HOW TO: CONTRACT TO A CUSTOMER

VISTA LETS YOU: � Add a customer to a contract when you sell or lease a vehicle
(you must complete this step before doing a handover).
� Search the Volvo Customer Database for existing
customer records and add new customers yourself.
� Change the Type of Sale for a vehicle to indicate
that it’s been sold or leased.
Please note that there is a special process for loaners/demos
(see separate job aid for those instructions).
1. Locate the
vehicle in your
inventory – go
to the Order tab
and select
Find Orders.
2. Enter the
vehicle’s
Common Order
Number or
VIN and click
Search.

3. On the View
Order screen,
verify the details
and click
Maintain Order.
4. On the Maintain
Order screen,
change the Type
of Sale to Retail
Sold or Retail
Lease using the
drop-down
menu.
(In most cases,
you’ll see the
default is Dealer
Stock as you
see pictured.)

5. Scroll to the
bottom of the
Maintain Order
screen and click
Contract.
6. On the New
Contract page,
click Add
Customer.
7. On the Customer
Search page,
enter the
information and
click Search.

8. If the customer is
found, click on
the shopping
basket.
9. If the customer
is not found,
use the Add
Individual screen
to enter the
customer’s
information
and check
their consent
to receiving
communications
from Volvo.
Click OK.

10. On the View
Customer
screen, click
Select
Customer.
11. On the New
Contract screen,
choose the sales
consultant from
the drop-down
menu, add
trade-in vehicle
information
and additional
details, and then
click OK.

12. On the Maintain
Order screen,
review the
details, and then
click Proceed.
13. The expected
delivery date
shows at the top.
Click Confirm. If
the unit is in
stock, disregard
the date.

14. The View Order
screen comes up
with a
confirmation
message.
From here, you
can access all
of the order
information.
When you’re
ready for the
handover,
you’ll click
Maintain Order.
