What is the Junior Internship Programme, who can apply (and when) and how will I benefit?

Research has proven that employers working with students during their studies has a positive impact on their development and progress. Working with our employer partners, this programme is focussed on assisting students who are studying STEM and IT related subjects with the transition from college to the workplace and ensures students have the necessary skills and qualifications to become one of the next generation of STEM leaders. It’ll also look great on your CV for you to have had this experience which future employers will value highly.

The Junior Internship Programme is a 2-year programme available to Year 12 and 13 students from Worcester Sixth Form College and Heart of Worcestershire colleges giving them a valuable opportunity to be matched with an employer from whom they will receive monthly mentoring and a 2-weeks of work experience for each year of the programme (potentially 4 weeks in total). Our Project Manager will also inform Junior Interns of additional opportunities for employer engagements such as exhibitions, seminar, site visits and talks and send links to useful blogs and websites that may be of interest.

A summary of our first pilot year of the programme we have some success stories- 14 Junior Internship placements were provided by 5 employers – Mazak, Worcester

Bosch, Morgan Motors, Worcestershire County Council and Malvern Panalytical.- Of the 14 Junior Interns, 2 have been offered permanent roles with their employer partner

We are very grateful to our employer partners, without whom the programme would simply not be possible. Introducing our employer partners for 2019-20:

Students from Worcestershire Sixth Form College and Heart of Worcestershire College are invited to apply online via the Junior Internship Programme website by 15 th November 2019. Students will then be invited to the ‘speed interviewing’ event on Thursday 5 th December to be held at Worcester Bosch at 3.30pm until 6.30pm. Students will then commence the programme with their matched employer from January 2020.

GUIDE FOR JUNIOR INTERNS

Your responsibilities as the Junior Intern

1. We recognise that this may be one of the first times that you will have engaged with an employer and we understand that you might feel nervous and that it may feel a bit daunting. Do not worry, most people feel like that at the start of something new. However, we are here to help you with this valuable introduction to the workplace.

2. This programme is intended to help you with the transition between college and the workplace by coaching and supporting you in becoming familiar with common working and communication practices. To help with this we may often send you a text message to remind you to check your emails when we have sent some important information that you need to respond to. In time you will find yourself checking (and responding to) your email more regularly, if you don’t already. Please try to respond in a timely manner to communications from the employer, college tutor and the JIP Project Manager.

3. We expect the Junior Interns to take responsibility for their attendance for their work experience placements and arriving promptly for their mentoring sessions. Your employer is here to help you, but they still have a business to run and it is paramount that the Junior Internship Programme does not impact negatively on their business.

4. After the Speed Interviewing and matching process is complete you will need to make contact with your employer to arrange the initial mentoring kick off meeting.

5. At your first kick off meeting you will:a. meet with your mentorb. discuss with your mentor and agree on the format and arrangements for your mentoring

sessions (recommended to be once a month for the 2-year duration of the programme)c. start to discuss when the 2 weeks of work experience (for each year) will take place. Ideally

this will take place in school holidays as not to disrupt your college timetable, but you can agree what works best for you and employer. Alternatively, if you get a regular day a week off college, you and your employer may agree to meet on a regularly weekly arrangement of one day per week during term time over a longer period of time which would be equivalent to the 2 weeks of work experience.

6. The Project Manager for the Junior Internship Programme is Jacqui Morley-Brooker who will also be working on additional activities and events that she inform you about. You are recommended to take advantage of these opportunities wherever possible as they will give you additional information and experience about other employers and industry sectors.

7. You are encouraged to record all of JIP activity in the JIP Learning Logbook that will be provided to you and further copies are available from the JIP website. In this JIP Logbook you should record every mentoring session, work experience, event, site visit etc which you attend as part of the Junior Internship Programme. Each entry in your logbook should review what you have done and what you have learnt and any follow up actions.

8. Advice for the Speed Interviewinga. Research the companies you wish to interview forb. Prepare questionsc. Dress smartlyd. Have a copy of your CV ready to give your interviewere. make eye contact and shake hands confidently (practice shaking hands with your

parents and friends – sounds daft, but practice makes you feel more confident!)f. prepare answers to common interview questions such as

i. your strengths and weaknessii. examples of where you have used initiative or worked as a teamiii. where you see yourself in 5 years time

9. Advice for the mentoring sessions

As mentioned in the last section, the success of your Junior Internship Programme depends on you. How you engage, how you work with your employer sponsor and how you apply yourself. You have been chosen for this programme on a number of merits; one of which is your attitude to learning and commitment to self-development. This is a key component of the programme.

The JIP Contract in Appendix 2 is a document we will ask all Interns to sign, along with your employer sponsor and college tutor. This is to ensure that everyone involved in delivery of the internship understands their responsibilities from the beginning. In short, we ask that you:

Be professional at all times – throughout the programme, you are representing yourself first but also the college and your employer sponsor.

Be punctual and attend when you should – whether this is at college or your employer sponsor, turn up on time when agreed.

Engage – work with the college and your employer sponsor and they will work with you

Explore opportunities – never be afraid to try something new, ask questions, and consider different options available to you in the world of STEM.

Complete your actions – whether this is completing your work experience log, finishing college work, or tackling an activity or task set by your employer sponsor – make sure you deliver.

Ask for support – the Internship is focussed on supporting young people in to STEM careers. If you need any help or assistance with any aspect of your learning and development, just ask.

Communicate well – talk to your peers (other Interns), communicate with your employer sponsor, and stay in touch with the college, tutor and JIP Project Manager throughout the programme.

Your employer sponsors are responsible for ensuring your work experience blocks are agreed and in place. Employer sponsors will also work with your college to co-ordinate the date and length of your work experience blocks. Employer sponsors are committed to providing a total of two weeks per year across the full Junior Internship Programme (four weeks in total).

You are required to obtain consent from your parents through completion of the Parental Consent form – See appendix 3 and also available as a download from the JIP website.

Whilst completing work experience, you remain the responsibility of the employer sponsor. This means you will need to adhere to their procedures and policies. Employer sponsors will provide you with all necessary information, training, and workwear required to perform your work experience. It is your responsibility to adhere to any policies in place and act in a professional and responsible manner. Just as you would do at college, we expect you to be respectful, punctual, and engaged. At the same time it is worth remembering that life at college can be very different from the workplace. Speak to college or friends and family for any advice about life in work and be fully prepared for the experience. You can always talk to your employer sponsor beforehand if you are worried in any way or have any questions.

Employer sponsors will ensure your work experience is relevant to your college learning. However, it is important to remember that often you may be asked to work in areas that don’t have a direct link back to your course. There are many ways in which our learning can be applied to other skills and job roles. It is all part of ensuring we develop as rounded individuals, able to enter the workplace in a number of different capacities. This is a key element of work experience and something that will benefit you for years to come.

GUIDE FOR EMPLOYER PARTNERS

Firstly, thank you very much for participating in this, the second year of the Junior Internship Programme as an employer partner. Inspiring Worcestershire created this programme to provide a dedicated route into careers in advanced engineering, manufacturing and cyber security for learners across Worcestershire. We thank you for supporting this programme so that more learners across the county can benefit as follows:

an enhanced work experience and mentorship programme for students for a more in-depth introduction to the workplace

help break down perception barriers help with the transition between college and the world of work inspire the next generation of STEM leaders and help us reach the government’s

ambitions to address the STEM skills gap

In the first year of the Junior Internship Programme we secured 14 placements across our employer partners with each placement lasting between 1-2 years depending on each student’s course duration. In the second year we have ambitions to further develop the programme, taking on a 2nd cohort of 20 students from Worcester Sixth Form College and Heart of Worcestershire College.

The programme not only provides benefits for the students.  Employer partners have reported that the programme:

- has become part of their recruitment onboarding process.  2 students from our first year of the programme made such an impression that they were offered permanent full-time jobs from their employer partner.

- contributes to their company’s Corporate Social Responsibilities (CSR) which has a particular value as evidence when bidding for contracts and tenders

- reminds business leaders of their own early employer interactions and an opportunity to ‘give something back’; recognising the importance to provide students with valuable employer interactions to help nurture and inspire the young workforce and STEM leaders for the future.

- supports STEM careers opportunities within Worcestershire which can fulfil the ambition of those wishing to pursue their careers within the county.

If you have already confirmed your involvement in this programme as one of our employer partners by now you will most likely have already confirmed the number of student placements that you will be able to offer. From September through to November we commence the recruitment phase of the programme where we promote the programme to the students. This includes our Project Manager and College Tutors delivering presentations to students, a company profile for inclusion into Appendix A of this handbook and in some instances, also a short video about each employer which is available for the students to view on the Junior Internship website. All of this information helps provide the students with background information on the companies, industry and nature of the working environment they will experience and the likely career that the Junior Internship opportunity may give them experience of. The students then apply to become a Junior Intern via an online application form and the recruitment phase then culminates in a ‘speed interview’ event on 5th December where you and the students get to meet each other and help you and the student finalise your placement offers and choices.

Once the students are matched with their employers, the mentoring can then commence in January 2020. This is when both you and your Junior Intern can then discuss how you will arrange the work experience be it in 1 or 2 week blocks (usually out of normal term time) or alternatively 1 day a week over a longer period of time – which ever works for both the business and the student.

Your Role as the Employer Partner

1. This may be one of the first times that the student will have engaged with an employer. Part of their learning experience with be input and coaching from you to help them in their adjustment to the expectations of you, their employer and their responsibilities in the workplace.

2. Provide a nominated mentor for the 2-year duration of the project and meet with the Junior Intern once a month.

3. Arrange 2 weeks of work experience for each year of the programme. Ideally in school holiday time but this can be in negotiation with the student.

4. The students will be reminded to check (and respond promptly to) emails, texts or phone calls.

5. We expect the Junior Interns to take responsibility for their attendance for their work experience placements and arriving promptly for their mentoring sessions. They are reminded that it is important that the Junior Internship Programme must not impact negatively on your business.

6. After the Speed Interviewing and matching process is complete the student will be asked to be proactive and make contact with you, their employer, to arrange the initial mentoring kick off meeting.

7. At your first kick off meeting you and your mentee will agree on

a. the format and arrangement for the mentoring sessions (once a month for the 2 year duration of the programme)

b. when the 2 weeks of work experience per year will take place. Ideally this will take place in school holidays as not to disrupt the student’s college timetable. However, we recognise that this might always be possible so you can agree what works best for you and the Junior Intern. Alternatively, if your Junior Intern has a regular day every week when they do not attend college, you and your Junior Intern may agree to meet on a regularly weekly arrangement of one day per week during term time over a longer period of time which would be equivalent to the 2 weeks of work experience.

8. The Junior Interns are provided with a JIP Logbook and they are encouraged to record all of JIP activity in it including every mentoring session, work experience, event, site visit etc. In each entry to should review what the Junior Intern has done, what you have learnt and any follow up actions.

9. In addition, some students from Worcester Sixth Form College have an option to submit evidence from their Junior Intern activity which can count towards an additional qualification called an Extended Project Qualification. This qualification is the equivalent to half an A level and can be a useful framework for the internship activity. If the Junior Intern is doing an EPQ

they will advise of you of ways their Junior Internship activity can count towards that qualification.

10. Even in the 1st year of the Junior Internship Programme, the programme has already demonstrated the programme as a useful addition to your existing recruitment onboarding strategy. If we can help further in this process, please let us know.

11. PR and publicity - as a thank you to being involved in the programme, we are passionate about ensuring you get the credit wherever possible. We ask that the employer and intern take the opportunity to take the occasional photograph of the work experience or mentoring session in progress. Send the image to us, along with some narrative and we will aim to the content in press releases, website or social media.

12. Finally, we ask all Interns, employer partners and college tutors to sign the JIP Contract in (Appendix 2) to ensure that everyone involved in delivery of the internship understands their responsibilities from the beginning.

Advice on appointing a Mentor and topics for discussion

The most effective mentor programmes are often where the mentor is from the organisation's Senior Management Team. However, it may be considered more appropriate for the mentor to be a middle manager at an operational level in the organisation. It is not recommended that the mentor be from a non-operational role such as Human Resources.

The mentor will provide monthly mentorship to the young person. This will comprise of one hour per month ideally to take place in the work place setting but, at times, may also be in the form of email or Skype.

The mentor should be willing or volunteer for the role and be prepared to the make the of their time commitment and share their knowledge.

The mentee could also spend time with other people in the organisation for some of the mentoring sessions such as newer employees, apprentices, etc to give the mentee as many different perspectives of the working environment and career pathways as possible.

A mentor should be approachable and available to answer questions

In order not to disrupt the Young Person's class timetable, the host employer is asked to discuss with the young person when the sessions should take place i.e. day off from college or after college.

The mentor meeting content to include the mentor's own experience, careers advice and guidance to the young person to support their career decisions.

Focus on giving the young person access to specialist facilities in relation to STEM skills and departments.

The Mentor should establish goals and a purpose for the student. The mentor needs to outline these areas at the beginning. The goals should be in aligned to the objectives for the student.

Cover the do's and don'ts in the workplace and valuable 'soft' skills.

Helping the mentee prepare for future job roles.

Confidentiality is important.

Build openness and respect – by both parties.

Establish a professional relationship which is particularly important for the mentee to understand.

Mentees may need some coaching on how to be proactive in the mentoring process and employers are encouraged to remind the Junior Interns to maximise their mentoring opportunity by following up on previous actions and prepare appropriately for each mentoring session.

Other suggested topics for discussion during the mentoring sessions could include any of the following (not exhaustive)

o Helping female interns with breaking down of gender stereotypes with certain career options or unconscious bias in the work place.

o Help the mentee find other role models to follow

o Confidence to present in front of a team of people. Maybe find a project for the intern to research and present to a team – perhaps about assessing competitor products or case study some new research.

o Confidence to communicate at all levels of an organisation with confidence and respect, from the cleaner to the CEO. Everyone has their role to play.

o Discuss the product/service lifespan from inception to delivery to the customer and all the stages therein, the importance of every step of the production process and the issues of cost, quality, teamwork, etc

o Encourage the student not to be scared to make mistakes. When we make mistakes we learn, encourage them to take calculated risks. Never be afraid to ask for help or advice.

o Discuss attributes that an employer values highly. Knowledge and can be taught, a person’s work ethic, enthusiasm and resilience can’t.

o Some mentoring sessions could also take place via Skype, thus teaching the Junior Intern the skills and issues to consider when having a video/conference call. (I think most of us will remember the USA Professor whose children and wife walked in during his live interview on the BBC that went viral! If you don’t, Google it!)

o Work/life balance and ways to achieve it.

o Leadership styles and team building skills.

Mentor relationships are very helpful to your professional development, which is why many companies and outside organizations invest heavily in offering these programs. If you are lucky enough to have a mentor, be proactive about nurturing the relationship. The best mentor relationship works for both you and your mentor. Clarify both of your expectations

Even if a company or organization put you together with your mentor, do not assume that you are both on the same page as to why you were matched. Let your mentor know what you are hoping to get out of the mentorship. For example, let them know that is your specific goal or things you would like to get an insight for. Many mentors just want to give back since they benefited from a mentor themselves, but they may also have something you can help them with, and it’s a great way for you to let them know you want a two-way relationship.

Confirm the logistics

You may prefer live meetings, but this may be too difficult with your mentor’s schedule.  Ask specifically how your mentor likes to meet – e.g., live, by phone or by video. If it’s very different than what you prefer, see how you can compromise – e.g., by mixing up the meetings. Confirm how frequently you will have scheduled meetings. Confirm if it’s okay to email or call in-between scheduled meetings. Don’t assume that your mentor likes to meet any specific way or frequency – always ask.

Help your mentor help you

Once you do settle on a goal for the mentorship, you may still need to specify what you need especially as you progress through your college course(s). Are you looking for encouragement or do you need something more hands-on? Are you looking for ideas and advice? Or maybe you have a specific idea already, and what you really want is to role play or refine how to execute on the idea. Your exact needs will likely different from meeting-to-meeting or over the arc of your mentorship. The more explicit you can be, the easier it will be for your mentor to help you. They may be the type who is a natural cheerleader and not realize you want a devil’s advocate. Or they may be the type to jump into brainstorming mode and list out ideas, when you already have an idea and want help elsewhere. Help your mentor help you.

Take the initiative in scheduling

When you first meet, you might set a regular meeting day to fit with your college timetable and your mentor’s diary commitments – e.g., last Tuesday of each month at lunch or schedule your meetings as you go. Confirm with the mentor how far in advance they prefer to schedule. Put reminders in your calendar to reach out and schedule according to what you both agreed. If your mentor reaches out to you, be responsive.

Respect your mentor’s time

Responding in a timely fashion to your mentor’s outreach is one way of respecting their time. Coming to scheduled meetings on time, and sticking to the agenda and time agreed upon are also ways to respect their time. Showing effort or results in-between meetings is another way of

letting your mentor know that time with you is time well spent. You don’t have to agree with or act upon everything your mentor says, but there should be some related movement in-between meetings so that the mentor knows your work together is having an impact.

Don't ask for too much too soon

The best mentor relationships do have an impact. That said, don’t expect or ask for too much too soon. In the early days of your mentorship, focus on getting to know each other and on asking for answers to questions the mentor will know right then, with little preparation or extra work. You can then build up to more complex or time-intensive requests, such as feedback on your CV.

Have fun

Part of building trust is getting to know each other. Make it part of each mentor meeting to focus, not just on business, but getting to know each other personally. Know more about your mentor will help you better communicate and may even give you more or different ideas on how you can collaborate. Letting your mentor know more about you will enable them to help you more effectively.

Keep your mentor informed

Your academic progress is dynamic with different challenges as time goes on, and you don’t see your mentor that often. You need to keep them informed, especially if your situation changes in a way that impacts the mentorship. Let your mentor know, even before the next meeting so at least they’ll know you have other things on your mind.

Have a plan for when things go wrong

What if you want to shift the focus of the mentorship but your mentor does not? What if you have taken the initiative to set up meetings, show up prepared, but it’s your mentor who isn’t responsive? What if there is a change in situation and your mentor no longer fits your needs? Or what if you just have a personality clash? If you’re part of a structured program, find out who in the program can help you navigate any difficulties. See if there is already a process for making changes, If the relationship isn’t working for you, it probably isn’t working for them, and clearing the air might fix it or, at least, give you both the opportunity to move on.

Reciprocate and give back

If things do work and you have a smashingly successful mentorship, don’t forget to pay it back. This includes asking your mentor how you can help them – do not assume that you have nothing to offer just because you’re more junior. This also includes being a mentor to others.

The County Council is working on several major infrastructure projects including Southern Link Road, Worcestershire Parkway as well as other important town centre and rural development programmes. WCC recognises the need to invest not only in these programmes but in the future skills of our young people to ensure we have the skills in our planning and infrastructure teams we need. For this reason, WCC is investing in the Junior Internship Programme. Our intern will experience the various roles and skills needed to be part of our Economy and Infrastructure Directorate specifically within our Strategic Planning team. This will showcase the infrastructure development work we undertake.

As part of your Junior Internship Programme at in the Strategic Planning Team at Worcestershire County Council, you can expect to experience an understanding of why we need new infrastructure and specifically how we analyse the future infrastructure development needs of the county. We will delve into multiple aspects of people’s lives in the county to understand how they move about, what and when their education will take place and understand how their health needs will change throughout their lifetime. We also consider how people’s water and broadband needs change over time and how they change with an increased number of residents in the county. How to get to us by public transport:Bus service 44 (operated by Midland Red West) runs between CrownGate Bus Station (3 minutes’ walk from Foregate Street railway station) and County Hall Most buses also serve the Countryside Centre.You can find the timetables for the service in the Bus section of the site or you can get in touch with the County bus line on 0871 200 2233 (local call rate applies).Passengers arriving at Shrub Hill railway station should take the no.38 bus to Worcester Royal Hospital (service every 15 mins) and follow walking signposts to the Countryside Centre which is adjacent to County Hall (approx. 10 to 15-minute walk). .

Onsite/ Local Facilities:

A shop sells a variety of items ranging from sandwiches, confectionery, newspapers and cold drinks. Opening hours are Monday to Friday, 8am to 2pm. Lakeview café is open Monday to Friday from 8:30 -3:30pm. There are also vending machines and a cash point.

Appendix 2Junior Internship Programme Contract

In offering you a place on the Junior Internship Programme, Inspiring Worcestershire undertake to provide, without prejudice:

Through our partner colleges: The specialist teaching necessary for your success; Facilities, materials and equipment sufficient for your programme of study; Facilities for independent learning in an appropriate atmosphere conducive to learning; A range of curricular activities and experiences to enable you to have a full and broad education; A support system from staff and your employer sponsor which ensures you have access to the

guidance, advice and support you need to make a success of your education; Regular contact, both formal and informal, between the College and your parents; and Careers information, advice, and guidance to support your career decisions.

Through our partner employers: A dedicated employer lead contact for you to remain in touch with during the Programme A minimum of two weeks work experience in each Academic year – one of which to be completed

during summer holiday; A minimum of one hours mentoring per month with your employer sponsor; Careers information, advice, and guidance to support your career decisions; Access to specialist facilities in STEM industries through your employer sponsor; and Financial support to travel to your employer sponsor’s site.

As an Intern on the Junior Internship Programme, you will undertake to: Complete your work experience as agreed with your employer sponsor by engaging in the work, being

on time, and respecting any company policy whilst on site To undertake at least one week per year of work experience during holiday periods Remain in touch with your mentor and fully utilise and benefit from their advice and guidance Attend your college course lessons. We expect a good college attendance record and follow your

student code of conduct at all times; Be fully prepared for all lessons. Make sure you bring the correct equipment to class, meet deadlines,

keep all work organised and ask for help when necessary; Apply yourself in all classes and whilst at your employer sponsor’s site and give your best in all areas

of studies, including homework and work experience; Adhere to any policies in place that affect you whilst studying in college or attending the employer Respect all members of the College community and at the employer’s organisation, regardless of

differences in culture, ability, race, gender, age or sexual orientation and not give offence to others through your behaviour.
