JOB DESCRIPTION ESTATES MANAGER Responsible for the strategic management of the School’s buildings and grounds across all school sites, The Estates Manager is a key position in the School’s management team. S/he will lead on delivering the School’s estates strategy. Reporting to the Bursar, s/he will work with initiative and a very high level of autonomy and will be comfortable with all aspects of leading a team. She/he is expected to think strategically as well as operationally and to liaise confidently and diplomatically with a wide range of stakeholders. She/he is the line manager of the caretaking team and is contract manager for the outsourced grounds contractors. She/he must be fully in tune with the School’s vision, and with the strategic objectives of the School. The responsibilities of the role are split into two main areas:- Major Projects: Work with the Bursar, architects, Governors and others to manage major construction and refurbishment projects across the School’s estate, to ensure that the School’s strategic objectives can be achieved. Core Estates Department Work: Oversee a regular programme of planned and preventive maintenance, primarily aimed at ensuring that the School’s buildings and grounds meet all legislative requirements. Undertake repairs and improvements to building, facilities and accommodation. Main responsibilities include:- Major Projects Take a major role in the procurement and project management of capital build projects, including liaison with architects and other external professionals as directed by the Bursar Work with the Bursar and professional consultants on the investigation of potential developments to improve the School’s facilities Assist the Bursar with planning and refining opportunities for future developments (including acquisition of additional land and buildings) in line with the School’s strategic objectives

Establish and maintain good working relationships with local planning and building control authorities, architects, and consultants

Core Work

Coordinate and lead the caretaking team to cover maintenance, swimming pool cleaning and monitoring, set-up for functions, and portering in a timely manner

Manage all maintenance activities, both reactive and planned Project manage, supervise and coordinate the work of external maintenance

contractors Respond appropriately to emergencies and urgent issues as they arise, and

deal with the consequences to ensure the continued smooth-running of the School at all times

Arrange regular inspections of buildings, grounds and plant, ensuring that any issues are dealt with in a timely manner

Take a lead role in ensuring that all buildings and grounds meet health and safety requirements and that facilities comply with current legislation

Follow best practice with regard to Legionella Risk management, Asbestos Register management, Fire Detection, Firefighting Equipment, and Working at Height management

Monitor all aspects of contractors’ performance, ensuring that work has been completed satisfactorily, and following up on any deficiencies

Regularly review utility tariffs and usage. Be proactive in seeking improved energy efficiencies

Organise the transportation of goods between the Senior School and the Prep School on a daily basis

Prepare annual maintenance budgets for agreement with the Bursar, and manage expenditure against those budgets

Manage staff holiday requests in such a way as to provide adequate maintenance and caretaking cover at all times

Be responsible for site security, including locking and unlocking of buildings. Control the issuing of keys. Also ensure that security equipment is fully functioning, and manage the key-holding contract

Co-ordinate out of hours cover Undertake any other duties which may be reasonably required in the course

of the School’s operations

The Estates Manager is required to deal with the Senior Leadership Team, Teaching staff, Support staff, Pupils, Parents, Governors, visitors, external suppliers and professional consultants in a friendly and professional manner at all times.

ESTATES MANAGER - PERSON SPECIFICATION

Qualifications and experience

Proven track record of success in management of multiple complex projects

Appropriate qualifications in project management, facilities management, and building construction or refurbishment

Thorough and up-to-date knowledge of the building industry

RICS qualification desirable, but not essential Experience of using Microsoft Word and Excel Clear financial awareness, and competence in

budget management Proven team leadership and management

experience

Skills Excellent written and oral communication skills

Ability to prioritise day to day tasks and meet deadlines

IT skills: Word, Excel, and Outlook are essential. Experience of project management software would be advantageous

Personal qualities Motivated to learn and take on new challenges

The ability to develop and deliver a planned maintenance programme

Ability to relate to all personnel within the School and the wider School Community

Able to work independently and to take ownership of tasks

Willingness to work autonomously delivering objectives within agreed timescales

Have enthusiasm for handling a range of tasks of varying complexity, while maintaining a positive attitude towards
