CLASS OF 2013

WELCOME TO THE CONVOCATION – 2014 On 21st December, 2013

We are thankful for the enormous response from students of the batch 2013 for attending the Convocation and Degree distribution ceremony on December 21, 2013. Degrees would be awarded by the Vice Chancellor, the Chancellor and Dr D P Agrawal, Chairman, Union Public Service Commission (UPSC). Invitation All students of BTech, MTech, MBA, BBA & LLM who have passed out in June 2013 are invited to attend this ceremony and receive their degrees. Invitations/ mails have been sent to all the students. In case, for any reason you have not received our earlier mail, you can still confirm your participation by phone or email to [email protected], or Contact No. 9999300036 (Mr Chetan Singh). Guests You are welcome to bring your parents / sibling/ guardians but keep them to the minimum i.e. not more than two. Separate seating section has been made for them in the pandal.

SEQUENCE OF EVENTS

PART I: 8:30 – 10:00 AM. (REGISTRATION & REHEARSAL)

(a ) Arrival: All invited students are expected to arrive at ITM University at 8:30 AM sharp and are requested to report to the designated rooms branch-wise for registration, issuing of gowns, rehearsal etc. Rooms for these purposes are:-

ECE & EI : Room No. 30, 31 ME & AE : Room No. 32, 33 CSE & IT : Room No. 34, 35 Civil Engg. : Room No. 36 MBA, BBA : Room No. 001 LLM : Room No. 311

(b) Registration: Students should register themselves at the above Registration rooms and collect the seating plan dept.-wise from the coordinators. They should be seated at their place in the pandal by 10:00 AM. Co-operation in this regard is expected from the students.

(c) Issue of Gowns for the degree distribution: All students are requested to wear the

prescribed gown with cap for the ceremony. The gowns will be issued to the students Dept. – wise from 8:30 AM onwards at the above allotted Rooms. The gowns will be issued up to 10:00 AM only. Students arriving thereafter will have to remain without gowns and will have to sit at the back in pandal and will not be called to the dais.

(d) Rehearsal for the event: It is of absolute importance to maintain proper decorum during

the degree distribution function. All students are therefore requested to strictly follow the prescribed protocol. A rehearsal will be conducted in their respective registration rooms for all the students by their faculty coordinators where the procedure to be

followed will be explained and rehearsed. All students are required to participate in the rehearsal. Your cooperation is requested to maintain the dignity and sanctity of the function. Please strictly follow the directions from the faculty coordinators. Before going to the main pandal, you should have checked your seat number from the registration rooms as per (b) above.

PART II: 10:00 AM – 1:10 PM. (DEGREE DISTRIBUTION CEREMONY AND CONVOCATION)

a) 10:00 AM: As explained above, all students are expected to be seated at their respective seats latest by 10:00 AM. Under no circumstances any movement will be allowed after the rehearsal in the main pandal thereafter.

b) The Degree Distribution Ceremony and Convocation process will be as follows:

1. After wearing the gown and the cap and being seated at 10AM at your designated seat, you will be briefed about the programme thoroughly upto 10:55 AM.

2. The Chief Guest on arrival will be introduced to all the faculty members and will then join the academic procession at 10:55 AM.

3. The academic procession will reach the pandal at 11:10 A.M. 4. Everybody in pandal to standup to welcome the academic procession and take

their seats, only after the dignitaries on the dais are seated. 5. For orderly distribution, students will make a queue when asked by the faculty

coordinators and proceed to the dais when their name is announced by the HOD from the dais.

6. The student should climb up the dais from steps on the right side, go up to the Chief Guest, bow to him and shake hands, receive the degree etc. pose for the photograph, bow to the dais and climb down from the side steps on the left side and be seated again.

7. All students to maintain silence and decorum during the function. 8. After the National Anthem, the faculty procession will move first, only then the

students will move quietly to collect their original degrees and deposit the gown.

PART III: 1:15 – 1:30 PM. (COLLECTING YOUR ORIGINAL DEGREE)

a) After the above, all students to go back to their respective allotted rooms to return the gowns and collect the Original Degree. Parents and guests should proceed to cafeteria lawns for Lunch.

b) The Degree certificate is the most important document for you and please ensure that it is positively received by you only. The degree will be issued to you immediately after the function. All students should collect their original degree from Rooms mentioned (department – wise) as under & return the gowns. The degree given to you at the dais is a dummy only.

Lunch for all Degree recipients, faculty & guests in the Cafeteria lawns – 1:30 – 2:30 PM. We hope you thoroughly enjoy this function.
