Information Pamphlet Led by Innovation Driven by Technology Enhancing Patient Care Royal Perth Bentley Group (RPBG) Operations Hub The development of an RPBG Operations Hub represents a significant commitment to improving the patient experience at Royal Perth Bentley Group. By combining the latest in systems engineering and innovative problem-solving, RPBG will be equipped to better manage patient safety, experience, volume, and the movement of patients in, out, and around the hospital. The RPBG Operations Hub operates 24 hours, seven days a week. Key personnel from bed management, discharge coordination, workforce allocation, transport, and patient support services are co-located in the Operations Hub to support staff throughout the journey using real-time, predictive data with analytical and automation capability. Operations Hub Manager (OHM) Leads a dynamic team to oversee the functions of the RPBG Operations Hub and optimises its functionality in line with organisational vision. This leadership role has a strategic function in patient flow initiatives and as such has a critical interface with the Executive team. Operations Hub Coordinator (OHC) The OHC is the central point of escalation for operational logistics and leads both clinical and non- clinical staff to coordinate the RPBG patient journey, ensuring timely access to care. The OHC maintains critical open communication with key stakeholders around prioritisation of bed resources across RPBG and is the single point of accountability 24/7 to facilitate patient flow. Bed Management System Operator (BMSO) 1 & 2 Provides a centralised interface, collaborating with frontline staff to enable effective production of hospital capacity. They are responsible for data entry and clerical duties to support bed management, and patient flow / movements across RPBG. The role is divided into 2 functions: 1. Unscheduled and emergency admission. 2. Scheduled admissions (booked and inter- hospital), patient flow and discharge. Workforce Allocations Officer (WAO) Responsible for overseeing the provision of Registered Nurses (RN), Enrolled Nurses (EN), Assistant in Nursing (AIN), Patient Care Companion deficits and specials on a daily shift by shift basis at RPH. The WAO will interface and collaborate with both internal and external stakeholders such as Nurse Unit Managers (NUM’s), Service Managers and Nurse West, to source appropriate staff replacements. The TechnologyThe RPBG Operations Hub, is equipped with Information and Communication Technology (ICT) along with contemporary Audio Visual (AV) capability. A video wall displays multiple integrated platforms that combine data, video, and voice communication networks designed for this strategic environment, providing situational awareness to the RPBG Operations Hub team, via a “helicopter view”. Dashboards are designed using state of the art technology. The intent is to have intuitive workbooks, presenting essential data to systems operators.

Face to face communication has been a key consideration, with co-location and desk placement integral to the design. Each operator’s desk is equipped to enable effective consultation and integration with the video wall and monitors. Remote communications and the use of video call, both internally within RPH and across campus to BHS allows operators to have seamless interfacing with colleagues. External stakeholders and or Executive accessing the RPBG Operations Hub are able to “huddle” at the video wall, and connect on a large scale with multiple internal operational teams, to gain the “big picture”, using MS Teams as a platform. Sound is projected to the group via the ceiling mounted speakers to enable effective communication.

LocationThe RPBG Operations Hub is situated within the Command Centre which is in the North West wing of A Block, Level 11, Royal Perth Hospital (RPH).

Discharge Coordinator A specialist Senior RN responsible for the coordination and safe discharge of patients who have complex care requirements. The position provides a consultative service in the area of expertise to all customers both internal and external to the Health Service.

East Metropolitan Health Service (EMHS) Mental Health Patient Flow CoordinatorAssists with facilitating Mental Health patient flow across East Metropolitan Health Service and acts as a representative of the state-wide Mental Health patient flow team as required in the State-wide Mental Health Bed Access, Capacity and Escalation Policy.

Patient Support Services (PSS) Computer Assisted Radio Personnel System (CARPS) Controller Collaborates with site staff to assign and schedule PSS services according to operational issues and incidents throughout the hospital site. They are responsible for prioritising activities logged on the CARPS task management system for PSS and afterhours Patient Transport services.

Transport CoordinatorCoordinates all non-emergency in-patient hospital transport requests via CARPS and liaises with external transport providers as required.
