BackgroundThe Centre for Research & Education on Violence Against Women & Children (CREVAWC) is committed to the development and application of knowledge for the prevention of violence against women and children. Based in the Faculty of Education at Western University in London, ON, the Centre facilitates the collaboration of individuals, groups and institutions through various research projects, leading the way in understanding and preventing violence against these vulnerable groups.

One of CREVAWC’s initiatives, the Canadian Domestic Homicide Prevention Initiative (CDHPI), is gathering knowledge about domestic homicides from coroners’ investigations, domestic violence death review committees, inquests, inquiries, and research studies. Due to the extremely sensitive nature of this information, the security and confidentiality of the data is of paramount importance.

The Challenge: Ensuring Security Without Compromising WorkflowIn pursuit of its mission to produce and share useful information tools to help prevent violence towards women, children, and vulnerable adults, the Centre regularly collects and exchanges highly-sensitive information. The research data, often in the form of interviews with individuals impacted by violence, must be kept fully secure to ensure privacy and confidentiality.

DeliverySlip for Outlook

As part of the CDHPI research project about domestic homicide, CREVAWC required a secure email tool to communicate confidentially regarding study issues and to share highly-sensitive data between research partners across Canada. In particular, researchers needed a way to send and receive large audio interview files securely and seamlessly; they required guaranteed data integrity and security without impeding workflow with external application demands. In addition, CHDPI required an email tool that complied with the uncompromising ethics standards of the Coroner’s Office.

The Solution: Ironclad Security & Turbocharged WorkflowIn conjunction with the CDHPI project about domestic homicides, the Centre implemented DeliverySlip in 2016 to protect the highly-sensitive data transmitted between research partners. DeliverySlip’s bank-grade encryption transformed CDHPI users’ email into a secure community for both internal and external recipients. Researchers can be confident that emails, audio files, and documents are sent and received securely and confidentially—regardless of which email client (e.g., Outlook, Gmail, OWA) or device (e.g., Mac, PC, desktop, mobile) they’re using.

“We have students, research assistants, and researchers all across the country using DeliverySlip. Some are working in a Mac environment, some PC. And everybody has their choice of what email they want to use. I’m personally using DeliverySlip through Outlook as I find it to be really user-friendly,” said Anna-Lee Straatman, Project Manager at CREVAWC.

The Centre increased the productivity of the research team by transforming its workflow with seamless and secure large file transfer. DeliverySlip enables researchers to efficiently share lengthy audio interview files without overloading recipients’ inboxes. With a simple drag-and-drop process, research partners can send large files up to 5 GB from within their email and track status of delivery with real-time updates; no external file transfer application is required.

“DeliverySlip has helped improve our workflow. It’s obviously a great advantage for us not having to use an exterior system to transfer files. It is very important for us to be able to transfer large files, review the transfer, and have confidence that they were being transferred securely. And there’s never any hiccups with it. Files are being forwarded and copied to me several times a day, and it’s not causing any problems in my mail system,” said Straatman.

In anticipation of information exchange with provincial Coroner’s Offices as part of future research projects, the Centre also wanted an email communications tool that met the Coroner’s strict ethical standards for handling highly-sensitive data. “Essentially, we weren’t going to be able to conduct this research at all if we didn’t have a secure communications solution in place. DeliverySlip was highly recommended by the Coroner’s Office and served as a checkmark on our ethics application,” noted Straatman.
