Before APEX Form, projections were: Created in Excel, subject to error Required data from multiple systems Made without access to HCM data Reliance on past payroll data Inconsistent communication across
teams and roles No standard process and high turnover
-
How was the tool designed? Excel demonstrations of two different
projection spreadsheets Spreadsheets sent to Functional Lead Functional Lead mocked up design in
OBIEE and Excel for APEX form Present design Project Teams Extensive feedback incorporated Technical review at each revision
-
Provides an integrated, standardized solution
Data is filtered by PI/Faculty Member Predictive type for chart field elements Copy Personnel Information from HCM Duplicate Rows and Perform Bulk Update Automate the Creation of Projections for
Benefits, Indirect Cost Recovery & more
Solution: APEX Form

First round had users crossing sessions First APEX application at UCB Tech Team worried Can handle 50 concurrent users? RA Community involved
APEX Flash Mob! Great way to get users to participate in a fun load
test try to break our app! It was a huge success!
APEX Load Testing
-
Lessons Learned Large, Robust User Acceptance Testing works! Goal to listen and respond so users own the tool Technical review at each step close partners Plan for time to incorporate changes from UAT
before Go Live we had 101 changes made! In-person training, demos, dedicated email for
suggestions, focus groups and enhancement release plan immediately following initial go-live
Followed with 45 more changes in second release!
-
Why is PI Portfolio so innovative? Users experience one application Data from multiple source systems Enter data with predictive type Instantly Review Projected Balance Data is unique to the user via VPD Custom features save TONS of time!
-
What is next for UCB reporting? Embarrassing to admit still using IR First full Financials dashboard Coming Spring 2017 Show users the power of OBIEE Encourage voluntary movement Phase out Hyperion IR Add APEX apps as needed!
