERP rollout process, bring together a team of staffers who can lead the transformation. This team will collaborate in determining how the ERP will best fit with your existing procedures and help communicate the solution’s benefits and functionalities to others throughout the organization. They will also serve as liaisons between your staff and the DXC staff.

Gather a cross-functional implementation team with representatives from various departments. You should include:

• Super users. These are members of the IT staff who will implement the system.

• Administrators. It’s a good idea to include at least one member of upper management, as change will be more rapidly accepted throughout the organization with buy-in from top leadership.

• Purchasing. A procurement professional can offer the rest of the team insight into purchasing procedures and inventory management.

• Human Resources. A leader from the HR department can explain personnel and scheduling needs, and help his or her team understand the value of the new system.

• Records management. Your implementation team will need ongoing input about your organization’s EMR system and compliance.

Step 2: Select standard functions

While our ERP solution is highly customizable to your organization, it also has expansive standard functionalities built in, with much of its functionality available right off the shelf. Your implementation team will need to review all the system’s capabilities and select the ones it wants to implement. Many healthcare organizations use several different systems to accomplish the tasks your new ERP handles on a standard basis, so you will likely be able to merge information from existing systems and discontinue using them. For instance, the ERP’s off-the-shelf capabilities include:

• Inventory. ERP helps reduce costs by maintaining optimal inventory levels, reducing overstock and waste. It also provides comprehensive inventory tracking, which ensures that supplies are on hand where needed. With automation, it’s easy to streamline orders, stocking and tracking.

• Electronic medical records (EMR). With the EMR connector bidirectional interface, the solution searches for and easily integrates with all compliant EMR systems. EMR connectors allow the EMR billing system and your ERP to share master files and revenue files, do patient refunds, and supply usage files. Users can easily see how patient activities such as refunds and PM vouchers affect the bottom line. The ERP also provides error handling, which flags incorrect EMR records for staff intervention.

• Real-time reporting. The solution can pull together structured and unstructured data across your organization, including EMR system data, handwritten notes and even social media. That data is consolidated into a real-time, easy-to-use dashboard, which can analyze the information and create reports on a weekly, daily, or even hourly basis. For example, users can quickly see how much revenue is earned through daily procedures or how much revenue can be attributed to each provider.

• Human Resources. Your ERP solution can track employee credentials and certifications and forecast future needs for similarly credentialed employees. For example, if you have two physicians who perform a certain type of procedure and their schedules are staying full, the system will alert administrators that they may need to hire another doctor with those skills and predict how costs and revenue will change with that new hire in place.

Implementation usually takes 6 to 9 months from signing the contract to full release.

Step 3: Provide detailed information to your DXC team

In addition to the built-in features just described, the solution is highly customizable to the needs of your healthcare practice or facility.

Your DXC implementation team will meet with your internal implementation team to learn more about your organization’s specific needs so they can set up your configuration. They’ll ask for detailed information about how your organization works, including questions such as:

• How do you handle financial statements?

• How many segments do you need?

• How do you handle consolidations?

• What do you use for budgeting?

• Do you have localized reporting for fixed assets?

• Is your organization part of a GPO?

• What are your punchout requirements?

Based on your team’s responses to these questions, DXC will build out your custom ERP solution with organization-specific information. Your prior ERP or other data will be transferred seamlessly into the new system.

Step 4: Undergo rigorous training

After your organization’s configuration is complete, DXC will begin training. First, we train “super users.” The goal of this training is to equip the super users with the knowledge they need to expertly use the system and provide in-house tech support for other users.

After training is complete, super users test the system security roles and then complete end user training. During that process, they will build financial reports, purchase order forms, accounts payable (AP) checks and payroll checks, among other tasks.

After a full testing cycle, the system goes live. DXC provides onsite support for the first month and then offers a 45-day checkup. When all is well, your organization will move to customer care.

Step 5: Stay in touch

Post-implementation, the DXC customer care team will provide proactive support and is available via phone, email, and our online portal. We offer different levels of ongoing customer care and training services so you can select the option that works best for you, from unlimited service to pay-as-you-go service available on an as-needed basis.

The DXC solution has been successfully deployed in 70 hospitals and 140 healthcare providers’ facilities.

Step 6: Easily scale for future growth

Not only will your new ERP solution meet the needs of your organization right now, but it is also easily scalable and prepared to grow with you into the future. For example, if your healthcare organization goes through a merger or acquisition, your ERP solution will allow you to do multi-entity consolidations and data analysis without skipping a beat. If your facility undertakes an expansion or construction project, your ERP includes project management features to easily manage the expansion.
