Thursday 3 May 2018 Dear Parents & Caregivers Welcome back everyone for term two. A warm welcome to our new pupils & their families. Welcome to Mrs Rebecca Searle, new teacher & Assistant Principal: Rebecca is teaching Year 7 & 8 pupils in Ropu Karearea with Sarah Wardle. A powhiri was held by pupils & staff on Tuesday to welcome Rebecca to West Eyreton. This custom frequently takes place in the workplace to welcome new staff; it is the first time our school has performed this Maori custom. ANZAC Day: Again, this year’s Anzac Day was held in beautiful weather, at which many of our pupils, parents & community members attended. All four of our school leaders attended the Cust & West Eyreton Anzac Day services. Year 8 School Leaders, Oliver & Christi, read the poem “In Flander’s Fields” at both the Cust & West Eyreton services; our Year 7 School Leaders, Shaun & Rion laid a wreath on behalf of the pupils, staff & BOT of our school. Thank you to Val O’Loughlin for making a beautiful school wreath. Also, a special thank you to local residents Steve Brand and Barbara Babcock for supplying flowers for the school wreath. This was very much appreciated. Many West Eyreton pupils performed a very proud tribute to the ANZAC soldiers at the ANZAC day commemorations as members of the Scouts, Cubs, Pippins, St Johns and the Girls’ Brigade. Welcome to Emma, Eli and Ruby (New Entrants – Ropu Kotare), and to Georgia and Sophie Yr 3 (Ropu Kereru) who started this week. NB: Term 2 Calendar: The calendar on the school website www.westeyreton.school.nz will be updated throughout the term. The email version will be sent out once at the start of the term. The school calendar will be emailed home tomorrow to all families.

P.M.P. – Perceptual Motor Programme: This programme will commence next week on Tuesdays & Wednesdays, 2.00 – 2.50 pm, in the school hall. Notices & Forms can be found on our School Website: Each week’s newsletter is available on the school website. If you misplace notices & forms, then these can be found on the website & can then be printed off at home. This ensures that school information is readily available, as well as reducing the amount of time taken for office staff replacing lost forms & notices. Hanmer Camp 2019: Parents who wish to be considered to volunteer for our year 7 & 8 Hanmer camp need to ensure they have returned their Volunteer Form to Sarah Wardle by 3pm Friday May 4. The forms were sent home with the year 6 & 7 children during the last week of term 1. No late forms will be considered. 3 & 4 Year Olds Preschool Programme Held Here Each Monday Afternoon: This pre-school programme is held each week on a Monday afternoon from 2.00 – 3.00 pm in the NE classroom. Mrs Marie Moore, a trained Early Learning teacher, along with Mrs Judi Tallott, class teacher lead each session. If you are interested in joining the programme, please just come along and join in, or you can ask at the school office. All parents & preschoolers are most welcome. Emergency Procedures: The school has a text messaging system that is used to contact families in emergency or school closure situations.

The school’s notification procedures are:

1. A text message system – in the event of an emergency or school closure, we will send a message via the school phone App to advise of the situation at school & updates on opening dates / times

2. A message will be placed on the main school phone advising parents of the situation at school 3. Where possible, school closure messages will be placed on the Breeze radio station. 4. The emergency telephone tree will be actioned, if no.s 1 – 3 above can’t be activated. 5. Check with neighbours, friends if you think there is potential for the school to be closed but you

haven’t been contacted – emergency communication can be tricky e.g. weather, earthquake

For these procedures to operate effectively, it is vital that we have the correct cell phone numbers for all families please. Parent Concerns Procedure: Enclosed in this newsletter. It is a requirement of the school that parents are kept regularly informed of important school procedures. This week the Parent Concerns procedure is enclosed. The school’s procedures receive ongoing evaluation and are often updated. Poppy Donations: Envelopes were sent home to families during the last week of Term 1. If you would like to contribute to the RSA Welfare Fund it would be very much appreciated. Donations can be sent along to the school office until the end of next week when a member from the RSA will call to collect all monies. World Vision 40 hr Famine: This year the weekend of 8th – 10th June has been set aside for the 40 hr Famine – Standing United with the children of South Sudan. The money raised this year will be used to support World Vision’s programming in Northern Uganda to bring life-saving essentials like nutritious food and clean water, as well as a place to live, education and hope for a better future. World Vision are sending out to us a video to show those pupils who are interested in taking part this year. Once this has been shown, we will then send out permission forms to parents/caregivers and allocate sponsorship books to them. Found: One child’s Size 7 Black cardigan which was left in the West Eyreton Community Hall kitchen after the ANZAC Day service. Please collect from the school office if it belongs to you. ALSO a Black “Fitbit” piece of equipment that was found on the ground outside the main school gate on North Eyre Road. If it belongs to you please call in at the school office. Friends Of The School - (FOTS New): Welcome back to Term 2. We hope you all had a fun filled school holiday. Our Farmers Market Stall is looking fantastic with the change of season and lots of Autumn/winter veges starting to appear. Do make sure you have a peak in it when you are around the school gate. We will be working on some fun ideas for Term 2 so keep an eye out for our exciting events that you can be a part of over in the coming weeks.

WEST EYRETON SCHOOL PARENT CONCERNS PROCEDURES

To ensure that there are clearly defined channels of communication if parents ever wish to express concern about any aspect of the education of their children or the running of the school. In dealing with any concern it is important that both parties are able to express their views to each other, either directly or through a third party, in the certainty that they will be listened to and given serious consideration. For the purposes of these procedures “concern” refers to an issue that, in the staff member’s professional judgment, should be dealt with in a formal interview. In such cases the staff member approached will set an interview time with the parent raising the concern, and outline these procedures. If an incident has occurred regarding a pupil / pupils during school-time then the most appropriate school staff member must be approached to deal with this – parents should not deal with the matter out of school. PROCEDURES 1. Initial meeting (a) A parent may request a meeting with the class teacher, or support staff member, considered to be the most appropriate person in respect of a particular concern or complaint. If the issue lies with a member of the teaching staff then that person may ask the Principal or a senior member of the teaching staff to be present. If a teacher does arrange for someone to be present then the parent must be advised of this before the meeting takes place. If the issue lies with a support staff member then that person may ask the Principal, or one of the teaching staff, to be present at the meeting. If a support staff member does arrange for someone to be present then the parent must be advised of this before the meeting takes place. (b) Staff should request that parents make an appointment at a time outside the demands of the teaching day, and that the parent provides an outline of the questions or concerns so that a response may be prepared. (c) The most senior staff member attending the meeting must ensure that a written record is kept of the discussion at the meeting, and of any action points which are agreed to. This should be signed by all parties as an accurate record of the meeting. (d) The written record must be kept in the child’s file and if necessary (i.e. where the issue relates to the running of the school rather than a classroom issue) a copy should be given to the principal who will place it in the confidential file kept by the principal for that purpose. Note: If the issue is initially brought to the attention of a staff member who feels that another staff member is the one who should be approached in the first instance then that staff member should direct the parent to the appropriate person. 2. Involving the Principal (a) If a parent or a staff member feels the issue was not adequately resolved at the initial meeting then the Principal should be approached.

(b) The Principal must gather all necessary data from both sides before attempting to resolve the matter. If necessary, or appropriate, an external adviser may be consulted to provide assistance in resolving the matter. The Principal may be able to resolve the issue without bringing all parties together, but the outcome must be agreed to by them all. (c) The Principal must ensure that a record is kept of any meeting, or discussions, held to try and resolve the matter, and of any action points which are agreed to. This should be signed by all parties as an accurate record of the meeting. (d) Any written record must be placed in the child’s file and if necessary (ie where the issue relates to the running of the school rather than a classroom issue) in the confidential file kept by the principal for that purpose. 3. Involving the BOT chairperson (a) If the Principal is the person concerned and the parent feels that the issue has not been resolved, or if the parent feels the issue has not been resolved despite the involvement of the principal, the chairperson of the Board should be approached. (b) The chairperson must gather all necessary data from all parties before attempting to resolve the matter and set up a combined meeting of the relevant people unless such a meeting is not considered to be desirable. If necessary, or appropriate, an external adviser may be consulted to provide assistance in resolving the matter. (c) The chairperson must ensure that, if a meeting is held, a written record is kept of the discussion at that meeting, and of any action points which are agreed to. This should be signed by all parties as an accurate record of the meeting. (d) The written record must be given to the principal who will place it in the child’s file, and if necessary, (ie where the issue relates to the running of the school rather than a classroom issue) in the confidential file kept by the principal for that purpose. 4. Involving Board of Trustees If steps 1-3 have failed a parent may send his or her complaint in writing to the Board of Trustees who will then determine whether any further action can be taken and report back to the parent on what is proposed. Note: If initial expressions of concern are addressed to a Board member it is the role of that member to point out the correct procedures to be followed. 5. Staff Members who are Parents at the school: Staff members who are parents at the school must follow the parent concern procedure as set out above when addressing any concerns relating to their child/children. Conclusion Every concern/complaint will be responded to within a reasonable timeframe. Parents will be informed of the resolution or about the process so far.
