DATE: November 5, 2015 TO: Campus Administrators & Campus Testing Coordinators FROM: Eboney Forté, Assessment Support Manager Research, Assessment & Accountability Dept. RE: Scanning of Answer Documents for Unit Assessments _______________________________________________________________________ There have been many questions concerning uploading scanned data into Schoolnet. Just to clarify, these are the steps that should be taken in the complete scanning process:

1. Student Answer Documents (Scantrons) are slugged (pre-printed). (This is not required by the District, but optional for each campus.) 2. Students test. 3. Answer documents are scanned using Scantools Plus software. (Each time you scan, a data file is created.) 4. Data files created by Scantools Plus are then uploaded into Schoolnet. (The files are not automatically uploaded as you scan, you must upload each individual data file into Schoolnet). 5. Teachers and Administrators access student assessment data.

To help simplify this process, we have added these three very short video tutorials to the RAAD Schoolnet intranet page. http://home/RAAD-Schoolnet

A training video on scanning (this will be especially helpful for those that were not able to attend training in August).

A training video detailing how to renumber data files in order to prepare them for Schoolnet. (This is necessary in order to reuse answer documents and to include gridded responses on unit assessments.) If you have uploaded data and the student results are showing as “Not Scored” you may need to renumber the data file and upload it into Schoolnet again. This type of “double uploading” will not negatively affect student scores.

A training video that shows how to upload a file into Schoolnet. These tutorials should clear up any confusion concerning scanning, and uploading scanned data into Schoolnet. Also, all of these training documents along with more helpful information are located on the RAAD Schoolnet intranet page, at: http://home.garlandisd.net/RAAD-Schoolnet. Please share this information with anyone who will scan on your campus. If you have any questions regarding the scanning process, please do not hesitate to contact me. 73209 (972-487-3209)

5th Grade Greeting Card ContestIntroductionFor many years, Garland ISD’s annual 5th Grade Greeting Card Contest has been a joint project of the Council PTA Arts in Education Committee and the school district. The purpose of the contest is to design holiday greeting cards sent by the Superintendent and Board of Trustees to friends and associates across the state.

Three Winners!Garland ISD’s 5th Grade Greeting Card Contest begins at the campus level. Schools choose one piece of art to submit for district judging. A panel then chooses the top three submissions for GISD’s holiday cards. We always receive a wide variety of designs, and by utilizing more than one, we can feature the diverse talents of district students.

✳ The three winning artists will be recognized by the board at a December meeting, each receiving an “Evidence of Excellence” certificate from Trustees.

✳ They will also receive a small quantity of their design printed on notecards for personal use.

All of the campus-level winners will be featured in a Flash animation on the main page of the district website and during regular rotation on GRS-TV.

We will also send certificates signed by Superintendent Bob Morrison, Board President Larry Glick, and GISD Council of PTAs President Rodney Rowan to each artist.

Winning campus designs will be returned as soon as they are scanned into the computer. This will allow schools to display the artwork during the holiday season if desired. Principals from schools that submit entries will receive a digital copy of the artwork.

What is in this digital “packet”?: ✳ Official rules and entry form.

✳ Official rules and entry form in Spanish.

✳ Samples of winning designs from 2014-15.

Please duplicate forms as needed and encourage teachers to do the same. To save paper, you might choose to simply have the school winner complete a form for submission with their design for district judging.

If you feel you need a hard-copy packet, please let Judy Kriehn know ASAP, and provide an address and recipient.

Local Contest Coordinator Tip:You might want to let teachers know how you would like to collect all the school entries for campus judging.

(Will you pick them up from each teacher? Do you want to pick them all up at the office on a specific day?)

Example:

✳ The deadline for entries at (school name) is (date of deadline).

✳ La fecha límite de entrega en la escuela (school name) será el (date of deadline).

Each campus may submit only ONE (1) entry in the districtwide contest !

Each campus is responsible for choosing a winner and deciding how schoolwide judging will be handled.

15 WAIP 11-6-15

Page 16: Waip 11 6 15

Things to Know/Consider:✳ Participation in the contest

is OPTIONAL. While some teachers may want to make it a class project, which is fine with us, in general students should be encouraged to use their free time if they wish to enter.

✳ Please be aware that this contest is to design a COVER ONLY. We have a standard greeting that is printed inside.

✳ We need to have good quality artwork submitted. Very light/faint designs or those that include excessive erasures are difficult to reproduce, and therefore not good candidates for winning artwork.

✳ Designs should be created in color using any two-dimensional art technique students choose (drawing, painting, printmaking, cut paper, etc.).

For example, they might wish to cut snowflakes out of white paper and glue to a darker colored background paper (collage). Students might also choose to draw in colored felt-tip on white paper, or use white paint on dark-colored paper. The artwork may be done on any type of paper or poster board, as long as the surface is flat.

Note: Artwork drawn on a computer should be saved in a digital format (BMP or JPG). If a computer design wins, we can reproduce it better from the original artwork file than from a printout.

✳ Religious themes in the designs. While we do not wish to discourage students from using subject matter that is meaningful to them, we must also honor the diversity in our school disitrict.

✳ Each entry must be the work of only ONE (1) student. Team efforts by two or more students cannot be accepted.

✳ Artwork should be NO LARGER than 8.5” x 11” (that is the limit of a standard scanner). On the entry form, there is a space for the name of the contest coordinator. It would be very helpful to the fifth grade teachers if this information is provided with the materials. You may also wish to fill it in for them on the forms.

The deadline for entry at the district level is:

Friday, Nov. 13, 2015Entries may be delivered in person at the Nov. 4 Council PTA meeting,

via school mail (Box 150) or in person at the Harris Hill Administration Building until 4:30 p.m. Nov. 13.

Delivering the winning design from your campus for district judging:School mail delivery:

Send the winning design via school mail:

Greeting Card Contest c/o Judy Kriehn Communications Coordinator Box 150

Note: If you go this route, you will need to make sure your entry makes the outgoing mail pickup on or before Thursday, Nov. 12, to ensure that it is in our possession by Friday, Nov. 13.

You may wish to email Gay Wilburn, communications secretary, at [email protected] so she can be on the lookout for it.

“In person” delivery to Harris Hill Administration Building:

✳ The Communications Department is on the third floor of the Harris Hill Administration Building.

✳ The building receptionists will have a collection box, allowing you to simply leave your entry (form included) in the lobby.

10/9/201516 WAIP 11-6-15

Page 17: Waip 11 6 15

Please Be Sure That A Completed Entry Form Accompanies The Entry! This is not only our assurance that the artwork is the original design of the young artist, but it is the only method of determining where to send any subsequent communications as well.

We must also ensure that we have parental permission to use a child’s artwork, and post photos of the winning design and designer on the district website and GRS-TV.

Late entries will be added to the website and GRS-TV displays, but will not be included in the districtwide judging process.

Those that do not have a completed entry form will not be considered during district judging and cannot be included in the GRS-TV or website displays, due to copyright issues.

Questions?Judy Kriehn

Communications Coordinator 501 S. Jupiter Road Garland, Texas 75042

972-487-3257

[email protected]

FYI - I really prefer email communications to phone conversations; I am hard-of-hearing and high-pitched voices are difficult to understand.

One Last “Tip”It is recommended that you make a copy of the original artwork for your files. Artwork created on a computer should be saved in a digital format. While every effort is made to keep each piece of artwork safe and sound, there have been snafus in the past...

Thank You Very Much For Your Help And Assistance! The district judging panel (staff members at the Harris Hill Administration Building) always looks forward to seeing the designs, and Trustees enjoy meeting the winning designers and their parents at a board meeting, where they will honor them with “Evidence of Excellence” certificates.

The Greeting Card Contest is open to ALL fifth graders, regardless of whether the local PTA unit is considered “current” with their dues. It is a separate project from the PTA Reflections competition.
