• CEDARS extract contains 11 files, certain data elements are repeated in multiple files.
•WESPaC extracts are done weekly (Friday, approx. 10 pm).
•OSPI will use data as of specified dates, for the various Term/Semester/Trimester deadlines.
•Corrections need to be made in WESPaC, cannot “resubmit” a file. A file will be extracted again the next Friday.
•It is not necessary to correct your errors weekly. It is required to submit data to OSPI.

• Individual File Errors: if a record has a process error, it will not be loaded into the data warehouse and Business Process Errors are not applied.

Phase One:The Location file is loaded first. If a location record errors out and is rejected any subsequent file that references that Location ID will also error out.
Phase Two:These three data files are building blocks for the remaining files. If records error out in these files, any subsequent file that references that record will error out. If the Location ID listed in this file is not loaded in the Location Table the records will error out.
Phase Three:If the District Student ID listed in this file is not loaded in the District Student File the record will error out here. If the Location ID listed in this file is not loaded in the Location Table the record will error out.
Phase Four:If the District Student ID or the Staff ID listed in these files is not loaded in the District Student file of the Staff file the record will error out here. If the Location ID listed in this file is not loaded in the Location Table the record will error out. The schedule files should be reviewed after the previous files have been reviewed to help eliminate causes of errors.
Phase Five:These four files do not need to be reviewed for .175 purposes. If the District Student Code is not loaded in the District Student file the schedule records will error out. If the Location ID listed in this file is not loaded in the Location Table the record will error out. These files should be reviewed after the previous files have been reviewed to help eliminate causes of errors
.175/ CEDARSThis is a new process. WSIPC is working to resolve errors.
If you have an error repeated for thousands of records, please contact OSPI to check if this error is on their list of corrections.
Remember it is not a requirement for you to have the data clean every week. Focus on the dates OSPI will publish for term, semester or trimester schools.
At this point, OSPI does not expect the data to be pristine. We are expected to have files submitted to OSPI by October 31st.

There are two known errors that OSPI is working to correct:
•BirthDate cannot be converted to a valid date.
•School Withdrawal Code should be equal to or less than 2 characters long.
.175/ CEDARSFinal Thoughts
OSPI will be transferring the .175 data elements from your CEDARS files to a Data Warehouse.
Be sure your district has data in the files on October 24th, this will be the data transferred to the Data Warehouse.
Because the WESPaC extract is at 10:00 pm on October 31st, this file will not be selected by OSPI for the Data Warehouse.
Again, be sure you have data in these files.

Auto Posting
The Gradebook can be set up to automatically post grades when the Grade Input window is open (between the Grade Input Start Date and the Grade Input End Date). To enable this feature, select the option to Automatically Post Gradebook Grades to the Report Card for Grading Periods that are Open for Posting.
Auto Posting
Auto Posting District Setup • If this option is turned on, the system automatically posts all grades at midnight
following the Grade Input Start Date and Time, for all courses that have the Grade Course option selected and the Grading Method set to Computer or Mixed in the Course Master in WESPaC. Subsequently, the system instantaneously posts any grade that has changed in a teacher’s gradebook within the Grade Input window. Teachers do not have the option to manually post grades except for Athletic Posting.
• The auto-posting process ignores any course that does not have the Grade Course
option selected and any section that has a Grading Method of Sheets.
• Grade Input windows for entities using auto-posting are normally shorter than those that do not use auto-posting. If the Grade Input window is open for a prolonged period of time, the system will post grades throughout the window, causing Grades on reports, transcripts, and Family Access to change frequently.
• If there are teachers not using Gradebook within an entity that is using auto-posting, change the Grading Method in the Course Master for these sections to Sheets. This causes the auto-post process to ignore these classes. Alternatively, wait until after the Grade Input End Date and Time to manually post grades (using PaC)
Auto Posting
If there are entities in the district that allow teachers to change grades in a closed grading period two more options appear:
• Lock all closed grading periods for each entity Selecting this option checks the Do not allow teachers to edit grades for a closed grading period option for all entities.
• Allow teachers in each entity to request grade changes Selecting this option checks the Allow teachers to request grade changes to closed grading period option for all entities.
