BATCH STUDENT REFUND INSTRUCTIONS: 1) During all of these processes, use check list to track job submission numbers after you submit and save. This will allow you to review the correct output file at any point. 2) If you want to run the TSRRFND process for the financial aid population only perform the following – otherwise go to step 3 below: 1. Run the Population Selection Creation Process (GLBDATA) to create a popsel of the students who had financial aid disbursed for a give date range. 2. Run TGRUNAP 3. Run TGRAPPL 3) Run the TSRRFND Process in Flag-Audit mode to review the students with credit balances. Be sure to include the POPSEL parameters (if necessary) and set parameter 11 (Detail Code Hierarchy) to include (this will group the refund transactions be category): 1. 1CC (credit Cards) 2. 2CHK (Checks) 3. 3FA (Financial Aid) 4) Enter T in the parameter 3 of the TSRRFND process to track Title IV refunds. 5) Go to the TSARFND Form to review and extract TSARFND table to excel and review for any accounts where “Account balance” is not equal to “Refund Amount” 6) Run BRIO Refund_Enrollment_check.bgy to verify enrollment of the effected students 7) Extract data and submit the file for review to the Office of Financial Aid 8) Run TSARFND process in Banner and remove any students requested by the Financial Aid 9) Run the TSRRFND Process in RFND-Update mode to post the RFT4 detail code to the student’s accounts 10) Run TGRAPPL 11) Run the TSRRFND process again in audit mode with A in parameter 3 of the TSRRFND process and RFND detail code in parameter number 7 12) Go to TSARFND and extract the data once more to review for any accounts where “Account balance” is not equal to “Refund Amount” SCSU Bursar’s Office Rev: 3/2/2015

Save results of logfile.lis: Report Totals, Record Count, and any with “NO ADDRESS” message

TGRAPPL FA_REFUNDS

Review output from Pending Application Roster and make any needed adjustments

TWRRBAL FA_REFUNDS

Run TWRRBAL - “Refund Balance Report” using today’s date as Transaction Date (date refunds were posted). Negate any refunds that were processed today in error and notify AP if checks were already created. NOTE: This may also be run for the POPSEL only.

Financial Aid Recipients Population Parameters:

This will create a population selection (POPSEL) which will contain all the students who had financial aid disbursed between the dates inputted by the user and the student is registered for the input term

Run GLBDATA:

Enter your Banner username in Creator ID of Selection ID field

Click save and the form will change as below:

Enter the start date, end date, and term parameters and click save again to create the POPSEL

Go to the TSARFND Form to review and extract TSARFND table to excel and review for any accounts where “Account balance” is not equal to “Refund Amount”

Once the form opens up go to the help tab and select “Extract Data no key” – this will save the table contents as an excel document.

1. Open the file in excel

2. Highlight the “B” & “G” column, right click and select delete – these columns are not needed.

3. Insert a new row at the top of the sheet and label all the columns

Use the insert function key “Fx” and select the “if” function

Use the following parameters to check to see if the contents of cell C2 (Acct Bal.) are equal to the contents of cell F2 (Refund).

Once the function is in the first row you can double click the corner of the cell to have the function automatically copy down to all the rows.

Then sort by the “Test” column to have all of the rows that need to be unchecked for automatic refunds.

Uncheck the refund indicator for any accounts from the excel sheet where the check column (“Account balance” is not equal to “Refund Amount”)
