1 GENERAL INFORMATION General Information section explains in general terms the system and the purpose for which it is intended.

1.1 SYSTEM OVERVIEW

The IMS as a new standalone system specifically handling TNB internal user suggestion/Ideas, challenge statement, rating and Proposal. This system shall run on a windows-based cluster by using Microsoft.NET. IMS shall be responsible for receiving all ideas/suggestion detail submitted by creator of the idea and escalates it to the next level responsible role for approval and so forth according to be agreed pre-defined process flow. If the idea does not reach the condition by a set amount of times, it is marked as archived and admin able to reopen for crowd rating again. Each idea created will be given an auto-generated reference number for tracking purposes that will be carried throughout the process. IMS development will include future considerations of moving toward web service integration. Thus, its architecture shall be made robust and scalable enough to support the future plans.

1.3 AUTHORIZED USER PERMISSION

This application and data ownership is owned by TNB ICT. Usage authorization of the system is of TNB’s decision. TNB is however is bound to the terms of usage or copy permissions which need to be obtained from the Vendor prior to the handover sign-off. Any changes or modification made to the system code either by TNB work group or any third-party appointed before the handover will result in warranty void.

2 SYSTEM SUMMARY

System Summary section provides a general overview of the system. The summary outlines the uses of the system’s hardware and software requirements, system’s configuration, user access levels and system’s behavior in case of any contingencies

2.1 SYSTEM CONFIGURATION

IMS operates on web and mobile devices via web browser. It is compatible with any modern web browsers and responsive for viewing on any screen sizes (desktop or mobile devices). The application requires connection to TNB network environment in order to:

• Allow integration to TNB’s Active Directory for internal (TNB) system users authentication • Allow Internal Users to access and perform specific tasks as per Roles and User Access Level defined in the system

The application also requires external connection in order to:

• Allow Customers to access and perform specific tasks as per Roles and User Access Level defined in the system.

After accessing the URL using the web browser, IMS can be used immediately without any further configuration required.

Only registered system users are able to access and use the system for its defined purposes. The registered users are defined into roles to perform specific actions in the system:

3 GETTING STARTED

Getting Started section explains how to access IMS on the web browser. The section also briefly presents the system menu.

3.1 UNDERSTANDING THE BASIC PROCESS FLOW

It would be easier if all users are aware and understand the basic flow of the system. Please refer below illustration/diagram.

3.2 ACCESSING THE URL

Please access to your internet browser (modern browsers e.g.: Internet Explorer 11 and above, Google Chrome, Mozilla Firefox and etc.) by double clicking the icon on your Desktop view or by selecting it from your Start Menu > Program List.

1. Type in the URL address below at the address field of your chosen internet browser:

http://ims.hq.tnb.com.my/

2. Your screen will now be directed to the main screen (landing page) of the Innovation Management System (IMS) as illustrated below (Figure 1: Main Screen).

3.3 LOG-IN TO IMS

The Login Box (Figure 3.2) is located at the right hand-side of the main page

3.4 NAVIGATION MENU AND LAYOUT

1. IMS is built in a 2 panel layout with the Main Navigation menu is placed fixed at the left hand-side of your screen

2. The right hand-side of your screen is where the content will be displayed according to the menu selected by the user

3. On the top of the content panel, a breadcrumbs trail (a graphical control element used as a navigational aid in user interfaces) is displayed. It allows you to keep track of your locations within IMS.

4. Information about Your Statistic. Click tab number and your will redirect to main Action

5. Information all Recent Activities for all department members or related with you.

3.5 SYSTEM MESSAGE AND ALERTS

1. IMS is built with error checking functions and alerts. These successful and error alerts or notifications will be prompted on the right hand-side of the screen, either top or bottom of screen.

3.6 MANDATORY FIELDS TO BE FILLED

1. Mandatory fields are questions that must be answered before a form in IMS can be submitted. Mandatory fields are also called “compulsory” or “required” fields. These fields are marked with a red asterisks (‘* ‘)

4 STEP-BY-STEP INTRODUCTIONS FOR USING THE SYSTEM

4.1 FIRST TIME LOG-IN

1. Upon receiving an email containing your unique login credential information, access IMS URL from your internet browser.

2. From IMS main page, you will see the Login box on your right hand-side.

3. Point and left click your mouse at the Username field. Type-in your given Username/Staff ID.

4. Point and left click your mouse at the Username field. Type-in your TNB’s Email Password.

5. Once completed, click the LOGIN button

6. IMS will authenticate your login credentials with the account information in TNB’s Active Directory and load your

personalized page

4.2 SORTING, FILTERING AND PAGINATION OF TABLE DATA

4.2.1 Sorting The Table Data In Ascending And Descending Order 1. You may sort by Viewing, Filter Status and Special filter by clicking the filter icon . The filter option will be displayed2. And you are required to select the conditions that marches your criteria of search from the drop down list available

4.3 IDEATION

4.3.1 New Post All department Members are able to create new post in IMS. IMS has three (3) types of post i.e. Direct Idea, Challenge Statement, Discussion and Express Idea.

4.3.1.1 Direct Ideas 1. To create new Direct Ideas, Select Direct Idea at Post as

7. Click Post button to post the idea

8. And click View Detail to review your idea and click icon for idea status

9. All Post as Direct Idea will proceed to the Crowds Rating process

4.3.1.2 Create Challenge Statement 1. To create new Challenge Statement, Select Challenge Statement at Post as

6. Select radio button for Invite Collaborate. Either Public or Invitation Department and Individuals a. If you click Public, Invite Departments and Invite Individuals will hide

4.3.1.3 Create Discussion 1. To create new Discussion, Click on the Post As and Select Discusssion

4.3.1.4 Express Idea 1. Express ideas related to the activity once you click Create Idea button at Activity 2. Fill in your ideas

4.3.2 Comment Idea And Love It ! 1. All department members are able to comment on Post as ‘Challenge Statement’ and ‘Discussion’.

2. Insert your comment and click icon to submit your comment

3. You able to reply comment from other members comment. Click button Replies and reply field will display fill in your

suggestion or comment and click to submit and your comment or suggestion will be displayed below the comment.

4. If you like the idea, you can click icon

4.3.3 Promote Comment To Idea (Challenge Statement/Discussion) 1. All comments to Challenge Statements and in Discussions can be promoted to idea. 2. To promote comment from Challenge statement to Idea, click View Detail and you will be redirected to comment page.

3. Click Promote to idea under the comment that you want to promote.

4. The status of the selected comment automatically changed to Eligible to be promoted to idea and owner idea will be notified.

4.3.4 Eligible To Be Promoted To Idea (Challenge Statement/Discussion) 1. If your idea has be eligible to be promoted to ideas. Click Eligible to be promoted to idea, and click submit it!

2. Pop up notification will display on your desktop screen click YES button to proceed and NO if you don’t to proceed.

3. And you will redirect to home page on the top Title will related either Discussion or Challenge statement. Repeat step 4.3.1.1 Direct Ideas)

4.4 RATING AND EVALUATION

4.4.1 Crowd Rating 1. All department members has to rate the ideas before it is finalized.

2. You can rate by the star rating next to the icon. And you are able to vote again until it is finalized and closed. After all members have rated, the status will change to PendingDepthRating and wait for SME to rate.

4.4.2 Depth Rating (Department Sme Only) 1. Click View Detail on the idea. You will be redirected to idea details page

2. Click Depth Rating button and You will be redirected to Depth rating page.

3. To rate the ideas, click radio button and fill in Comment

4. Click Submit button if everything is fill in and Status change to PendingEndorsement.

4.5 IDEA DETAILS AMENDMENT (DEPARTMENT SME ONLY)

4.5.1 Change Department 1. SME able to change department if the idea is not related to the proposed department. 2. Click View Detail and SME will be redirected to the idea details page.

3. And click Change Department button

4. You will be redirected to Change Department Page

5. Select the new Department

6. And click save button.

4.6 IDEA ENDORSEMENT (HEAD OF DEPARTMENT ONLY)

4.6.1 Endorsement 1. All idea must be rated earlier by SME member before HOD can endorse the idea 2. Click View Details of the idea and your will be redirected to idea details page

3. Click Endorse button and your will redirect to endorse page

4. If you select YES fill in the endorsement Forms. HOD able to select idea champion

5. If NO idea will automatically to ARCHIVE

6. Click button Submit and status will change to PendingProposal-NotCreated. And waiting for Champion to create proposal.

4.7 IDEA PROPOSAL (IDEA CHAMPION ONLY)

4.7.1 CreateNewProposal

1. Click View Detail and you will be redirected to View Details page,

5. Click CREATE PROPOSAL button and you will redirect to Create Idea Proposal form

6. Fill in the Create Idea Proposal form

7. Have 3 types of implementation strategy select one from that.

a. If your select Direct Implementation, implementation Type will automatically display select either product or service

8. To add Risk and Expected Measurable Outcome, click button Add New Risk and Add New Measure and new row will be inserted. Fill in the input fields.

9. And click √ icon to accept and ⊝ to delete row 10. Click SAVE AS DRAFT button to save. Please note that You have not submitted the Proposal yet.

11. To fill up NPV a. After you have save your proposal, NPV Calculation button will be displayed. Click NPV Calculation button.

b. Fill in the NPV Calculation form and NPV will be automatically calculateed by the system.

c. Click Save button.

12. If everything is in place, click SUBMIT PROPOSAL

13. You able to edit proposal if the proposal is still not approve yet, click edit proposal and you will be redirected to the Edit Idea Proposal page and repeat step 3 – 9

4.8 PROPOSAL ENDORSEMENT/APPROVAL

4.8.1 Strategic Proposal Endorsement (COE Council Secretary Only) 1. Click View Detail of the idea and you will be redirected to the idea Details Page

2. Click Endorsement/Approval button and you will redirect to idea Proposal/Approval

3. Insert attachment 4. Select radio button Strategic and Transformational and Endorse button will be displayed

5. And click Approve button to approve the proposal

6. and reject button to reject the proposal and status will automatically change to Achieve

4.8.2 Strategic Proposal Approval (Innovation Council Secretary Only) 1. Click View Detail of the idea and you will be redirected to the idea Details Page

2. Click Approval button and you will be redirected to idea Proposal/Approval

3. Click Approve to approve the proposal and Reject to reject the proposal

4.8.3 Non Strategic Proposal Approval (COE Council Secretary Only) 1. Click View Detail of the idea and you will be redirected to the idea Details Page

2. Click Endorsement/Approval button and you will be redirected to idea Proposal/Approval

3. Insert attachment 4. select radio button Non-Strategic and Transformational and Approve button will be displayed

5. Click Approve button to approve the proposal 6. Click Reject button to reject the proposal and status will automatically change to Achieved

4.9 PROTOTYPE (IDEA CHAMPION ONLY)

4.9.1 CreatePrototype

1. Click View Detail on the idea and you will be redirected to Idea Details page,

2. Click PROTOTYPE button and you will be redirected to the Prototype page

3. Fill in the Prototype form

4. Click SAVE AS DRAFT button to save. Please note that You have not submitted the Prototype yet.

5. Click REWORK button to proceed with another prototype form

6. Click REJECT button if you want to reject the Prototype and your prototype will updated to Achieved 7. Click ACCEPT button and you will redirect to Summary page. 8. Fill in the Prototype Summary form.

9. Click SUBMIT button

4.10 PROOF OF CONCEPT – POC (IDEA CHAMPION ONLY)

4.10.1 CreateProofOfConcept(POC)

1. Click View Detail on the idea and you will redirect to the Idea Details page

2. Click CREATE POC button and you will redirected to POC page

3. Select Number of POCs

b. And also the Summary

5. Fill in the prototype form

6. Click SAVE DRAFT button and Status will change to pendingPOC-Draft

7. To submit the POC, Click Edit POC button

8. Scroll down page and click SAVE AND SUBMIT POC FOR APPROVAL and status will change to PendingPOC – PendingApproval by Inno if strategic and COE if non-strategic

4.11 IMPLEMENTATIONS (IDEA CHAMPION ONLY)

4.11.1 Complete Implementat ion (Product)

1. Click View Detail on the right comment and you will redirect to View Details page,

2. Click IMPLEMENTATION button and you will be redirected to the Implementation page

3. Fill in the Implementation Form

4. Click SUBMIT button. 5. Click UPDATE IMPLEMENTATION button to edit the implementation status. 6. 3 types of Implementation status :

a. InProgress b. Completed : Submit to PendingArchival c. Cancelled : The project will be Achieved

1. Click Activities from the Main Navigation menu on the left page. New activity form will display.

8. To add Participants List One by one, Click Add New Record

9. Or you able to add Participants by group click Upload Participants Excel button

i. Click Select files…

ii. File browse window will be prompted in your screen select doc excel to upload and click open.

10. Click Download Participants Excel Template and template will be automatically created and saved to your default save location (usually in Local or Downloads)

11. Once all competed click Save button and you will redirect to View Detail

12. Scroll down View Detail page and click Create Idea button and you will be redirect to Home Page with Post as Express
